The resort-show argument

The audience never leaves the building. Neither does your opportunity.

Grapevine’s shows run inside a self-contained resort: attendees sleep upstairs, eat downstairs, and pass the exhibit hall a dozen times a day between sessions, meals and receptions. At a downtown convention center your booth gets one walk-by per attendee per day; here it gets repeat exposure to the same people for the length of the meeting — the rare format where a booth compounds.

We design for that compounding: builds with depth that reward a second and third look, meeting space that turns familiarity into appointments, and hospitality that makes your booth the natural home base of a three-day stay — on one fixed contractual number, verified complete in our shop before it ships.

01

Designed for repeat exposure

Layered content, rotating demos and details that reward the third walk-by — resort audiences see everything twice, so one-trick booths wear out by lunch on day one.

02

The builder, direct

Design, fabrication, print and wiring in our own shop — no brokered subcontracts adding margin and drift. The people who drew your booth build it.

03

Verified before it ships

The complete booth stands in our shop and you approve photographs of it before anything travels — a checked build, not a hopeful one.

04

One number, no surprises

Design through dismantle in a single contractual figure, with the venue’s own charges forecast beside it before you sign.

The delta your post-show audit always finds

Run the numbers on most exhibit projects after the show and the same delta appears: final spend versus approved quote, up a quarter or more. The venue didn’t cause it — venue charges are tariffed and predictable. The exhibit house did, in hourly labour that “ran over,” design help re-billed as change orders, and reprints priced like emergencies. One 20×20 island at Grapevine, both ways:

Typical exhibit house
Quoted before you signed$29,000
Install & dismantle labour overrun+ $3,400
Change orders from design rounds+ $2,400
Rush graphics and reprints+ $1,300
Site supervision, hourly+ $1,100
Actually paid$37,200
28% above the quote
Pure Exhibits
Quoted before you signed$32,000
Install & dismantle labourIncluded
Design roundsUnlimited
Graphics productionIncluded
Site supervisionIncluded
Actually paid$32,000
Exactly the quote

On the venue’s invoice in both scenarios: space, electrical, drayage, rigging, cleaning, internet — the show’s charges, tariffed and identical whoever builds for you. A vendor who “includes” them has buried them. We forecast each line for your booth up front and place the orders before the advance-rate window closes.

We quote higher and cost less. Audit us on it — the final invoice matching the quote is the deliverable.

Gaylord Texan · 1501 Gaylord Trail, Grapevine, TX

Hotel, restaurants and show floor — one resort between Dallas and the airport

The Gaylord Texan is Texas’s resort-format venue: nearly half a thousand rooms rising over a 19-story glass atrium, with roughly half a million square feet of meeting and event space — anchored by the Longhorn Exhibit Hall at roughly 180,000 square feet — all under one glass atrium on Lake Grapevine. Ten minutes out the door sits DFW International; half an hour away sits Dallas. The format is the point: attendees fly in, check in, and never need a car until they leave.

The exhibition hall

~180,000 sq ft main hall · resort-grade finish

A mid-size floor in a high-finish building — the scale where a well-designed 20×20 island anchors the room and inlines work at conversation distance. Hall logistics run through the resort’s own dock system, on the resort’s schedule.

The vertical campus

~2,000 rooms · atrium · restaurants · ballrooms in-house

Sessions, meals, receptions and sleep all happen in the building, so the exhibit hall sits inside every attendee’s daily loop — the repeat-exposure economics the argument above is built on.

The airport next door

DFW International · 10 minutes door to door

National meetings choose Grapevine because every attendee in America is one direct flight and a ten-minute shuttle from the show floor — which shows up in attendance numbers, and in how long people stay on the floor.

What we run for you here
  • Hall and dock confirmation before anything books
  • Floor plan filings and venue approvals
  • Dock target times on the resort’s schedule
  • Electrical, rigging and drayage ordered at advance rates
  • COI and contractor paperwork per venue
  • Supervised install, show-day support, dismantle
Worth knowing · resort rules

A resort venue runs its floor differently from a civic convention center — dock scheduling, contractor access and service ordering all flow through the property’s own systems and rules. We confirm them with the show’s general contractor before your plan is written, so the format’s quirks are our scheduling problem, not your move-in surprise.

The resort-show playbook

Exhibiting to a captive audience is a different game

Downtown shows are drive-by markets: each attendee passes once, and the booth’s job is to stop them now or lose them forever. A resort show inverts that. The same few thousand people live with your booth for the length of the meeting — passing between sessions, drifting through at coffee breaks, walking the hall again after dinner because it’s twenty steps from the elevator. First impressions still matter; second and third impressions finally exist.

The playbook that follows: content layered so the third walk-by finds something new, demos on a published schedule attendees can plan around, hospitality that makes your space the hall’s natural landing spot, and meeting areas that convert accumulated familiarity into booked conversations by day two. Booths built for the drive-by market leave most of this format’s value on the table.

01

Layered, not loud

Rotating content, scheduled demos and depth that rewards return visits — the design brief for an audience that will genuinely see everything twice.

02

The home-base booth

Real seating, good coffee and a welcoming layout make your space the hall’s landing spot — and at a resort show, the booth people keep coming back to wins the meeting.

