Legalweek gathers the people who choose technology for law firms and corporate legal departments — CIOs, litigation support directors, legal operations leads, partners and in-house counsel. They are cautious buyers with long sales cycles, and much of the week’s real business happens in scheduled meetings rather than aisle traffic. The work below is what we build for companies selling to that audience: confident, uncluttered structures with a strong demo position and private space to talk, carried by one team from first rendering to dismantle.

Know the venue before you plan the booth

Legalweek left the hotel. The rules changed with it.

After decades in a Midtown hotel, Legalweek now runs at the Javits Center. For exhibitors that is more than a new address: a hotel ballroom of tabletops and pop-ups has become a convention hall with real booth spaces, real height, and New York convention-center labour and freight. Programmes built for the old venue need rethinking, and the budget lines that used to be trivial are not any more.

Javits North — a true exhibit hall

The North Javits hall allows the scale a hotel never could: islands, taller structures, hanging signs where the floor plan permits. That raises the standard across the floor. A display that looked fine in a ballroom can look temporary beside a neighbour who designed for the new building. We design to your actual space and sightlines and take the structure through show approval early.

New York labour and freight

Union jurisdiction · marshalling · dock times

Javits runs on strict union jurisdiction, and Manhattan freight moves through a marshalling yard onto timed dock slots — trucks cannot simply arrive. Labour and material handling here cost more than almost anywhere in the country, which makes the gap between advance and floor rates wider too. We plan the labour call, file everything in advance and keep a supervisor on site so hours do not drift.

Deadlines land over the holidays

A show in the first days of March puts the advance-order cutoff in early January, which means approvals have to be finished before the holiday break and orders filed the week everyone returns. Winter weather on the freight route into New York is the other variable; we ship with margin so a storm costs a day, not the show.

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show, the venue or the show’s general contractor — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

The budget you present in autumn should survive March

Trade show invoices have a habit of growing between quote and show: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

For a show in the first days of March that puts the binding constraint in early January, so the decisions have to be made before the holiday break, not after it.

2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in November costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled, powered and lit at our facility, photographed for your sign-off before it leaves for New York. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. New York labour and material handling are among the most expensive in the country, so the advance-versus-floor spread at Javits is real money — if a vendor can’t answer this immediately, that’s your answer.
5 Is this design made for Javits, or carried over from the hotel years? Ours: made for Javits — because the hall, the height limits, the labour rules and the freight route are all different now. A vendor scaling up last decade’s ballroom display is designing for a venue the show has left. Ask them directly.

Legalweek booth rental FAQs

How much does a Legalweek booth rental cost?
Every booth on this page is published with its New York price — fixed and all-inclusive: design, fabrication, graphics, furniture, freight, labour coordination and project management. Separately, the show, the venue and the show’s general contractor bill you directly for booth space, electrical, drayage, rigging and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for Legalweek?
Lock your design by early January. The advance-order deadlines for a show in the first days of March fall right after the holiday break, so approvals need to be done before it — start the conversation in late summer for full design freedom. The exact advance-order deadline for the next edition is in the facts strip at the top of this page and updates automatically.
We exhibited for years at the hotel. What changes at Javits?
The scale, the rules and the costs. Booth spaces are real exhibit footprints with convention-hall height, labour follows New York union jurisdiction, and freight runs through a marshalling yard and timed docks. We design for the new building and calculate the show-billed costs before you commit, so the first Javits invoice is not a surprise.
Why is labour at Javits so expensive, and can you control it?
Rates and jurisdiction rules in New York are among the strictest in the country, and overtime arrives quickly. What we control is the hours: a structure that has already been assembled once installs fast, the labour call is planned in advance, and a supervisor is on site to keep it on schedule. Labour coordination is inside our fixed price.
Can the booth include a private meeting space?
Yes. Much of the week’s business at Legalweek is scheduled conversation, so most of the booths we design for it include an enclosed or screened room with proper acoustic separation, power and a screen. It is built and checked on our floor before it ships.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our facility and you approve photographs of the actual booth, not a render.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver a Legalweek booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. For a March show, the earlier in the winter you call, the more of that window sits at advance rather than floor rates.
Do you handle client dinners and meeting suites around the conference?
Yes — hotel suites, private meeting rooms and hosted evenings around Hudson Yards and Midtown run under the same fixed-price model, coordinated by the same project manager as your booth.
