INTERPHEX Trade Show Booth Rentals

500+ exhibitors and full-scale process lines are competing for the same technical buyers. Your booth has three seconds.

Fixed-price INTERPHEX exhibits — design, fabrication, graphics, freight, installation and dismantle in one number that doesn’t move. Pre-built, lit and photo-approved before it ships, so what stands up at the Javits Center has already stood up once — long before your truck ever queues for a Manhattan dock.

Built for technical audiences

The kind of booth a processing floor is judged by

INTERPHEX buyers are engineers, quality leaders and operations directors shopping for equipment and services that will live inside a validated facility — they walk past marketing and stop for substance. The work below is what we build for brands selling to technical audiences: custom structures designed around the demo and the conversation, not around the furniture, with every project moving through one team from first rendering to dismantle.

Know the floor before you plan the booth

The Javits isn’t just a venue. It’s Manhattan.

INTERPHEX fills the Jacob K. Javits Convention Center with working process equipment — and everything about exhibiting there is shaped by the fact that the building sits on Manhattan’s West Side. Freight arrives through city streets and a marshaled dock schedule, labour runs on union rules, and floor space next to full-scale machinery punishes booths designed in a vacuum. The most expensive INTERPHEX mistake isn’t a bad booth; it’s a booth planned without respect for the building it’s going into.

Javits logistics — the Manhattan problem

Freight in the city that never parks

Trucks don’t roll up to the Javits; they queue through a marshaling system, hit their target time or lose it, and pay dearly for every hour of drift. Late freight in Manhattan compounds — missed windows, overtime crews, floor-rate fees. This is the strongest argument for advance planning anywhere in the industry: orders filed early, freight windows booked early, one team accountable for the whole chain.

A floor full of machinery

Your neighbour is a filling line

At a processing show, the loudest thing on the floor is working equipment — stainless steel, motion and scale. A brand booth next to that either matches the engineering standard or looks like a table at a job fair. We design for that context: structures with real presence, demo stations engineered for the product, and enclosed meeting space for the conversations technical buyers actually come to have.

The calendar

Spring show · advance rates close early

The show runs in spring, which puts the real production window across the turn of the year — and the advance-order cutoff arrives weeks before the show itself. The exact dates and the advance deadline are in the facts strip at the top of this page, pulled live from our shows database. Lock design early and every downstream order lands at advance rates instead of floor rates.

What we handle at INTERPHEX
  • Booth design for a machinery-heavy floor — sightlines, height and demo flow
  • Layout submission and show approval, filed early
  • Electrical, rigging and material handling calculated and filed at advance rates
  • Union labour coordination and on-site supervision at the Javits
  • COI, EAC and exhibitor-manual deadlines mapped to our calendar
  • Marshaling, dock target times, dismantle, pack and outbound freight
Billed by the show and venue, not by us

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show and the venue — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

  • Booth space
  • Electrical drops and floor distribution
  • Material handling (drayage)
  • Rigging, if you’re hanging a sign
  • Daily cleaning · internet
Why a fixed price matters most here

The budget you present in the fall should survive show week

Manhattan shows are where exhibit-house invoices go to grow: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged, freight surprises at the marshaling yard. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

01

One number, and it holds

Design, fabrication, graphics, furniture, lighting, freight, installation, dismantle and project management in a single fixed price.

02

Proven before it ships

Your booth stands fully assembled and lit at our 65,000 sq ft facility, and you approve photographs of the actual build — not a render.

03

Show costs, known up front

Space, electrical, drayage and rigging calculated for your exact booth before you commit — so the total is a number, not a range.

04

The paperwork is ours

COI, EAC, electrical, rigging, marshaling and freight windows — filed at advance rates, mapped to every exhibitor-manual deadline. Nothing lands on your desk three days before it’s due.

We quote higher and cost less. That’s the whole argument, and it’s why every booth below is published with its price rather than hidden behind a “request a quote” form.

Working backwards from April

Your real deadline is in February

The advance-order cutoff lands weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. At the Javits the advance-versus-floor spread is some of the widest in the industry, and the production window behind it crosses the year-end holidays. Here’s the timeline that keeps every order at advance rates.

SEP–NOV 2026Brief, concepts and the fixed price locked. Full design freedom.
DECEMBER 2026Layout submitted for show approval — placement and height confirmed.
JANUARY 2027Graphics finalised and sent to production.
MID-FEB 2027Design locked. Advance electrical, rigging and material-handling orders filed. After this, everything costs floor rates.
EARLY MAR 2027Freight window and Javits marshaling target time booked.
LATE MAR 2027Booth built, lit and photographed at our facility for your approval.
SHOW WEEKCrew installs in your move-in slot. You walk in at handover.

Five questions to ask anyone quoting your INTERPHEX booth

Put these to every exhibit house you’re comparing — including us. They separate the vendors that stand behind a number from the ones whose estimate is an opening position. Our answers are printed here so you can hold us to them.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in January costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off before it goes on a truck. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. At the Javits the advance-versus-floor spread is real money — if a vendor can’t answer this immediately, that’s your answer.
5 How do you handle Manhattan freight and the Javits marshaling schedule? Ours: your freight window and dock target time are booked in advance and supervised by the same project manager who ran your build. Any vendor treating the Javits like a suburban convention center is gambling with your show. Ask them directly.

Questions INTERPHEX exhibitors actually ask

INTERPHEX booth rental FAQs

How much does an INTERPHEX booth rental cost?
Every booth on this page is published with its fixed price — all-inclusive: design, fabrication, graphics, furniture, freight, labour coordination and project management. Separately, the show and the venue bill you directly for booth space, electrical, drayage, rigging and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for INTERPHEX?
Lock your design by mid-February — that’s when advance electrical, rigging and material-handling orders need to be on file, and at the Javits the advance-versus-floor spread is some of the widest in the industry. Start the conversation in the fall for full design freedom; the exact show dates and advance deadline for the next edition are in the facts strip at the top of this page and update automatically.
What’s different about exhibiting at the Javits Center?
Manhattan. Freight arrives through city streets and a marshaled dock schedule with target times — miss yours and the delays and fees compound fast. Labour runs on union rules, and everything ordered late lands at floor rates. None of it is a problem if it’s planned: we book your freight window and dock target in advance, file every order early, and put a supervisor on site through move-in. It only punishes exhibitors who treat it like a suburban convention center.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our 65,000 sq ft facility and you approve photographs of the actual booth, not a render.
Can the booth support equipment displays or heavy product?
Yes — structures are engineered around what you’re showing, whether that’s a benchtop system, a skid or full-scale process equipment, with power distribution, reinforced floors or plinths, and demo stations planned into the design rather than bolted on. If your equipment needs rigging or extra material handling, we calculate those venue charges up front and file the orders at advance rates so nothing surprises you on site.
Can I install the booth myself to save on labour?
The Javits floor runs on contracted union labour, and show rules govern who may build what. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, with every related order filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver an INTERPHEX booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. For the Javits specifically, the earlier you call, the more of that window sits ahead of the advance-order cutoff.
Do you handle meeting rooms, private demo spaces or events off the show floor?
Yes — enclosed meeting rooms and demo theatres inside the booth are standard requests at a processing show, and hotel suites, meeting spaces and satellite activations around the show run under the same fixed-price model, coordinated by the same project manager as your booth.
