The Annual Meeting fills the Walter E. Washington Convention Center with the entire Army enterprise — leadership, program offices, primes, suppliers and allied delegations — for three days in the heart of downtown DC. Where your booth lands, and who anchors the aisle around it, changes everything from your freight window to which conversations ever reach you. The most expensive AUSA mistake isn’t a bad booth; it’s a booth planned without knowing the floor.

A downtown venue, not a fairground

The WEWCC sits in the middle of downtown Washington — exhibit halls on multiple levels, city-block loading docks, marshalling off site and tight, scheduled move-in windows. Freight that would be routine at a suburban venue needs a dock target time and a carrier who has worked this building. We plan the booth around the venue’s rhythm, not the other way round.

Mid-size exhibitors have to be sharp

Defense primes take enormous footprints with full-scale vehicles and multi-storey structures — and they pull the traffic. A mid-size exhibitor doesn’t win AUSA by imitating that at a quarter scale. You win with one readable message, one demonstration worth stopping for, and a booth disciplined enough to deliver both in the seconds between two anchor exhibits.

AUSA lands days after the federal fiscal year rolls over, when budgets reset and program conversations restart — which is exactly why the audience shows up ready to talk. It also means advance-order deadlines fall in late summer, while half the industry is on vacation. The exact cutoff for the next edition is in the facts strip at the top of this page.

Booth space, electrical, drayage, rigging, cleaning and internet are billed to every exhibitor directly by the show and venue — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

Why a fixed price matters most here

The budget you defended in spring should survive October

Defense marketing budgets are scrutinised line by line — which makes AUSA the worst possible place for an exhibit invoice that grows: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

The advance-order cutoff lands roughly eight weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. For an October show that puts the deadline in mid-August. If you’re reading this in late summer, you’re not early; you’re at the door. The honest news: the steps after that gate compress well — the one thing that can’t be recovered later is the advance-versus-floor rate spread.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in September costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off before it ships to Washington. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. At AUSA those deadlines fall in late summer, and the advance-versus-floor spread is real money — if a vendor can’t answer this immediately, that’s your answer.
5 Have you worked the Walter E. Washington Convention Center before? Ours: yes — and it matters more here than at most venues. A downtown DC building with scheduled docks and off-site marshalling punishes improvised freight plans. Ask any vendor how they book a dock target time at the WEWCC; the pause tells you everything.

How much does an AUSA booth rental cost?
Every booth on this page is published with its Washington DC price — fixed and covering design, fabrication, graphics, furniture, freight, labour coordination and project management. Separately, the show and venue bill you directly for booth space, electrical, drayage, rigging, cleaning and internet; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for AUSA?
Advance-order deadlines for an October show fall in late summer — the exact cutoff for the next edition is in the facts strip at the top of this page and updates automatically. Start the conversation in late spring for full design freedom. If you’re closer than that, call anyway: fabrication compresses well, but the advance-rate filings can’t be recovered once the window closes.
What’s different about exhibiting at the Walter E. Washington Convention Center?
It’s a downtown Washington building, not a fairground: exhibit halls across multiple levels, scheduled dock times, off-site marshalling and city traffic between your carrier and the door. Freight and labour have to be planned to the building’s rhythm — a dock target time missed in DC isn’t a delay, it’s a rebooking. We plan the booth, the freight window and the install crew around the WEWCC specifically.
We’re a mid-size supplier surrounded by primes. How do we compete on that floor?
Not by imitation. The primes bring full-scale vehicles and multi-storey structures; a quarter-scale copy just reads as smaller. Mid-size exhibitors win AUSA with discipline — one message readable from the aisle, one demonstration worth stopping for, and a meeting space where a program conversation can actually happen. That’s a design problem, and it’s exactly what a custom-fabricated rental is for.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our 65,000 sq ft facility and you approve photographs of the actual booth, not a render.
Can I install the booth myself to save on labour?
The WEWCC floor runs on contracted union labour, and the show’s rules govern who may build what. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, with show orders filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver an AUSA booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. For AUSA the constraint to watch is the advance-order calendar, not our fabrication schedule; call and we’ll tell you honestly which rates are still open.
Do you handle events off the show floor — hospitality suites, briefings, receptions?
Yes — hotel suites, briefing rooms and satellite receptions around the Annual Meeting run under the same fixed-price model, coordinated by the same project manager as your booth. In a show where the biggest conversations often happen off the floor, that’s frequently the second thing clients ask us to build.
