The largest trade show for the global meetings, events and incentive travel industry runs on a hosted-buyer programme — thousands of qualified planners arrive with appointment schedules already built, and those appointments happen at your booth. A booth that’s only a backdrop wastes the most expensive audience you’ll see all year. It has to work as a meeting space from the first slot of Smart Monday’s follow-through to the last handshake on day three.
The whole show lives in Mandalay Bay’s convention halls, with the hotel towers and restaurants attached — your buyers never leave the property. That compresses everything: freight moves through the venue’s docks on tight target times, and move-in slots are unforgiving. We plan the build to the venue’s schedule, not the show’s mailing address, and our crew has stood booths in these halls for years.
Buyers move stand to stand on back-to-back scheduled appointments. So the design brief is different from any other show: sightlines that welcome, seating that lets people talk without shouting, semi-private corners for the deals that need them, and storage for hospitality service. For destinations and CVBs there’s a second layer — the booth itself is the product demo, a first taste of what hosting with you feels like.

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show and venue — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.
Nobody on the show floor knows what things should cost better than an audience of professional event planners — and nothing reads worse to them than an exhibitor blindsided by their own invoice. Labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

The advance-order cutoff lands roughly eight weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. For an October show that puts the binding constraint in mid-August: the weeks when advance electrical, rigging and material-handling rates are still available are the same weeks half the industry is out of office.
