Booth space, electrical, drayage, rigging, cleaning and internet are billed to every exhibitor directly by the show and venue — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates — which matters double on a short runway.

The number you take to procurement should survive the show

Companies selling into higher education know how the buying side works: budgets approved once, purchase orders that don’t flex, finance teams that remember overruns. 1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea mid-process costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off before it leaves for Denver. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. On a short runway the advance-versus-floor spread is the first money careless vendors burn — if a vendor can’t answer this immediately, that’s your answer.
5 Can you honestly deliver on this timeline — and what’s the surcharge? Ours: yes, and none. How much does an EDUCAUSE booth rental cost?
Every booth on this page is published with its Denver price — fixed and covering design, fabrication, graphics, furniture, freight, installation, dismantle and project management. Separately, the show and venue bill every exhibitor directly for booth space, electrical, drayage, rigging, cleaning and internet; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
Is there still time to get a booth for this year’s show?
Yes — but the honest version has a condition attached. The window to show week is weeks, not months (the exact dates and advance-order deadline are in the facts strip at the top of this page), which rules out a ground-up custom fabrication. Our pre-built inventory is the fast path: complete structures, re-skinned in your brand, photo-verified and shipped in four to six weeks from approval, at the same fixed price with no rush surcharge. The condition: decisions have to come quickly on your side too.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our 65,000 sq ft facility and you approve photographs of the actual booth, not a render.
EDUCAUSE moves to Orlando next year. What happens to my booth?
This is where renting quietly wins. You own nothing that needs warehousing, insuring or trucking across the country between editions. Your design files, graphics and layout carry forward, and we rebuild the same booth — or an evolved version — in the next host city at a fixed price. Exhibitors who bought a booth for a rotating show are paying storage all year to solve a problem renters don’t have.
What’s actually included in the fixed price — and what isn’t?
Included: design, fabrication, custom graphics, furniture, lighting, freight, installation, dismantle and project management — one number, contractually held, with unlimited design revisions until you approve. Never included, by anyone: drayage, rigging, electricity, cleaning and internet are separate charges billed to every exhibitor directly by the show and venue. We calculate those for your exact booth up front and file the orders at advance rates, so nothing about the total is a surprise.
Can I install the booth myself to save on labour?
Denver show floors run on contracted union labour, and show rules govern who may build what. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, with orders filed at advance rather than floor rates.
We’re a smaller edtech company. Does a 10×10 or 10×20 get the same treatment?
Yes — smaller footprints are still custom-branded builds with your graphics, lighting and demo layout, at a published fixed price, and they’re the fastest of all from our pre-built inventory. A sharp 10×20 with a working demo station holds its own at EDUCAUSE, where attendees came to evaluate — and the design files carry forward when you take a bigger footprint in the next city.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier. On a compressed timeline, that pre-check is the safety margin.
Do you handle events off the show floor — meeting suites, receptions, campus visits?
Yes — hotel suites, meeting spaces and satellite events around the conference run under the same fixed-price model, coordinated by the same project manager as your booth.
