Press brakes, laser cutters and welding cells run live on the FABTECH floor — and that changes everything about how your booth gets in, what it competes with, and how it needs to be designed. The most expensive FABTECH mistake isn’t a bad booth; it’s a booth planned as if this were an ordinary trade show.

When exhibitors are rolling in multi-ton machine tools, move-in runs on a strict marshalling-yard system and targeted dock times — miss your window and your freight waits behind someone’s press brake. We book your target time early, route freight through the marshalling yard correctly, and have supervision on site so your booth isn’t the one stuck on a truck.

Machines running live draw serious power — and your booth’s electrical order competes on the same forms. Compressed air is a venue and show-ordered service with its own lead times if your demo needs it. And sightlines are contested by equipment two storeys tall: height, lighting and motion have to be engineered in, not hoped for. We design for the hall you’re actually in.

Advance-order deadlines land roughly eight weeks before the show — which puts the real cutoff in late August, while half the industry is still on summer schedules. Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

The budget you present in spring should survive October

Heavy-machinery shows are where exhibit-house invoices go to grow: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

Five questions to ask anyone quoting your FABTECH booth

Put these to every exhibit house you’re comparing — including us. They separate the vendors that stand behind a number from the ones whose estimate is an opening position. Our answers are printed here so you can hold us to them.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in September costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off before it ships. Renders are promises; photographs are evidence — and this is an audience that inspects welds for a living.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. At a heavy-machinery show the advance-versus-floor spread is real money — if a vendor can’t answer this immediately, that’s your answer.
5 Have you worked a heavy-freight move-in before? Ours: yes — marshalling yard, targeted dock times, machinery traffic on the floor. Your booth freight has to move around other people’s machine tools, and a vendor who hasn’t planned for that is planning to be late. Ask them how they route freight when the docks are full of iron.

How much does a FABTECH booth rental cost?
Every booth on this page is published with its Las Vegas price — fixed and all-inclusive: design, fabrication, graphics, furniture, freight, labour coordination and project management. Separately, the show bills you directly for booth space, electrical, drayage, rigging and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for FABTECH?
Lock your design by late August — advance-order deadlines land roughly eight weeks before the show, and the exact date for this edition is in the facts strip at the top of this page. Start the conversation in spring for full design freedom. The trap with an October show is that the critical deadline arrives during summer, when approvals inside most companies slow to a crawl.
What’s different about move-in at the Las Vegas Convention Center for FABTECH?
Weight. FABTECH exhibitors bring press brakes, lasers and welding cells, so move-in runs on a marshalling-yard system with targeted dock times, and heavy machinery gets priority on the floor. Your booth freight has to be scheduled around that traffic. We book the dock target time early, route freight through the marshalling yard correctly, and keep an install supervisor on site so a delay at someone else’s dock doesn’t become your problem.
We’re running live equipment in the booth. Can you handle the power?
Yes — we plan the electrical order around your machine’s actual requirements and file it with the show at advance rates, with distribution engineered into the booth layout rather than taped across an aisle. If your demo needs compressed air, that’s a venue and show-ordered service with its own lead time, and we flag it in the first planning conversation so it’s ordered early, not discovered at move-in.
Will a rental booth look serious next to million-dollar machinery?
That’s exactly what it’s designed for. Every booth is custom-fabricated for your brand — graphics, layout, lighting and finishes on a modular structure underneath — and this audience judges fabrication quality professionally, which is why yours stands fully assembled and lit at our 65,000 sq ft facility and you approve photographs of the actual booth before it ships. The builds shown above are rentals.
Can I install the booth myself to save on labour?
FABTECH floors run on contracted union labour, and the show’s general contractor governs who may build what. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver a FABTECH booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. The advance-order deadlines that have already passed are billed at floor rates by the show, but we calculate that difference up front so even a rescue project starts with a known total.
Do you handle events off the show floor — customer dinners, suites, off-site demos?
Yes — hotel suites, meeting spaces and satellite activations around the show run under the same fixed-price model, coordinated by the same project manager as your booth.
