ISPA Expo Trade Show Booth Rentals

The entire sleep-products supply chain walks one floor — once every two years. Your booth gets one chance per cycle.

Fixed-price ISPA Expo exhibits — design, fabrication, graphics, freight, installation and dismantle in one number that doesn’t move. Pre-built, lit and photo-approved before it ships, so what stands up in New Orleans has already stood up once on our floor.

Know the floor before you plan the booth

A biennial show in a rotating city. Plan for the venue, not from memory.

ISPA Expo moves cities every edition, and 2028 lands in New Orleans with the venue to be announced — the facts strip at the top of this page updates automatically the moment it’s confirmed. Whatever you remember about the last edition’s docks, halls and labour rules doesn’t transfer. The most expensive ISPA Expo mistake isn’t a bad booth; it’s a plan built on the last city’s logistics.

New Orleans, venue pending

Design now · lock logistics on announcement

The city is confirmed; the venue is to be announced — the facts strip updates automatically when it is. That’s no reason to wait: your booth design, footprint and fixed price don’t depend on the building. We design now, then map freight routing, dock schedules and move-in targets to the confirmed venue the day it’s named — while exhibitors who waited are starting from zero.

A machinery-scale floor

Heavy equipment changes the maths

This is a manufacturing supply show — quilting lines, sewing equipment and components ship in heavy and run live. Material handling is billed by weight, overhead signs mean rigging, and powered demos mean electrical orders that must be filed early. None of that is included in any exhibit house’s price — but we calculate every line for your exact booth before you commit, and file the orders at advance rates.

The two-year clock

Miss a deadline, wait two years

ISPA Expo runs every two years, so there’s no “we’ll fix it next year.” A March show also means your graphics and approvals travel through the winter holidays, when production everywhere runs half-speed. The advance-order window lands in late January — the exact deadline is in the facts strip above and updates automatically each edition.

What we handle at ISPA Expo
  • Venue-ready design — logistics locked the day the building is announced
  • Layout submission and show approval, filed early
  • Electrical, rigging and material handling calculated and filed at advance rates
  • Union labour coordination and on-site supervision
  • COI, EAC and exhibitor-manual deadlines mapped to our calendar
  • Dock target times, dismantle, pack and outbound freight
Billed by the show, not by us

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show, venue or its contractor — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

  • Booth space
  • Electrical drops and floor distribution
  • Material handling (drayage) — billed by weight, and machinery is heavy
  • Rigging, if you’re hanging a sign
  • Daily cleaning · internet
Why a fixed price matters most here

The budget you set this cycle should survive to show week

A biennial show is where exhibit-house invoices grow quietest: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged — and no next-year invoice to compare against. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

01

One number, and it holds

Design, fabrication, graphics, furniture, lighting, freight, installation, dismantle and project management in a single fixed price.

02

Proven before it ships

Your booth stands fully assembled and lit at our 65,000 sq ft facility, and you approve photographs of the actual build — not a render.

03

Show costs, known up front

Space, electrical, drayage and rigging calculated for your exact booth and equipment before you commit — so the total is a number, not a range.

04

The paperwork is ours

COI, EAC, electrical, rigging, freight windows — filed at advance rates, mapped to every exhibitor-manual deadline. Nothing lands on your desk three days before it’s due.

We quote higher and cost less. That’s the whole argument, and it’s why every booth below is published with its price rather than hidden behind a “request a quote” form.

Working backwards from March 2028

Your real deadline is in late January

The advance-order cutoff lands roughly eight weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. For a March show that puts the binding deadline in late January, with the December holidays sitting squarely inside your production run-up. And because ISPA Expo is biennial, a missed window doesn’t cost you a season — it costs you the cycle.

Five questions to ask anyone quoting your ISPA Expo booth

Put these to every exhibit house you’re comparing — including us. They separate the vendors that stand behind a number from the ones whose estimate is an opening position. Our answers are printed here so you can hold us to them.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in December costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off before it ships. Renders are promises; photographs are evidence — and on a two-year cycle, evidence is worth more.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. On a machinery-heavy floor the advance-versus-floor spread on drayage and rigging is real money — if a vendor can’t answer this immediately, that’s your answer.
5 The venue isn’t announced yet. What happens to my plan when it is? Ours: nothing changes on your side. Your design and fixed price don’t depend on the building; freight, docks and labour get mapped to the confirmed venue the day it’s named — the facts strip above updates automatically. Ask any vendor what in their quote is venue-dependent, and what happens to it on announcement day.

Questions ISPA Expo exhibitors actually ask

ISPA Expo booth rental FAQs

How much does an ISPA Expo booth rental cost?
Every booth on this page is published with its New Orleans price — fixed and covering design, fabrication, graphics, furniture, freight, labour coordination, installation, dismantle and project management. Separately, the show and venue bill every exhibitor directly for booth space, electrical, drayage, rigging and cleaning; we calculate those for your exact booth and equipment before you commit, so the total is known before you sign anything.
When should I book a booth for ISPA Expo 2028?
Work backwards from the advance-order window in late January 2028 — the exact deadline is in the facts strip at the top of this page and updates automatically. A March show means your graphics and approvals travel through the December holidays, when production everywhere runs half-speed, so the comfortable start is summer or fall of 2027. And because ISPA Expo only runs every two years, a missed window costs you the whole cycle, not a season.
The venue hasn’t been announced yet. How can you plan my booth?
The city is confirmed — New Orleans — and the venue is to be announced; the facts strip at the top of this page updates automatically the moment it is. Your booth design, footprint, graphics and fixed price don’t depend on the building, so nothing about that work waits. What does depend on the venue — freight routing, dock schedules, move-in targets, labour rules — we lock in the day the announcement lands, while exhibitors who waited for certainty are starting from a blank page.
Can the booth be designed around live machinery or heavy equipment?
Yes — that’s normal for a manufacturing supply show. We design the structure around your equipment footprint, service access and demo sightlines from day one, and we build the power, rigging and material-handling implications into the plan just as early. Those utility and handling charges are billed to you directly by the show and venue — machinery is heavy and drayage is billed by weight — so we calculate them for your exact crate list up front and file the orders at advance rates.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our facility and you approve photographs of the actual booth, not a render.
We only exhibit every two years. Does renting make more sense than owning?
For a biennial calendar, almost always. A purchased booth spends two years in storage — billed monthly — then needs refurbishment, updated graphics and a crossed-fingers inspection before it ships. A rental gives you a current design each cycle at a fixed price with no storage, no refurbishment and no asset ageing on your books, and the design files carry forward so edition two builds on edition one instead of starting over.
Can I install the booth myself to save on labour?
Major convention floors run on contracted union labour, and the show’s appointed contractor governs who may build what — New Orleans is no exception. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, with the related show orders filed at advance rather than floor rates.
A vendor just fell through. How fast can you deliver an ISPA Expo booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. For a March show, the earlier in the winter you call, the more of that window sits clear of the holidays and the advance-order cutoff in the facts strip above.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier and a thousand miles from the dock.