03

Familiarity into pipeline

Semi-private meeting space and a calendar-managed reception point convert three days of repeated contact into booked, documented conversations — the resort format’s real yield.

Exhibiting across Texas too? Dallas, Houston, Austin and San Antonio run on the same published fixed model — one booth design, one project manager, every city’s price known before your year starts.

Grapevine show calendar

When to start, by show

Grapevine runs on rotation — the Gaylord Texan’s calendar is a stream of association annual meetings, corporate kickoffs, franchise conventions and direct-selling summits that choose the resort format — and the DFW flight map — deliberately. Name yours and we’ll pull its manual before we quote.

Verify months annually · rotating meetings not listed
ShowTypical monthVenueStart planning
Association annual meetingsYear-roundGaylord Texan4–5 months
Corporate kickoffs & franchise conventionsSeasonal · verifyGaylord Texan5 months
Direct-selling & industry summitsSeasonal · verifyGaylord Texan4 months

Resort shows reward the extra month — the property’s dock schedule, contractor rules and in-house services all book through one system, and meetings here publish their agendas early. A booth planned five months out has its demo schedule and meeting calendar built before competitors have approved budgets.

Working backwards

The calendar that matters runs in reverse

Show dates don’t create cost pressure — order deadlines do, and the decisive one closes roughly eight weeks out, when advance rates on electrical, rigging and drayage expire. Everything else in the plan exists to arrive at that gate comfortably.

−6 MONTHSScope agreed, fixed figure signed, design begins.
−4 MONTHSHall confirmed; layout submitted for approval.
−10 WEEKSArtwork frozen and moved into print.
−8 WEEKSAdvance rates on show services expire. The gate everything aims at.
−4 WEEKSFreight slot and dock time locked to the current campus plan.
−2 WEEKSComplete build stands in our shop; photo sign-off.
SHOW WEEKInstall lands in your window; you arrive to a working booth.
Rush and last-minute

A month out is workable

Late vendor collapse, a show slot that opened up, a budget approved behind schedule — with design, fabrication and print in one building, a Grapevine booth can go approval-to-floor in about four weeks. Same quality gate (built and photographed before shipping), same printed price. Compressed timelines are our scheduling problem, not your surcharge.

  • Roughly four weeks, approval to show floor
  • Photo-verified pre-build, even on rush
  • 10×10 through 20×40 on compressed timelines
  • The published price holds — no rush premium
Questions exhibitors actually ask

Grapevine booth rental FAQs

How much does a trade show booth rental cost in Grapevine?
The table above is the answer: $14,000–$16,000 for a 10×10 through $63,000–$74,500 for a 30×40 — design, build, graphics, freight, crews and management in one contractual figure. The venue bills space, electrical, drayage and rigging separately to every exhibitor; we forecast those lines for your booth before you sign.
What’s different about exhibiting at a resort venue like Gaylord Texan?
Two things: the audience economics — attendees live in the building, so your booth gets repeat exposure instead of one walk-by — and the operations, since docks, contractor access and services run through the resort’s own systems. We design for the first and manage the second.
Do I see the booth design before I commit?
Yes — a photorealistic 3D design revised until you approve, at no charge. Then the finished booth stands complete in our shop and you sign off on photographs of it before it ships to Grapevine. The design conversation happens before the money conversation closes, not after.
Is freight to Grapevine included?
Round trip, inside the fixed price, never a line item. Resort docks run on the property’s schedule, so our freight plan files early and arrives as one consolidated, pre-verified shipment — exactly what a single-dock-system venue rewards.
How should a booth be designed for repeat exposure?
Layer it: rotating content, demos on a published schedule, details that reward a second and third look, and hospitality that makes your space the hall’s natural landing spot. One-trick booths wear out by lunch on day one when the same audience passes a dozen times.
What do the resort’s exclusive-services rules mean for my booth?
Gaylord properties run in-house exclusives on rigging, electrical and catering, and the dock books through the resort’s own scheduling system — none of which should surprise you on an invoice. We forecast the property’s charges beside your fixed booth number before you sign, design ground-supported where rigging costs outrun their value, and file the paperwork on the resort’s calendar, not ours.
Can you build double-deck booths at Gaylord Texan?
Yes, for footprints from 20×20 up where the show’s rules allow — two-storey builds add structural drawings, venue engineering review and rigging coordination, all of which we run as part of the job.
Do you also cover Dallas, Houston and the rest of Texas?
Yes — Dallas, Houston, Austin and San Antonio each have their own pages with local pricing. One booth design and one project manager can run your whole Mid-Atlantic calendar, every venue’s number known before the year starts.
Will a rental read as custom on the floor?
The structure is modular; every surface a visitor sees — graphics, lighting, finishes, layout — is designed for your brand. The gallery above is all rentals. You judge for yourself before it ships, from photographs of your actual booth standing in our shop.
Who’s with us during move-in and the show?
Our install supervisor runs your move-in window on the floor, and your project manager stays reachable through every show day. Pre-verified builds make move-in quiet — and when the floor produces a surprise anyway, the people who built the booth are the ones responding.
