ACFAS is a tight, specialist audience — but it meets at the Orange County Convention Center, one of the largest convention campuses in the country. That mismatch is where exhibitors get burned: a conference-sized booth still has to move through big-building logistics, dock schedules and marshalling yards. The most expensive ACFAS mistake isn’t a bad booth; it’s a booth planned without respecting the venue.

A March show sounds far from the year-end holidays — it isn’t. Design approvals and graphics land across December, when production everywhere runs half-speed, and advance-order deadlines follow in mid-January. Lock the design before the break and the whole timeline stays calm; miss it and you’re paying floor rates.

Booth space, electrical, drayage, rigging, cleaning and internet are billed to every exhibitor directly by the show and venue — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

Medical-congress invoices have a way of growing: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. How much does an ACFAS booth rental cost?

Separately, the show and venue bill you directly for booth space, electrical, drayage, rigging, cleaning and internet; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for ACFAS?

The Orange County Convention Center is enormous. Does that change my planning?
Yes — operationally more than creatively. The OCCC is a multi-building campus with long dock-to-booth freight routes and a marshalling-yard system that controls when trucks can approach. We confirm your exact hall from the exhibitor manual, then book freight windows, dock targets and install labour to that building’s schedule. None of it lands on your desk.
Can my booth support live device demos and hands-on stations?
That’s the core of what we design for a surgical audience: demo tables at working height, monitor and imaging-display mounts, secure storage for instrumentation, and lighting planned around the product rather than the architecture. The structure, counters, mounts and lighting are inside the fixed price; the show electrical drop itself is billed to you directly by the venue, and we calculate it and file the order at advance rates.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our 65,000 sq ft facility and you approve photographs of the actual booth, not a render.
Do I need a private meeting space in an ACFAS booth?
If your conversations involve pricing, contracts or clinical data, usually yes — even a small enclosed room or semi-private lounge changes what can be discussed on the floor. It’s a layout decision we make with you at the design stage, and it’s inside the fixed price like every other structural element.
Can I install the booth myself to save on labour?
Show floors at major venues run on contracted labour, and the show’s rules govern who may build what. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, with show-billed services filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
