That compression changes the economics of your booth: the same investment, fewer floor hours to earn it back. A booth that takes half a day to find its rhythm has already spent a quarter of the show.

Mandalay Bay’s convention center runs on marshalling yards, dock target times and contracted labour like every major Las Vegas venue — but everything lives under one roof, with the hotel towers upstairs. That’s an advantage if your freight window, COI and move-in slot are booked early, and a queue of problems if they aren’t. We plan the booth to the venue’s actual schedule, not the show’s mailing address.

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show and venue — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

Why a fixed price matters most here

The budget you approve in winter should survive May

Trade show invoices grow in predictable ways: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. On a condensed two-day show the temptation to eat the overage is even stronger — you’re already committed. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better material idea in February costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off. In front of an audience that judges finishes for a living, renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. The advance-versus-floor spread at a major Las Vegas venue is real money — if a vendor can’t answer this immediately, that’s your answer.
5 What happens if the booth arrives with a problem, on a two-day floor? Ours: it’s already been found. Because the booth stood fully assembled at our facility weeks earlier, the missing-hardware and panels-that-won’t-seat problems surface on our floor, not during your only move-in window. How much does an HD Expo booth rental cost?
Every booth on this page is published with its Las Vegas price — fixed and covering design, fabrication, graphics, furniture, freight, labour coordination, installation, dismantle and project management. Separately, the show and venue bill you directly for booth space, electrical, drayage, rigging and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for HD Expo?
Start the conversation the preceding fall for full design freedom, and have your design locked by early March — the advance-order window for venue services closes roughly eight weeks out, and everything ordered after it costs floor rates. HD Expo moved to a condensed two-day expo floor. Does that change how I should design my booth?
Yes. Fewer floor hours means every hour has to produce meetings, so we bias the design toward instant legibility — one material story readable from the aisle, samples within reach, and a layout that lets a designer move from glance to spec conversation without friction. The education day before the floor opens also concentrates traffic: when the expo opens, the audience arrives all at once, and your booth needs to work from minute one.
My audience is interior designers and architects. Will a rental booth hold up to that scrutiny?
That’s exactly why every booth is custom-fabricated for your brand — graphics, finishes, lighting and layout are designed per project on a modular structure underneath, not pulled from a shelf. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our 65,000 sq ft facility and you approve photographs of the actual booth — so you know precisely what the design community will see.
What’s specific to exhibiting at Mandalay Bay?
Mandalay Bay’s convention center runs on scheduled dock target times, marshalling-yard check-ins and contracted union labour, and its advance-rate windows for electrical, rigging and material handling close well before move-in. The upside is everything under one roof — your team can stay in the same building as the booth. We handle the venue paperwork, book the freight window and supervise the install; you arrive at handover.
Can I install the booth myself to save on labour?
Las Vegas convention floors run on contracted union labour, and show rules govern who may build what. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, and the venue-billed services are filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier. On a two-day floor, that’s the difference between a rough hour and a lost show.
A vendor just fell through. How fast can you deliver an HD Expo booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. The earlier you call, the more design freedom survives, but a spring emergency is still recoverable.
Do you handle events off the show floor — suites, activations, press events?
Yes — hotel suites, meeting spaces and satellite activations around the show run under the same fixed-price model, coordinated by the same project manager as your booth. At a resort venue like Mandalay Bay, a suite two elevators from the expo floor is a genuinely useful second stage.
