AHIP Conference Booth Rentals

Two days. Senior decision-makers only. No second impression at AHIP.

Fixed-price AHIP exhibits — design, fabrication, graphics, freight, installation and dismantle in one number that doesn’t move. Pre-built, lit and photo-approved before it ships, so the booth built for health plan executives and policymakers has already stood up once. Venue to be announced — the facts strip at the top of this page updates automatically the moment it’s confirmed.

Know the floor before you plan the booth

AHIP isn’t a browsing show. It’s two days with the people who decide.

AHIP compresses an entire year of health-plan and policy relationship-building into two days — venue to be announced, the facts strip at the top of this page updates automatically once it’s confirmed. What doesn’t change is the audience: senior decision-makers with a packed agenda and almost no idle time on the floor. The most expensive AHIP mistake isn’t a bad booth; it’s a booth that assumes it has more than a few seconds to earn a conversation.

Las Vegas, venue pending

Confirmed once the facts strip updates

Las Vegas runs some of the busiest convention logistics in the country regardless of which venue AHIP lands in — union labour, marshalling-yard freight and targeted move-in windows are the norm citywide. We build to whichever venue is confirmed and adjust freight, labour and dock timing the moment the facts strip updates, so your design doesn’t have to wait on the announcement.

A two-day executive floor

Senior decision-makers, not a browsing crowd

With only two days on the floor, there’s no slow build to momentum — the booth has to work from the first hour. Attendees are executives and policymakers who came for specific conversations, not to wander; a booth engineered for a seated, high-value discussion outperforms one built for foot traffic it will never get.

No time to fix a mistake

A compressed show punishes anything unfinished

A five-day trade show gives you a day to quietly fix what move-in reveals. AHIP doesn’t — whatever shows up on day one is what senior decision-makers see for the entire event. Everything has to be right before the truck leaves our facility, not after it arrives at the venue.

What we handle at AHIP
  • Design built for a two-day, high-value conversation, not foot traffic
  • Layout submission and show approval, filed early
  • Electrical, rigging and material handling at advance rates
  • Labour coordination and on-site supervision
  • COI, EAC and exhibitor-manual deadlines mapped to our calendar
  • Dock target times, dismantle, pack and outbound freight — confirmed once the venue is announced
Billed by the show, not by us

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

  • Booth space
  • Electrical drops and floor distribution
  • Material handling (drayage)
  • Rigging, if you’re hanging a sign
  • Daily cleaning · internet
Why a fixed price matters most here

The budget you present in February should survive June

Trade show invoices grow the same way everywhere: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

01

One number, and it holds

Design, fabrication, graphics, furniture, lighting, freight, installation, dismantle and project management in a single fixed price.

02

Proven before it ships

Your booth stands fully assembled and lit at our 65,000 sq ft facility, and you approve photographs of the actual build — not a render.

03

Show costs, known up front

Space, electrical, drayage and rigging calculated for your exact booth before you commit — so the total is a number, not a range.

04

The paperwork is ours

COI, EAC, electrical, rigging, freight windows — filed at advance rates, mapped to every exhibitor-manual deadline. Nothing lands on your desk three days before it’s due.

We quote higher and cost less. That’s the whole argument, and it’s why every booth below is published with its price rather than hidden behind a “request a quote” form.

Working backwards from June

Your real deadline is in mid-spring

The advance-order cutoff lands roughly eight weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. With only two days on the floor, there’s no room to treat that deadline as a suggestion — a compressed show leaves zero time to correct anything that arrives wrong.

Five questions to ask anyone quoting your AHIP booth

Put these to every exhibit house you’re comparing — including us. They separate the vendors that stand behind a number from the ones whose estimate is an opening position. Our answers are printed here so you can hold us to them.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in March costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off before it ships. Renders are promises; photographs are evidence — with only two days on the floor, there’s no time to discover a problem after it ships.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. Once the venue is confirmed we file immediately — if a vendor can’t tell you how they’ll move that fast, that’s your answer.
5 What happens if something’s wrong when the doors open? Ours: nothing — because it was already found and fixed weeks earlier at our facility. On a two-day show there’s no slow first morning to quietly correct a problem; any vendor who can’t guarantee your booth is finished before it ships is asking you to gamble both days. Ask them directly.

Questions AHIP exhibitors actually ask

AHIP booth rental FAQs

How much does an AHIP booth rental cost?
Every booth on this page is published with its Las Vegas price — fixed and all-inclusive: design, fabrication, graphics, furniture, freight, labour coordination and project management. Separately, the show bills you directly for booth space, electrical, drayage, rigging and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for AHIP?
Lock your design in mid-spring. The advance-order cutoff lands roughly eight weeks out, and with only two days on the floor there’s no margin to treat that date as flexible. Start the conversation early in the year for full design freedom; the exact advance-order deadline for the next edition is in the facts strip at the top of this page and updates automatically.
The venue hasn’t been announced yet — how can you plan my booth?
Design, fabrication and graphics don’t depend on the venue — those move forward on your timeline the moment we start. What waits on the announcement is venue-specific logistics: dock schedules, freight-elevator or marshalling-yard details, and labour rules. We build those into the plan the instant the facts strip updates, so nothing about your booth itself is held up.
With only two days on the floor, is a full custom build worth it?
For this audience, yes — arguably more than at a five-day show. Senior decision-makers aren’t browsing for hours; they’re making a handful of high-value stops, and a booth that reads clearly and holds a real conversation earns those stops. A generic pop-up has to work just as hard in half the time, with none of the credibility.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our facility and you approve photographs of the actual booth, not a render.
Can I install the booth myself to save on labour?
Las Vegas floors run on contracted union labour, and the show’s general contractor governs who may build what. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver an AHIP booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. On a two-day show, that speed matters even more: there’s no slow first day to fix a late start.
What happens to my timeline once the venue is confirmed?
Nothing changes on our end — venue-specific orders like dock scheduling and freight timing were already prepared to file the moment the announcement lands. Your design, fabrication and photo approval all proceed on schedule regardless of when the venue is finalized.
