Every buyer on this floor came to watch software run. Your booth is the demo room.
Fixed-price HR Tech exhibits — design, fabrication, graphics, freight, installation and dismantle in one number that doesn’t move. Pre-built, lit and photo-approved before it ships, so the demo stations your team depends on have already been stood up, powered and tested once.
Filters the booths below — every one shows its Las Vegas price.
HR Tech’s expo hall is wall-to-wall platforms — HCM suites, payroll, talent intelligence, AI copilots — and every one of them is trying to get a buyer in front of a screen. The work below is what we build for software companies: custom structures designed around the demo and the conversation, not around the furniture, with every project moving through one team from first rendering to dismantle.
Microsoft
Enterprise island built to run scheduled demos all day without a scrum at the counter.
IMAX
Large-format island built around a seated presentation experience.
Fulcrum GT
Professional-services software with full-height LED as the structure, not an add-on to it.
Teramind
Workforce-analytics platform — 1,800 sq ft island with interactive demo zones.
Appdome
Demo theatre built for high-volume technical walk-ups — the HR Tech traffic pattern.
Radware
Hands-on learning stations inside a four-sided island — a layout HR buyers reward.
SpyCloud
Interactive stations arranged for one-to-one conversation — the rhythm of an HR Tech deal.
WillowTree
Meeting-led layout with enclosed rooms off an open demo front.
The HR Technology Conference & Exposition fills Mandalay Bay with buyers who came specifically to evaluate software — which changes what a booth has to do. The most expensive HR Tech mistake isn’t a bad booth; it’s a beautiful booth with nowhere to run a demo and nowhere to sit a serious buyer down.
Your booth arrives through Mandalay Bay’s docks on the venue’s schedule, moves in on union labour, and lives at the south end of the Strip — a resort complex where freight windows, dock targets and hand-carry rules are policed. We’ve built here across dozens of shows and plan the freight, labour and move-in choreography to this building’s rhythm, not a generic Vegas playbook.
HR Tech attendees walk the expo to shortlist platforms — they expect to touch the product at your booth. That means demo stations at standing height, screens angled away from glare, power and data planned to the outlet, and semi-private space where a CHRO conversation can happen without shouting over the aisle. We design the structure around those moments first.
An October show means the advance-order window for show services closes in late summer — while half the industry is on holiday. The exact deadline for this edition is in the facts strip at the top of this page, and it’s closer than most exhibitors assume. After it passes, every service order books at floor rates instead of advance rates.
Drayage, rigging, electricity, cleaning and internet are billed to every exhibitor directly by the show, the venue or its contractor — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.
Trade show invoices grow in predictable ways: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.
Design, fabrication, graphics, furniture, lighting, freight, installation, dismantle and project management in a single fixed price.
Your booth stands fully assembled, powered and lit at our 65,000 sq ft facility, and you approve photographs of the actual build — not a render.
Drayage, rigging, electrical, cleaning and internet calculated for your exact booth before you commit — so the total is a number, not a range.
COI, EAC, electrical, rigging, freight windows — filed at advance rates, mapped to every exhibitor-manual deadline. Nothing lands on your desk three days before it’s due.
We quote higher and cost less. That’s the whole argument, and it’s why every booth below is published with its price rather than hidden behind a “request a quote” form.
Every booth below is priced for Las Vegas and available as a custom build for your brand — rented, not bought. Use the finder at the top of the page to narrow by size and budget.

The advance-order cutoff lands roughly eight weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. For an October show that window closes in late summer, which means it is far nearer than most planning calendars admit. If you’re reading this with the current edition in view, the highlighted step below is not a future problem.
Put these to every exhibit house you’re comparing — including us. They separate the vendors that stand behind a number from the ones whose estimate is an opening position. Our answers are printed here so you can hold us to them.
“They never just build the booth and disappear — I always know I have someone on call and ready to jump in when the unexpected inevitably happens. That level of responsiveness makes a huge difference in high-pressure event environments.”
