ICAST Trade Show Booth Rentals

Every buyer in sportfishing walks this floor. Your booth is your first cast.

Fixed-price ICAST exhibits — design, fabrication, graphics, freight, installation and dismantle in one number that doesn’t move. Pre-built, lit and photo-approved before it ships, so what stands up at the world’s largest sportfishing trade show has already stood up once.

The kind of booth buyers write orders in

ICAST is a working show — retailers, distributors and media walk the floor to handle product and place orders, not to collect brochures. The work below shows how we build for that job: custom structures designed around the product wall, the demo and the buyer meeting, with every project moving through one team from first rendering to dismantle.

Know the floor before you plan the booth

ICAST isn’t a spectator show. It’s a buying floor.

Produced by the American Sportfishing Association, ICAST is where the sportfishing industry does its business for the year — the retailers and distributors walking the Orange County Convention Center are there to see new product and commit to it. A booth that merely looks good is underperforming here; it has to put product in hands and give a buyer somewhere to sit down and order.

The OCCC is enormous

Logistics set the schedule

The Orange County Convention Center is one of the largest venues in the country, and its freight operation runs on strict targeted move-in windows — miss your dock slot and you wait. We confirm your hall and placement before design starts, route freight to the advance warehouse, and build the install plan around the venue’s schedule rather than hoping it bends.

The New Product Showcase sets the tempo

Buzz starts before the aisles open

ICAST culture revolves around the New Product Showcase — buyers and media scout it early, and award winners get walked to on the floor. If your launch is entered, your booth is the second act: it has to convert showcase attention into booth traffic and orders, with the new product staged front and centre, lit and handleable — not locked in a case at the back.

The July calendar problem

Orders land in late spring

A July show means advance-order deadlines land in late spring, right as most marketing teams are heads-down on peak season. The exact cutoff for the next edition is in the facts strip at the top of this page and updates automatically. Miss it and every service order reprices at floor rates — the most avoidable cost in exhibiting.

What we handle at ICAST
  • Placement-specific design — sightlines planned for your actual aisle
  • Layout submission and show approval, filed early
  • Electrical, rigging and material handling orders calculated and filed at advance rates
  • Labour coordination and on-site supervision through move-in
  • COI, EAC and exhibitor-manual deadlines mapped to our calendar
  • Dock target times, dismantle, pack and outbound freight
Billed by the show and venue, not by us

Booth space, electrical, drayage, rigging, cleaning and internet are billed to every exhibitor directly by the show and venue — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

  • Booth space
  • Electrical drops and floor distribution
  • Material handling (drayage)
  • Rigging, if you’re hanging a sign
  • Daily cleaning · internet
Why a fixed price matters most here

The budget you present in winter should survive July

Trade show invoices grow in the gap between the estimate and the show: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

01

One number, and it holds

Design, fabrication, graphics, furniture, lighting, freight, installation, dismantle and project management in a single fixed price.

02

Proven before it ships

Your booth stands fully assembled and lit at our 65,000 sq ft facility, and you approve photographs of the actual build — not a render.

03

Show costs, known up front

Space, electrical, drayage and rigging calculated for your exact booth before you commit — so the total is a number, not a range.

04

The paperwork is ours

COI, EAC, electrical, rigging, freight windows — filed at advance rates, mapped to every exhibitor-manual deadline. Nothing lands on your desk three days before it’s due.

We quote higher and cost less. That’s the whole argument, and it’s why every booth below is published with its price rather than hidden behind a “request a quote” form.

Working backwards from July

Your real deadline is in May

The advance-order cutoff lands well before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. Work backwards from show week and the binding constraint is late spring: designs locked, graphics in production and every service order filed while advance rates still apply.

Take this to every vendor

Five questions to ask anyone quoting your ICAST booth

Put these to every exhibit house you’re comparing — including us. They separate the vendors that stand behind a number from the ones whose estimate is an opening position. Our answers are printed here so you can hold us to them.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in April costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off before it ships to Orlando. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. The advance-versus-floor spread on drayage and electrical is real money at the OCCC — if a vendor can’t answer this immediately, that’s your answer.
5 Can my booth put product in a buyer’s hands and still host a private meeting? Ours: that’s the design brief at ICAST — open product walls and demo zones on the aisle, enclosed or semi-private meeting space behind them for line reviews and order-writing. If a layout can’t do both, it isn’t finished.

Questions ICAST exhibitors actually ask

ICAST booth rental FAQs

How much does an ICAST booth rental cost?
Every booth on this page is published with its Orlando price — fixed and covering design, fabrication, graphics, furniture, freight, installation, dismantle and project management. Separately, the show and venue bill you directly for booth space, electrical, drayage, rigging, cleaning and internet; we calculate those for your exact booth before you commit and file the orders at advance rates, so the total is known before you sign anything.
When should I book a booth for ICAST?
Lock your design by mid-to-late May — that’s when the advance-order window for show services closes and every order after it reprices at floor rates. The exact deadline for the next edition is in the facts strip at the top of this page and updates automatically. Start the conversation in winter for full design freedom; the spring is for approvals and production, not first drafts.
We’re entering the New Product Showcase. How should the booth support the launch?
Treat the booth as the second act of the showcase. Buyers and media who see your entry come to the booth to handle it, film it and talk terms — so the new product needs a dedicated, lit position at the front of the space, staged for hands-on inspection, with a clear path from it to your order-writing area. We design that sequence in from the first rendering rather than clearing a spot for the trophy after the fact.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our 65,000 sq ft facility and you approve photographs of the actual booth, not a render.
Can the booth handle heavy product — boats, motors, coolers, full tackle walls?
Yes, but weight and access have to be engineered in from the start: floor loading, how large product physically enters the space during move-in, and what the material-handling order needs to say. We design the structure around your product list, calculate the drayage and rigging implications up front, and file those orders at advance rates so nothing about a heavy centrepiece surprises you on the show invoice.
How does shipping to the Orange County Convention Center work?
Freight is inside our fixed price: we ship to the advance warehouse or direct to show site — whichever the timeline favours — booked against your targeted move-in window. Material handling from the dock to your space (drayage) is a separate charge billed to every exhibitor by the show; we calculate it for your exact shipment weight before you commit, so it’s a number in your budget rather than a surprise after the show.
Can I install the booth myself to save on labour?
Show floors at the OCCC run on contracted labour, and the show’s rules govern what exhibitors may build themselves. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, with the related orders filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver an ICAST booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. Call as soon as you know: the more of that window that sits before the advance-order deadline, the more of the show’s own charges stay at advance rates too.
