The IFA Annual Convention runs on sessions, roundtables and receptions — and the exhibit hall at Mandalay Bay doubles as the networking space in between. Attendees don’t sweep the aisles once and leave; they come back between sessions, and they come back to the booths built for sitting down. Design for the conversation, not the crowd.

The convention center sits inside a working resort at the south end of the Strip — dock access, freight windows and move-in slots are scheduled tighter than at a standalone hall, and everything routes through the show’s general contractor. We plan freight and labour to Mandalay Bay’s rhythm, not a generic Las Vegas playbook.

Holidays sit inside your timeline

A late-February show sounds far from the holidays — it isn’t. Advance orders land roughly eight weeks out, in late December, exactly when production and show-services desks run half-speed. The safe play is locking your design decisions before Thanksgiving, so the holidays never touch your critical path.

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

Why a fixed price matters most here

The budget you present in the fall should survive February

Franchise development budgets get scrutinised line by line — which makes surprise exhibit invoices worse than expensive; they’re embarrassing. Labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

Put these to every exhibit house you’re comparing — including us. They separate the vendors that stand behind a number from the ones whose estimate is an opening position. Our answers are printed here so you can hold us to them.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in November costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off well before the show. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. For IFA the advance cutoff sits inside the holiday break — if a vendor hasn’t planned for that, that’s your answer.
5 Is the booth designed for meetings, or just for foot traffic? Ours: for meetings — because that’s what IFA is. Seating, semi-private space and sightlines are planned from the first rendering, not bolted on after the structure is drawn. Ask every vendor where the conversation physically happens in their design.

We book your dock target time in advance, ship to the advance warehouse when that’s the smarter play, and our supervisor manages the slot so your team never touches a freight schedule.
Can my booth double as a meeting space?
At IFA it should — the exhibit hall is where the networking happens between sessions, and franchise development conversations need somewhere to sit. We design open fronts with real seating, semi-private meeting areas and storage for materials, so the booth works as a small office on the floor, not just a backdrop. Tell us how many simultaneous conversations you need to host and we design around that number.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our facility and you approve photographs of the actual booth, not a render.
Can I install the booth myself to save on labour?
Las Vegas convention floors run on contracted union labour, and the show’s general contractor governs who may build what at Mandalay Bay. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver an IFA booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. For a February show, the earlier in the winter you call, the more of that window sits clear of the holidays.
Do you handle events off the show floor — suites, receptions, satellite meetings?
Yes — and at IFA that matters, because half the convention happens off the exhibit floor. Hotel suites, meeting rooms and reception builds around the show run under the same fixed-price model, coordinated by the same project manager as your booth.
