ILTACON runs inside the Gaylord Opryland Resort & Convention Center — a self-contained resort where the exhibit hall, the sessions, the hotel rooms and the evening events all live under one roof, away from downtown. That changes everything about exhibiting: freight moves through a resort’s docks rather than a downtown marshalling yard, attendees pass the hall constantly rather than commuting to it, and the relationships built at breakfast walk straight onto the floor. A booth planned like a standard hall exhibit misses how this week actually works.

The Gaylord Opryland is a resort first, with serious convention space inside it — and ILTACON’s attendees sleep, eat and socialise on the property all week. Your booth gets seen repeatedly, in passing, by the same people, so the design has to reward a second and third look rather than shouting once. Freight, storage and dock access all run on the resort’s rules, which differ from a downtown hall’s; we plan the logistics to this building specifically.

Advance orders in mid-June

An early-August show puts the advance-order deadlines in mid-June, with the summer holiday season starting directly behind them — approvals slow just as the paperwork comes due. The real deadline for a locked design is the end of May; after that, floor rates and vacation inboxes start compounding each other.

Billed by the show, not by us

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show, the venue or the show’s general contractor — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

Why a fixed price matters most here

The budget you approve in spring should survive August

Trade show invoices have a habit of growing between quote and show: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in May costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled, powered and lit at our facility, photographed for your sign-off before it leaves for Nashville. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. Working demo stations and screen walls need reliable power and network — and at a resort venue those orders run through the property’s own channels, which punish late filings even harder than a downtown hall does. If a vendor can’t answer this immediately, that’s your answer.
5 How is exhibiting at a resort different from a downtown convention centre? Ours: the logistics change more than the booth does — freight, storage, dock access and rigging all run on the resort’s rules and calendar, and there’s no city marshalling yard absorbing the overflow. We’ve planned for the building specifically: orders filed on its deadlines, freight booked into its windows, and a supervisor on site who isn’t learning the property during your move-in.

How much does an ILTACON booth rental cost?
Every booth on this page is published with its Nashville price — fixed and all-inclusive: design, fabrication, graphics, furniture, freight, labour coordination and project management. Separately, the show, the venue and the show’s general contractor bill you directly for booth space, electrical, drayage and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for ILTACON?
Lock your design by the end of May. An early-August show puts the advance-order deadlines in mid-June, with summer holidays slowing every approval directly behind them — start the conversation in the first quarter for full design freedom. What’s move-in like at the Gaylord Opryland?
Different from a downtown hall — the resort’s docks, storage and access rules govern everything, and windows are tighter because the property is running a full hotel around the show. We book your freight into the resort’s schedule early, route the truck correctly, and put an install supervisor on site so your team never has to learn a resort’s logistics themselves.
My booth runs live product demos — real software, real integrations, on real screens. Can you handle the power and network?
Yes, and at ILTACON it’s non-negotiable: this audience sits down and drives the product. We engineer the structure around your demo stations — screen placement, cable routing, acoustics for real conversations — then calculate the electrical and network orders your setup actually needs. Those services are billed to you directly through the show and the property, but we file the orders at advance rates and verify everything against the booth as built on our floor.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our facility and you approve photographs of the actual booth, not a render.
Can I install the booth myself to save on labour?
The show’s general contractor governs who may build what on the floor, and a resort property adds its own rules on top. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, a demo that won’t connect — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver an ILTACON booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. For an August show, the earlier in the summer you call, the more of that window sits at advance rather than floor rates.
Do you handle events off the show floor — suites, receptions, satellite activations?
Yes — and at a one-roof conference they matter more than anywhere: hospitality suites, private demo rooms and evening receptions on the property run under the same fixed-price model, coordinated by the same project manager as your booth.
