A food show runs on a different operating system: refrigeration, water, sampling rules and health requirements sit inside your booth plan from day one, and the venue changes every year as the show rotates cities. The most expensive IDDBA mistake isn’t a bad booth — it’s a booth designed as if it were a dry-goods show, with the food services bolted on at floor rates in the final weeks.

Lock your design by mid-April and everything files at advance rates; after that, you’re paying floor rates for the same services.

The budget you present in winter should survive June

Food-show invoices have a way of growing between the estimate and the final bill: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better sampling layout in March costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off before it ships. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. At a food show the advance-versus-floor spread covers more line items than most vendors mention — if a vendor can’t answer this immediately, that’s your answer.
5 Have you planned a booth around refrigeration, water and sampling before? Ours: that’s the starting point, not an afterthought. The sampling line, cold storage and wash-station requirements shape the layout from the first rendering, and the venue services they depend on are calculated for your exact booth and filed at advance rates. A vendor who designs the booth first and asks about sampling later is quoting half a project.

When should I book a booth for IDDBA?

I’m sampling product — how do refrigeration, sinks and water hookups work?
Refrigeration, water and drain lines, hand-wash stations and related sampling services are ordered through the show and billed to you directly by the show and venue — no exhibit house can absorb them and none should claim to. What we do is design the booth around those drops from the first rendering, calculate the costs for your exact sampling plan before you commit, and file every order at advance rates so the hookups land exactly where the sampling line needs them.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our facility and you approve photographs of the actual booth, not a render.
Can I install the booth myself to save on labour?
The Georgia World Congress Center floor runs on contracted labour, and show rules govern who may build what. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, with show orders filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver an IDDBA booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. The earlier in the spring you call, the more of that window sits at advance rather than floor rates for the show services.
IDDBA changes cities every year. Do I start over next edition?
No — that’s one of the strongest arguments for renting. Your design files, graphics and structure carry forward: we re-quote the booth for the next city at a fixed price, re-plan freight and labour to the new venue, and file that building’s service orders at advance rates. The booth buyers recognised this year shows up in the next city without you buying, storing or shipping anything yourself.
Do you handle events off the show floor — suites, activations, press events?
Yes — hotel suites, meeting spaces, tasting events and satellite activations around the show run under the same fixed-price model, coordinated by the same project manager as your booth.
