Your dock target time, move-in slot and material handling all run through the show’s schedule, not yours. At IWF, CNC routers, edgebanders, panel saws and finishing lines run live demos — motion, noise and crowds three-deep are the ambient condition. A quiet, under-lit booth disappears next to a working machine line. The answer is not louder; it’s clearer: one message readable from the aisle, lighting that carves your space out of the hall, and a layout that gives a buyer a reason to step out of the traffic.

IWF runs every two years — miss a window here and the next one is a two-year wait. That cuts both ways: the stakes per edition are higher than at an annual show, and the planning runway for the next edition starts the week this one closes. The budget you approve should survive the show

A biennial show concentrates two years of marketing budget into four days — which is exactly when exhibit-house invoices like to grow: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea late in the process costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off before it ships to Atlanta. Renders are promises; photographs are evidence — and this floor is full of people who can spot the difference.

5 The show is close — can you still deliver, and what does “late” cost me? How much does an IWF booth rental cost?
Every booth on this page is published with its Atlanta price — fixed and covering design, fabrication, graphics, furniture, freight, labour coordination, installation, dismantle and project management. Separately, the show and venue bill you directly for booth space, electrical, drayage, rigging and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
The show is only weeks away. Is it too late to get a booth?
Late, but not necessarily too late — and the answer depends on inventory, not effort. This close to opening, the standard custom-build path has closed, but our booths are pre-built rental structures that get re-skinned per brand: if a structure in your footprint is available, we can graphic it, stage it, photograph it for your approval and route it to Atlanta on a compressed schedule. What we won’t do is pretend the advance windows didn’t pass — client-direct orders placed now land at floor rates, and we’ll show you those numbers up front. IWF is biennial — when should I start planning for the next edition?
Now, genuinely. A two-year cycle sounds like unlimited runway and behaves like the opposite: space selection, budget approval and design all key off a show that only comes around in even years, and the exhibitors with the best placements and calmest timelines are the ones who started the conversation the year before. The facts strip at the top of this page rolls to the next edition automatically once the current one ends — when it does, that’s the start of the 2028 runway, and a locked design six months out means full design freedom instead of a scramble.
When do the advance-order deadlines fall?
The advance-order window typically closes weeks before move-in — the current edition’s key dates are in the facts strip at the top of this page, pulled live from our shows database. The spread between advance and floor rates on electrical, rigging and drayage is real money at a show that fills the Georgia World Congress Center, which is why we map every exhibitor-manual deadline to our calendar and file your orders early. My booth will sit near running machinery. How do you design for that?
By accepting the condition instead of fighting it. IWF’s halls are full of live equipment demos — motion, noise and crowds are the baseline, and you will not out-shout a working CNC line. What wins is contrast and clarity: strong dedicated lighting that visually separates your space from the hall, one message readable from the aisle, and a layout with a genuine reason to step in — a demo, a sample wall, a place to sit and talk numbers. We design to your actual placement, not to a booth floating on a white background.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. This matters doubly at IWF, where the audience judges joinery and finish quality professionally. Before yours ships, it stands fully assembled and lit at our 65,000 sq ft facility and you approve photographs of the actual booth, not a render.
Can I install the booth myself to save on labour?
Show floors at the Georgia World Congress Center run on contracted labour, and the show’s rules govern who may build what. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, with show-billed items filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
I’m exhibiting machinery and heavy product. Can the booth accommodate it?
Yes — the booth is designed around your equipment, not the other way round: clear floor area and access paths for the machines, structure and counters placed to frame them, and power routing planned into the layout from the first rendering. The machinery-related show services — material handling for heavy freight, electrical drops, rigging — are billed to you directly by the show and venue, as they are for every exhibitor; we calculate them for your exact configuration up front and file the orders at advance rates so there are no surprises on the service desk invoice.
