A hotel exhibit floor is not a convention hall

The ACP Annual Session runs inside the Hyatt Regency Chicago — a downtown hotel, not a purpose-built convention center. That changes the physics of exhibiting: freight arrives through hotel docks on tighter windows, ceilings sit lower than a big-hall island assumes, and the exhibit floor lives steps from the education sessions that actually set the day’s traffic. A booth designed for a convention hall and dropped into a hotel ballroom fails in both directions.

Hotel logistics, planned to the building

Hyatt Regency Chicago

Hotel venues run on shared docks, freight elevators and compressed move-in windows — there’s no marshalling yard absorbing your schedule slip. We confirm ceiling heights, elevator clearances and dock timing before anything is designed, so the booth that arrives is the booth that fits, first time.

A specialist floor, close up

Prosthodontists · lab teams · residents

This is a floor of dental specialists, and the distance between your graphic and the visitor is measured in feet, not hundreds of feet. Big-hall tricks — height, motion, volume — matter less than a demo station at working height, materials in hand, and a layout that lets a case conversation run ten minutes without blocking the aisle.

The November calendar

Advance deadlines land in September

The advance-order window for a November show closes around eight weeks out — roughly mid-September. Miss it and every venue service is billed at floor rates. The exact dates for this edition are in the facts strip at the top of this page, and they update automatically from our shows database.

What we handle at the ACP Annual Session
  • Venue-specific design — sized to hotel ceilings, elevators and floor plan
  • Layout submission and show approval, filed early
  • Electrical, rigging and material handling calculated and filed at advance rates
  • Labour coordination and on-site supervision through move-in
  • COI and exhibitor-manual deadlines mapped to our calendar
  • Dock timing, dismantle, pack and outbound freight
Billed by the show, not by us

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show and venue — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

Why a fixed price matters most here

The budget you approve in summer should survive November

Trade show invoices grow in predictable places: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

01

One number, and it holds

Design, fabrication, graphics, furniture, lighting, freight, installation, dismantle and project management in a single fixed price.

02

Proven before it ships

Your booth stands fully assembled and lit at our 65,000 sq ft facility, and you approve photographs of the actual build — not a render.

03

Show costs, known up front

Space, electrical, drayage and rigging calculated for your exact booth before you commit — so the total is a number, not a range.

04

The paperwork is ours

COI, electrical, rigging, freight windows — filed at advance rates, mapped to every exhibitor-manual deadline. Nothing lands on your desk three days before it’s due.

We quote higher and cost less. That’s the whole argument, and it’s why every booth below is published with its price rather than hidden behind a “request a quote” form.

Working backwards from November 2026

Your real deadline is in September

The advance-order cutoff lands roughly eight weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. For a November show that puts the binding constraint in mid-September: after it passes, every venue service you order is billed at floor rates, and the calendar stops being your friend.

Take this to every vendor

Five questions to ask anyone quoting your ACP booth

Put these to every exhibit house you’re comparing — including us. They separate the vendors that stand behind a number from the ones whose estimate is an opening position. Our answers are printed here so you can hold us to them.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in September costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off before it leaves. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. The advance-versus-floor spread is real money at any show — if a vendor can’t answer this immediately, that’s your answer.
5 Have you planned a build for a hotel exhibit floor before? Ours: yes — and it changes the design. Hotel venues mean shared docks, freight elevators, lower ceilings and compressed move-in windows. We confirm the building’s constraints before anything is drawn, so nothing is discovered on move-in day.

Questions ACP exhibitors actually ask

ACP booth rental FAQs

How much does a booth rental for the ACP Annual Session cost?
Every booth on this page is published with its Chicago price — fixed and all-inclusive: design, fabrication, graphics, furniture, freight, labour coordination and project management. Separately, the show and venue bill you directly for booth space, electrical, drayage, rigging and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for ACP 2026?
Work backwards from the advance-order cutoff, which lands roughly eight weeks before the show — for this edition that means mid-September. Start the conversation in late spring or summer for full design freedom; the exact dates and deadline for the current edition are in the facts strip at the top of this page and update automatically from our shows database.
The show is inside the Hyatt Regency Chicago, not a convention center — does that change anything?
Operationally, quite a lot: hotel venues run on shared docks and freight elevators with tighter move-in windows, and ceiling heights are lower than a purpose-built hall. Design-wise it’s an advantage if you plan for it — the audience is close, so a demo station at working height beats a tower nobody can see the top of. We confirm the building’s clearances and dock schedule before anything is designed, and plan freight and labour to the hotel’s calendar, not a generic show template.
Our product needs a hands-on demo — can the booth be built around that?
That’s the right instinct for this audience. Prosthodontists and lab teams stop where they can touch the workflow — so we design the booth around the demo station first: counter heights for seated or standing demonstrations, task lighting where the work happens, power routed to the equipment, and a layout that lets a technical conversation run without blocking the aisle. The structure follows the demo, not the other way round.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our 65,000 sq ft facility and you approve photographs of the actual booth, not a render.
Can I install the booth myself to save on labour?
Show floors in Chicago run on contracted labour, and the show’s exhibitor manual governs who may build what. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, with venue services filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are reachable through move-in and across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver an ACP booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. Call (800) 379-8451 and we’ll tell you honestly whether your date is makeable.
Do you handle events off the show floor — receptions, suites, symposia?
Yes — hotel suites, meeting spaces, corporate symposia and satellite activations around the show run under the same fixed-price model, coordinated by the same project manager as your booth. At a hotel-based show like this one, holding the booth and the evening event under one team is usually simpler and cheaper than splitting them.
