The exhibit hall at ARVO lives inside a five-day scientific programme — attendees surge through between paper sessions and poster blocks rather than browsing all day. Your booth competes with the programme, not just with the aisle. The most expensive ARVO mistake isn’t a bad booth; it’s a booth planned like a buyer’s show when the traffic behaves like a conference.
A single waterfront building with contiguous halls — simpler than a multi-campus show, but freight still runs through a marshalling yard and scheduled dock targets, and the floors run on contracted union labour. We book the freight window, hit the target time and supervise the crew, so the venue’s rhythm is our problem, not yours.

Booth space, electrical, drayage, rigging, cleaning and internet are billed to every exhibitor directly by the show and venue — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.
Exhibit-house invoices grow in predictable ways: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

The advance-order cutoff lands roughly eight weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. Everything upstream of that cutoff exists to protect it: a design still moving in March is a booth paying floor rates in May.
