ATS is a medical meeting first and an exhibition second. The hall fills in pulses — between symposia, over coffee, around poster sessions — and empties just as fast. A booth that works here isn’t the loudest one; it’s the one that converts a short, deliberate visit from a clinician into a real conversation. Planning for that starts with the building and the calendar, not the furniture.

New Orleans’ Ernest N. Morial Convention Center runs nearly a mile end to end along the river, and where your hall sits changes your dock, your move-in rhythm and how far your freight travels inside the building. We plan labour calls, dock targets and delivery windows to your actual hall — not to the venue’s mailing address.

A May show reads as far away right up until it isn’t. Advance-rate deadlines for electrical, rigging and material handling land roughly six to eight weeks out — the exact advance-order date is in the facts strip at the top of this page and updates automatically each edition. Miss it and every service is billed at floor rates.

Booth space, electrical, drayage, rigging, cleaning and internet are billed to every exhibitor directly by the show and venue — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

Why a fixed price matters most here

The budget you present in the fall should survive May

Congress budgets are approved months ahead and reviewed by people who weren’t in the room — which makes ATS exactly the wrong place for an exhibit invoice that grows: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

Five questions to ask anyone quoting your ATS booth

Put these to every exhibit house you’re comparing — including us. They separate the vendors that stand behind a number from the ones whose estimate is an opening position. Our answers are printed here so you can hold us to them.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in February costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off before it leaves the building. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. The advance-versus-floor spread on electrical, rigging and drayage is real money — if a vendor can’t answer this immediately, that’s your answer.
5 Which costs are not in your quote — and can you estimate them anyway? Ours: drayage, rigging, electricity, cleaning and internet are always billed to you directly by the show and venue — by everyone, whatever their proposal implies. We calculate them for your exact booth before you commit, so the real total is on the table from day one.

ATS booth rental FAQs

How much does an ATS booth rental cost?
Every booth on this page is published with its New Orleans price — fixed and covering design, fabrication, graphics, furniture, freight, labour coordination, installation, dismantle and project management. Separately, the show and venue bill you directly for booth space, electrical, drayage, rigging, cleaning and internet; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for ATS?
Work backwards from the advance-order deadline, which lands roughly six to eight weeks before the show — the exact date for the next edition is in the facts strip at the top of this page and updates automatically. Lock your design by mid-March for a May show; start the conversation the previous fall for full design freedom. Later is still workable, but every week you wait trades design options for logistics.
ATS changes cities every year. Do I have to start over each time?
No — that’s one of the strongest arguments for renting. Your design files, graphics and layout carry forward; the structure is fabricated and priced for whichever city hosts the next edition. You keep brand continuity from year to year without owning, storing, refurbishing or shipping a booth around the country between shows.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our 65,000 sq ft facility and you approve photographs of the actual booth, not a render.
We demo medical devices. Can the booth support that?
Yes — demo-led layouts are most of what we build. Counters engineered for your equipment, power and data runs planned into the structure, monitors at standing eye level, and semi-private meeting space for the longer clinical conversation. Tell us what you’re demonstrating and how many people need to see it at once; the layout starts from there. Power itself is a venue service — we calculate and file that order for you at advance rates.
Can I install the booth myself to save on labour?
Exhibit halls like the Morial Center run on contracted union labour, and show rules govern who may build what. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, with orders filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver an ATS booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. Call and we’ll tell you honestly what’s achievable against the show’s remaining deadlines.
Do you handle events off the show floor — symposia, suites, activations?
Yes — hotel suites, meeting spaces, satellite symposia environments and activations around the conference run under the same fixed-price model, coordinated by the same project manager as your booth.
