MAGIC Nashville Trade Show Booth Rentals

Buyers walk this floor writing orders. Your booth is a showroom with two days to earn the pen.

Fixed-price MAGIC Nashville exhibits — design, fabrication, graphics, freight, installation and dismantle in one number that doesn’t move. Pre-built, lit and photo-approved before it ships, so the showroom that meets Southeast retail buyers in Nashville has already stood up once, merchandised and lit, on our floor.

The kind of booth buyers write orders in

MAGIC Nashville is an order-writing show — boutique and regional buyers, most of them from the South and Midwest, moving fast through two days of appointments and walk-ups. A booth here is a working showroom: the line visible from the aisle, product hung and lit properly, and a table where an order actually gets written. The work below is what we build for retail and consumer brands — merchandising-first structures with every project moving through one team from first rendering to dismantle.

Know the floor before you plan the booth

Two days. Eighteen floor hours. No warm-up.

MAGIC Nashville compresses a wholesale market into two days at the Music City Center — a fraction of the runway a Las Vegas market week gives you, in a hall a block off Broadway. There is no slow first morning; buyers land with appointment books already built. The booth has to merchandise itself instantly and function as a working showroom from the opening bell, because a fixture that goes up wrong here costs you a meaningful share of the whole show.

MCC — a compact market floor

One hall · downtown Nashville

The Music City Center puts the market on one contiguous downtown floor, and a curated show at this scale means buyers genuinely cover all of it — twice. That rewards a booth that reads as a brand from the aisle: the line visible, the logo high, the lighting warm and true to the product. Freight moves through downtown docks on a marshalled schedule; we book the window early and route the truck so your fixtures and stock arrive together.

A showroom, not a stage

Hang-and-face merchandising · order tables · fitting light

Fashion buyers judge product under your lights before they touch it. The structure has to carry proper merchandising — hang bars at real weights, shelving faced correctly, mirrors where they help — plus a table where an order gets written without shouting over the aisle. We build the fixtures into the booth rather than renting them loose, and photograph it merchandised-empty before it ships so you know exactly what your stock is walking into.

The May calendar

Advance orders in mid-March

A mid-May show puts the advance-order deadlines around mid-March — right as most brands are still closing out the previous market’s paperwork. The real deadline for a locked design is the start of March: after the cutoff, floor-rate electrical and drayage eat quietly into a booth budget that was sized for a two-day show.

What we handle at MCC
  • Placement-specific design — the line visible from the aisle you actually face
  • Layout submission and show approval, filed early
  • Electrical and material handling orders calculated and filed at advance rates
  • Show-floor labour coordination and on-site supervision
  • COI, EAC and exhibitor-manual deadlines mapped to our calendar
  • Downtown dock scheduling, dismantle, pack and outbound freight
Billed by the show, not by us

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show, the venue or the show’s general contractor — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

  • Booth space
  • Electrical drops and floor distribution
  • Material handling (drayage)
  • Rigging, if you’re hanging a sign

Why a fixed price matters most here

The number you approve in winter should still be the number in May

Trade show invoices have a habit of growing between quote and show: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

01

One number, and it holds

Design, fabrication, graphics, furniture, lighting, freight, installation, dismantle and project management in a single fixed price.

02

Proven before it ships

Your booth stands fully assembled and lit at our 65,000 sq ft facility, and you approve photographs of the actual build — not a render.

03

Show costs, known up front

Space, electrical, drayage and rigging calculated for your exact booth before you commit — so the total is a number, not a range.

04

The paperwork is ours

COI, EAC, electrical, network, rigging, freight windows — filed at advance rates, mapped to every exhibitor-manual deadline. Nothing lands on your desk three days before it’s due.

We quote higher and cost less. That’s the whole argument, and it’s why every booth below is published with its price rather than hidden behind a “request a quote” form.

Working backwards from May

Your real deadline is the start of March

The advance-order cutoff lands roughly eight weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. For a mid-May market that puts the binding constraint in mid-March, in the middle of the season when most fashion brands are busiest everywhere else.

Five questions to ask anyone quoting your MAGIC Nashville booth

Put these to every exhibit house you’re comparing — including us. They separate the vendors that stand behind a number from the ones whose estimate is an opening position. Our answers are printed here so you can hold us to them.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in February costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled, powered and lit at our facility, photographed for your sign-off before it leaves for Nashville. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. Track lighting that flatters fabric, powered mirrors and a charging point at the order table all need drops filed early — on a two-day show there is no day two to fix a dark rail. If a vendor can’t answer this immediately, that’s your answer.
5 Two days is short. What if something isn’t right at opening? Ours: that’s exactly why the booth stands fully built and lit at our facility first — on a two-day market, a fixture problem at 9 a.m. on day one costs you a quarter of the show. You approve photographs of the actual booth before it ships, and our supervisor is on the floor for move-in, so opening bell is a formality, not a deadline.

Questions MAGIC Nashville exhibitors actually ask

MAGIC Nashville booth rental FAQs

How much does a MAGIC Nashville booth rental cost?
Every booth on this page is published with its Nashville price — fixed and all-inclusive: design, fabrication, graphics, merchandising fixtures, furniture, freight, labour coordination and project management. Separately, the show, the venue and the show’s general contractor bill you directly for booth space, electrical, drayage and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for MAGIC Nashville?
Lock your design by the start of March. A mid-May market puts the advance-order deadlines in mid-March, when most brands are deep in the season everywhere else — start the conversation around the turn of the year for full design freedom. The exact advance-order deadline for the next edition is in the facts strip at the top of this page and updates automatically.
What’s move-in like at the Music City Center?
MCC is a downtown building, and freight moves through its docks on a marshalled schedule — trucks that miss their window wait, and on a two-day show every hour of move-in matters more. We book your freight window early, route fixtures and stock to arrive together, and put an install supervisor on site so your team spends move-in merchandising, not managing logistics.
Can the booth carry real merchandising — hang bars, shelving, mirrors, an order table?
Yes — that’s the design brief at a wholesale market. We build the fixtures into the structure at real product weights rather than renting them loose: hang bars where the line faces the aisle, shelving and tables where orders get written, lighting chosen to flatter fabric. The booth ships photographed merchandised-empty, so you know exactly what your stock is walking into.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our facility and you approve photographs of the actual booth, not a render.
Can I install the booth myself to save on labour?
The show’s general contractor governs who may build what on the floor, and on a two-day market your team’s time is worth more on the line sheet than on a ladder. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across both show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, a rail that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver a MAGIC Nashville booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. For a May market, calling in early spring keeps that window at advance rather than floor rates.
Do you handle events off the show floor — showrooms, suites, buyer dinners?
Yes — hotel suites, pop-up showrooms and buyer events around downtown Nashville run under the same fixed-price model, coordinated by the same project manager as your booth.
