AAACN’s exhibit floor lives inside the New Orleans Marriott — a hotel property, not a convention center. That changes the physics of exhibiting: how freight arrives, how tall you can build, and how traffic moves past your space. Plan for a hotel floor from the first sketch and the venue becomes an advantage; treat it like a convention hall and you’ll be redesigning in the final month.

Hotel exhibit space means service corridors and freight elevators instead of drive-in docks, tighter delivery windows, and ceiling heights well below a convention hall’s. The design answer is engineering, not compromise: builds that break down to elevator-friendly components, and lighting and finish doing the work that height can’t. We confirm the venue’s height, power and delivery rules before anything is designed.

An April show means advance-order deadlines land in early March and design lock belongs in February — with the exact dates for the current edition shown in the facts strip at the top of this page. Miss the advance window and the same electrical drop and material handling cost meaningfully more at floor rates. Our calendar is built backwards from the show so yours never gets there.

Booth space, electrical, drayage, rigging, cleaning and internet are billed to every exhibitor directly by the show and venue — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

Conference exhibit budgets die by a thousand cuts: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

Put these to every exhibit house you’re comparing — including us. They separate the vendors that stand behind a number from the ones whose estimate is an opening position. Our answers are printed here so you can hold us to them.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in February costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off before it leaves. Renders are promises; photographs are evidence.
4 Have you planned for a hotel exhibit floor, or a convention hall? Ours: the hotel floor, specifically. Freight elevators, service corridors, lower ceilings and hotel delivery windows are design inputs from day one — not surprises during move-in. Ask any vendor how their build reaches the hall.
5 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. The advance-versus-floor spread on electrical and material handling is real money — if a vendor can’t answer this immediately, that’s your answer.

How much does an AAACN booth rental cost?
Every booth on this page is published with its New Orleans price — fixed and covering design, fabrication, graphics, furniture, freight, labour coordination and project management. Separately, the show and venue bill every exhibitor directly for booth space, electrical, drayage, rigging, cleaning and internet; we calculate those for your exact booth before you commit and file the orders at advance rates, so the total is known before you sign anything.
When should I book a booth for AAACN?
Lock your design by February. AAACN runs in April, which puts advance-order deadlines in early March — the exact dates for the current edition are in the facts strip at the top of this page and update automatically. Start the conversation in the fall for full design freedom; every week earlier is a week of advance rates instead of floor rates.
The exhibit hall is inside a hotel. What does that change?
Quite a lot, operationally. Hotel floors are reached through freight elevators and service corridors rather than drive-in docks, delivery windows are tighter, and ceiling heights are lower than a convention hall’s. We design for those constraints from the first sketch — builds that break down to elevator-friendly components, lighting doing the work height can’t — and we confirm the venue’s height, power and delivery rules before anything is fabricated.
What booth size makes sense at a conference this size?
At an intimate hall with 1,000+ attendees, footprint matters less than at a mega-show — a well-designed 10×10 or 10×20 can carry a full conversation programme, and larger spaces earn their keep with demo stations or a semi-private meeting corner rather than sheer height. We’ll recommend a size based on what the booth needs to do, and every size on this page shows its New Orleans price so the trade-off is a number, not a guess.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our 65,000 sq ft facility and you approve photographs of the actual booth, not a render.
AAACN moves to a different city each year. Do I start over every time?
No — that’s one of the strongest arguments for renting. Your design files, graphics and layout carry forward edition to edition; we re-price the build for each host city and venue, adapt it to the new floor’s rules, and handle freight to wherever the conference lands next. Your brand stays consistent while the logistics change underneath it.
Can I install the booth myself to save on labour?
Show and venue rules govern who may build what on the floor, and hotel venues add their own requirements on top. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, with every related order filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are reachable through move-in and across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
