IAAPA Expo fills the Orange County Convention Center’s North/South Building and, for its largest footprint to date, expands into the West Building — and where your booth lands changes everything from your freight distance to which of the attractions industry’s biggest annual crowd ever walks past you. The most expensive IAAPA mistake isn’t a bad booth; it’s a booth designed without knowing its building.

The OCCC is one of the largest convention centers in the country, and the North/South and West Buildings are genuinely separate facilities — different docks, different freight distances, different traffic rhythms. A booth position deep in either building can mean some of the longest dock-to-space runs in the business. We confirm your building and plan design, freight and labour to it, not to the show’s mailing address.

Advance windows close in early fall

A November show means the advance-order deadlines for electrical, rigging and material handling land around September — while most exhibitors are still in summer mode. Miss them and every show service is billed at floor rates. The exact dates for the current edition are in the facts strip at the top of this page; our calendar is built backwards from them.

The budget you present in spring should survive November

Attractions companies budget in capital cycles, and IAAPA is where exhibit-house invoices go to grow: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in August costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off weeks before the show. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. For a November show those windows close in early fall — if a vendor can’t answer this immediately, that’s your answer.
5 Do you know which OCCC building my booth is in — and does your plan change with it? Ours: it’s the first thing we confirm. North/South and West are separate facilities with separate docks and freight distances, and the show’s largest-ever footprint spans both. A quote that doesn’t name your building is a quote that hasn’t thought about your freight.

How much does an IAAPA Expo booth rental cost?
Every booth on this page is published with its Orlando price — fixed and all-inclusive: design, fabrication, graphics, furniture, freight, labour coordination and project management. Separately, the show bills you directly for booth space, electrical, drayage, rigging and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for IAAPA Expo?
Lock your design by September. The advance-order deadlines for a November show close in early fall — while most exhibitors are still in summer mode — and everything filed after them is billed at floor rates. What should I know about move-in at the Orange County Convention Center?
That it’s a campus, not a hall. IAAPA’s largest-ever footprint spans the North/South Building and the West Building — separate facilities with separate docks, and some of the longest dock-to-space freight runs in the business. Your building determines your freight window, your target time and your install plan. We confirm it before anything is designed or booked, and our supervisor manages the dock so you don’t have to.
My booth needs serious power for demos. Can you handle that?
Yes — demo-heavy booths are normal at IAAPA, and power planning starts at the design stage, not at move-in. Electrical is billed to you directly by the show, like it is for every exhibitor, but we spec the drops and distribution for your exact demo load, calculate the cost before you commit, and file the order at advance rates. Your booth is also fully powered and lit at our facility first, so the demo setup has already run before it ships.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our facility and you approve photographs of the actual booth, not a render.
Can I install the booth myself to save on labour?
Show floors run on contracted labour, and the show’s general contractor governs who may build what at the OCCC. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver an IAAPA booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. The earlier you call, the more of that window sits ahead of the advance-order deadlines instead of behind them.
Do you handle events off the show floor — hospitality suites, park events, press activations?
Yes — hotel suites, meeting spaces and satellite activations around the show run under the same fixed-price model, coordinated by the same project manager as your booth.
