EV Charging Summit Trade Show Booth Rentals

The people who decide where charging infrastructure gets built are all in one hall. Your booth has three days.

Fixed-price EV Charging Summit exhibits — design, fabrication, graphics, freight, installation and dismantle in one number that doesn’t move. Pre-built, lit and photo-approved before it ships, so what stands up at Caesars Forum has already stood up once.

The kind of booth infrastructure buyers take seriously

The EV Charging Summit floor is walked by charging network operators, utilities, fleet managers and site hosts — buyers who evaluate equipment for a living and read a booth the way they read a spec sheet. The work below is what we build for technology and hardware companies: custom structures designed around the product demo, not around the furniture, with every project moving through one team from first rendering to dismantle.

Know the floor before you plan the booth

A focused floor where the hardware does the talking

The EV Charging Summit is the leading EV charging infrastructure event — a concentrated floor at Caesars Forum where nearly every attendee is a potential buyer, specifier or partner. That changes the design brief: you’re not fighting a hundred-thousand-person crowd for attention, you’re giving a few thousand serious evaluators a reason to stop, touch the equipment and stay for a real conversation.

Caesars Forum — an exhibitor’s building

Single level · column-free halls

Caesars Forum is one of the friendliest venues in Las Vegas to build in: single-level, column-free halls with direct load-in from the dock to your space. No freight elevators, no ramps, no columns eating your sightlines. That means cleaner move-in windows and more of your budget in the booth instead of the logistics — but the show’s general contractor still governs the dock schedule, so the advance paperwork matters as much as anywhere.

Heavy hardware, real power

Chargers on the floor, not in renders

This floor is different from a software show: exhibitors bring actual charging hardware, and DC fast-charge cabinets are heavy, floor-loading-relevant and power-hungry. Buyers — utilities, fleet operators, site hosts — expect to see the equipment, not a picture of it. We engineer the booth around your hardware: reinforced display positions, cable routing, and power requirements calculated and filed in advance, not discovered at move-in.

The March calendar

Advance orders close in early January

A March show feels far away in the fall — until you map it. Advance-order deadlines land roughly eight weeks out, in early January, which means the decisions that lock your rates get made right as the holidays end. Design work that isn’t finished before the December break gets squeezed into the most expensive weeks of the cycle. The exact deadline is in the facts strip at the top of this page.

What we handle at the EV Charging Summit
  • Booth design engineered around your charging hardware and demos
  • Layout submission and show approval, filed early
  • Electrical, rigging and material handling at advance rates
  • Union labour coordination and on-site supervision
  • COI, EAC and exhibitor-manual deadlines mapped to our calendar
  • Dock target times, dismantle, pack and outbound freight
Billed by the show, not by us

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

  • Booth space
  • Electrical drops and floor distribution
  • Material handling (drayage)
  • Rigging, if you’re hanging a sign
  • Daily cleaning · internet
Why a fixed price matters most here

The budget you present in the fall should survive March

Exhibit-house invoices grow in predictable ways: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. On a floor where your hardware already carries real freight and power costs, the booth shouldn’t add uncertainty on top. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

01

One number, and it holds

Design, fabrication, graphics, furniture, lighting, freight, installation, dismantle and project management in a single fixed price.

02

Proven before it ships

Your booth stands fully assembled and lit at our 65,000 sq ft facility, and you approve photographs of the actual build — not a render.

03

Show costs, known up front

Space, electrical, drayage and rigging calculated for your exact booth — including your hardware’s weight and power draw — before you commit, so the total is a number, not a range.

04

The paperwork is ours

COI, EAC, electrical, rigging, freight windows — filed at advance rates, mapped to every exhibitor-manual deadline. Nothing lands on your desk three days before it’s due.

We quote higher and cost less. That’s the whole argument, and it’s why every booth below is published with its price rather than hidden behind a “request a quote” form.

Working backwards from early March

Your real deadline is in early January

The advance-order cutoff lands roughly eight weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. For a March show that cutoff arrives in early January, right as everyone comes back from the holidays — which means the real work has to be finished before the December break, not after it.

SEPT–OCTBrief, concepts and the fixed price locked. Full design freedom.
NOVEMBERLayout submitted for show approval — placement and hardware positions confirmed.
DECEMBERGraphics finalised and sent to production before the holiday break.
EARLY JANAdvance-order deadline. Design locked; electrical, rigging and drayage filed at advance rates. After this, everything costs floor rates.
LATE JANFreight window and dock target time booked at Caesars Forum.

Take this to every vendor

Five questions to ask anyone quoting your Summit booth

Put these to every exhibit house you’re comparing — including us. They separate the vendors that stand behind a number from the ones whose estimate is an opening position. Our answers are printed here so you can hold us to them.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in December costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off before it leaves. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. With an early-January cutoff sitting right after the holidays, the advance-versus-floor spread is real money — if a vendor can’t answer this immediately, that’s your answer.
5 My booth has to display working charging hardware. Have you engineered for that? Ours: yes — reinforced display positions, cable routing, and power loads calculated into the design and filed with the show’s general contractor in advance. A charger that arrives at a booth that can’t hold or power it is a move-in disaster; we solve it on paper months earlier.

Questions Summit exhibitors actually ask

EV Charging Summit booth rental FAQs

How much does an EV Charging Summit booth rental cost?
Every booth on this page is published with its Las Vegas price — fixed and all-inclusive: design, fabrication, graphics, furniture, freight, labour coordination and project management. Separately, the show bills you directly for booth space, electrical, drayage, rigging and cleaning; we calculate those for your exact booth — including your hardware’s weight and power draw — before you commit, so the total is known before you sign anything.
When should I book a booth for the EV Charging Summit?
Work backwards from the advance-order deadline, which lands roughly eight weeks before the show — in early January, right after the holidays. That means design and graphics need to be finished before the December break. Start the conversation in early fall for full design freedom; the exact deadline for the next edition is in the facts strip at the top of this page and updates automatically.
What’s move-in like at Caesars Forum?
Better than most Las Vegas venues. Caesars Forum is single-level with column-free halls and direct load-in from the dock — no freight elevators, no ramps. That keeps drayage simpler and install windows cleaner, but the show’s general contractor still controls dock target times and the labour schedule, so the advance paperwork determines whether your move-in is smooth or expensive. We file all of it, early.
I’m displaying actual charging hardware. Can the booth support the weight and power?
Yes — that’s the defining design problem at this show. DC fast-charge cabinets and dispensers are heavy and power-hungry, so we engineer reinforced display positions, plan cable routing into the structure, and calculate your electrical requirements up front. Power orders are filed with the show’s general contractor at advance rates, and your hardware’s freight and handling are accounted for in the plan before anything ships.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our 65,000 sq ft facility and you approve photographs of the actual booth, not a render.
Can I install the booth myself to save on labour?
Las Vegas show floors run on contracted union labour, and the show’s general contractor governs who may build what. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver a Summit booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. For a March show, calling in January still leaves a workable window; calling in the fall leaves a comfortable one.
Do you handle events off the show floor — suites, activations, press events?
Yes — hotel suites, meeting spaces and satellite activations around the show run under the same fixed-price model, coordinated by the same project manager as your booth.
