Know the floor before you plan the booth

A resort floor and an executive audience. Different rules.

The 2027 conference runs at the Gaylord Pacific Resort & Convention Center in Chula Vista, on San Diego Bay — a resort property, not a downtown convention district. That changes the logistics, and the audience changes the design brief: this is a marketplace of 125+ providers courting community bank CEOs between general sessions, not a mega-expo you win with square footage.

A resort convention floor

Gaylord Pacific · Chula Vista

Resort convention centers run on their own rhythm: docks shared with hotel operations, marshalling handled off property, freight windows tighter and less forgiving than a big-city hall. Everything routes through the venue’s schedule. We plan freight, install and dismantle around that schedule and file every order early — so your booth isn’t the one waiting on a dock time.

An audience that signs

CEOs & senior management

Attendees are community bank chief executives and senior officers — the people who approve contracts, not the ones who compile shortlists. Marketplace hours are compressed around the session schedule, so a booth wins on conversation: one clear message, somewhere to sit, a demo that lands in minutes. Scale impresses nobody here; credibility does.

The February problem

Holidays sit inside your timeline

A February show means design approvals and graphics land across the December holidays, when production everywhere runs half-speed. The real deadline for a locked design is early December, with the advance-order window closing mid-December — the exact date is in the facts strip at the top of this page. Miss it and you’re paying floor rates for everything.

What we handle at the conference
  • Booth design planned for a compressed executive marketplace, not a mega-hall
  • Layout submission and show approval, filed early
  • Electrical, rigging and material-handling orders filed at advance rates
  • Labour coordination and on-site supervision at the resort
  • COI, EAC and exhibitor-manual deadlines mapped to our calendar
  • Dock target times, dismantle, pack and outbound freight
Billed by the show, not by us

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show and venue — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

  • Material handling (drayage)
  • Rigging, if you’re hanging a sign

Why a fixed price matters most here

The budget you present in the fall should survive February

You sell to bankers — people who notice when an invoice grows. Exhibit-house estimates grow anyway: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

01

One number, and it holds

Design, fabrication, graphics, furniture, lighting, freight, installation, dismantle and project management in a single fixed price.

02

Proven before it ships

Your booth stands fully assembled and lit at our 65,000 sq ft facility, and you approve photographs of the actual build — not a render.

03

Show costs, known up front

Space, electrical, drayage and rigging calculated for your exact booth before you commit — so the total is a number, not a range.

04

The paperwork is ours

COI, EAC, electrical, rigging, freight windows — filed at advance rates, mapped to every exhibitor-manual deadline. Nothing lands on your desk three days before it’s due.

We quote higher and cost less. That’s the whole argument, and it’s why every booth below is published with its price rather than hidden behind a “request a quote” form.

Working backwards from February

Your real deadline is in December

The advance-order cutoff lands roughly eight weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. For a February conference that cutoff sits in mid-December, which means the binding constraint is the holidays: the production weeks this timeline assumes don’t exist between mid-December and New Year.

SEP–OCTBrief, concepts and the fixed price locked. Full design freedom.
NOVEMBERLayout submitted for show approval — placement confirmed.
EARLY DECDesign locked. Graphics finalised and sent to production before the break.
MID-DECAdvance electrical, rigging and material-handling orders filed — the advance-rate window closes here. After this, the holidays own your timeline.

LATE JANBooth built, lit and photographed for your approval at our facility.

Five questions to ask anyone quoting your conference booth

Put these to every exhibit house you’re comparing — including us. They separate the vendors that stand behind a number from the ones whose estimate is an opening position. Our answers are printed here so you can hold us to them.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in November costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off before it travels. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. For a February show the advance window closes in mid-December — if a vendor can’t answer this immediately, that’s your answer.
5 What happens to my timeline over the holidays? Ours: nothing — because your design is locked and your advance orders are filed before the December break, leaving January for a build with slack in it. Any vendor still finalising design between Christmas and New Year is gambling with your show. Ask them directly.

Questions conference exhibitors actually ask

ABA Community Bankers booth rental FAQs

How much does a booth at the ABA Conference for Community Bankers cost?
Every booth on this page is published with its San Diego price — fixed and all-inclusive: design, fabrication, graphics, furniture, freight, labour coordination and project management. Separately, the show and venue bill you directly for booth space, electrical, drayage, rigging and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for the conference?
Lock your design by early December. The conference runs in February, so graphics and approvals land across the holidays — production everywhere runs half-speed between mid-December and New Year — and the advance-order window closes in mid-December. Start the conversation in early fall for full design freedom; the exact advance deadline for the next edition is in the facts strip at the top of this page and updates automatically.
The venue is a resort, not a downtown convention center — does that change anything?
Operationally, yes. The Gaylord Pacific Resort & Convention Center in Chula Vista runs its exhibit floor on the venue’s own schedule — docks shared with hotel operations, off-site marshalling, tighter freight windows than a big-city hall. None of it is your problem to manage: we plan freight, install and dismantle to the venue’s calendar and file every order early, at advance rates.
What booth size makes sense for this conference?
This is an executive marketplace, not a mega-expo — most providers exhibit in compact footprints, and a well-designed 10×10 or 10×20 holds its own alongside anything on the floor. The win condition is a booth built for conversation: clear message, seated meeting space, a demo that lands in minutes. If you want more presence, a 20×20 island reads as substantial in a marketplace this size.
The audience is bank CEOs. How should the booth differ from a big-expo build?
Design for trust and conversation instead of spectacle. Community bank chief executives respond to the same signals they give: professionalism, clarity, no gimmicks. That usually means quality finishes over flash, a private or semi-private place to sit, and graphics that state exactly what you do for a bank in one pass. We design to that brief — and you approve photographs of the finished booth before it ships.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our 65,000 sq ft facility and you approve photographs of the actual booth, not a render.
Can I install the booth myself to save on labour?
Show floors run on contracted labour under rules set by the show and venue, and resort properties enforce their dock and floor schedules strictly. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, with every related order filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver a conference booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. For a February show specifically, the earlier in the fall you call, the more of that window sits outside the holidays.
