MRC Vegas Trade Show Booth Rentals

Fraud and payments leaders spend their days spotting what doesn’t add up. They bring that instinct to the expo hall.

Fixed-price MRC Vegas exhibits — design, fabrication, graphics, freight, installation and dismantle in one number that doesn’t move. Pre-built, lit and photo-approved before it ships, so the booth that meets the payments and fraud prevention community in Las Vegas has already stood up once, powered and checked, on our floor.

The kind of booth a head of fraud trusts on sight

MRC Vegas is built around merchants — the fraud, risk and payments leaders at large retailers, marketplaces and digital businesses — and the solution providers who want a conversation with them. The room is small enough that reputations travel across it in a day. A booth here should look composed and credible, make one claim clearly, and offer a quiet place to talk through a live dashboard. The work below is what we build for companies selling trust: clean, precise structures with real conversation space, carried by one team from first rendering to dismantle.

Know the venue before you plan the booth

This expo is in a resort ballroom, not a convention hall

MRC Vegas runs inside ARIA’s convention space, and a hotel ballroom plays by different rules from the Las Vegas Convention Center. Ceilings are lower, nothing hangs from them, floors are carpeted and protected, and every crate reaches the room through hotel docks and service corridors. A design drawn for an open exhibit hall can be impossible to get through the door, let alone build.

ARIA — resort logistics

Hotel docks · service corridors

Freight shares the property’s docks with everything else the resort is hosting, then travels through back-of-house corridors and freight elevators with hard limits on crate size and weight. We design the structure in components that fit that route, pack in install order and book the dock window early — and because it has all been assembled once on our floor, nothing is being figured out in a hotel corridor.

Height and footprint are tight

Ballroom ceilings · compact spaces

Booth spaces here are compact and height limits are well below what a convention hall allows, so impact has to come from lighting, material quality and a disciplined message rather than scale. We read the exhibitor kit before the first concept and design to the ceiling and footprint it actually permits, with a demo position and seating that still work when the aisle is full between sessions.

The March calendar

A crowded fintech spring

A mid-March show puts the advance-order cutoff in mid-January, with the holiday break inside the approval period. It also lands in the busiest stretch of the payments calendar, when most marketing teams are running several events within weeks of each other — one reason a rental, built and checked ahead of time, earns its place in the programme.

What we handle at ARIA
  • Design to the ballroom’s real height, footprint and floor-protection rules
  • Structure engineered in components sized for hotel corridors and freight elevators
  • Electrical, network and material handling orders calculated and filed at advance rates
  • Hotel dock scheduling, union labour coordination and on-site supervision
  • COI, EAC and exhibitor-kit deadlines mapped to our calendar
  • Dismantle, pack and outbound freight
Billed by the show, not by us

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show, the venue or the show’s general contractor — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

  • Booth space
  • Electrical drops and floor distribution
  • Material handling (drayage)
  • Rigging, if you’re hanging a sign
  • Daily cleaning · internet
Why a fixed price matters most here

The budget you present in autumn should survive March

Trade show invoices have a habit of growing between quote and show: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

01

One number, and it holds

Design, fabrication, graphics, furniture, lighting, freight, installation, dismantle and project management in a single fixed price.

02

Proven before it ships

Your booth stands fully assembled and lit at our 65,000 sq ft facility, and you approve photographs of the actual build — not a render.

03

Show costs, known up front

Space, electrical, drayage and rigging calculated for your exact booth before you commit — so the total is a number, not a range.

04

The paperwork is ours

COI, EAC, electrical, network, rigging, freight windows — filed at advance rates, mapped to every exhibitor-manual deadline. Nothing lands on your desk three days before it’s due.

We quote higher and cost less. That’s the whole argument, and it’s why every booth below is published with its price rather than hidden behind a “request a quote” form.

Working backwards from March

Your real deadline is in mid-January

The advance-order cutoff lands roughly eight weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. For a mid-March show that puts the binding constraint in mid-January, which means the design has to be approved on one side of the holiday break and ordered on the other.

Five questions to ask anyone quoting your MRC Vegas booth

Put these to every exhibit house you’re comparing — including us. They separate the vendors that stand behind a number from the ones whose estimate is an opening position. Our answers are printed here so you can hold us to them.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in November costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled, powered and lit at our facility, photographed for your sign-off before it leaves for Las Vegas. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-kit deadline. Live dashboards need dependable power and network, and in a resort venue the advance-versus-floor spread on both is wide — if a vendor can’t answer this immediately, that’s your answer.
5 Will this design physically get into the ballroom? Ours: yes — because it was engineered in components sized for the hotel’s corridors and freight elevators, and it has already been built once. A vendor who designed for a convention hall finds out at the dock. Ask them directly.

Questions MRC Vegas exhibitors actually ask

MRC Vegas booth rental FAQs

How much does an MRC Vegas booth rental cost?
Every booth on this page is published with its Las Vegas price — fixed and all-inclusive: design, fabrication, graphics, furniture, freight, labour coordination and project management. Separately, your sponsorship or space fee goes to the organiser, and the venue and the show’s contractor bill you directly for electrical, network, drayage and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for MRC Vegas?
Lock your design by mid-January. The advance-order deadlines for a March show fall just after the holiday break, so approvals need to happen before it — start the conversation in early autumn for full design freedom. The exact advance-order deadline for the next edition is in the facts strip at the top of this page and updates automatically.
Our space is small. Can a rental still look like a serious brand?
Yes — in a room this size, finish matters more than footprint. We put the budget into lighting, materials, a single clear message and a well-placed screen, and design seating that works in a compact space. You approve photographs of the actual booth, built and lit, before it ships.
What’s different about exhibiting in a resort instead of a convention center?
Almost everything behind the scenes. Lower ceilings, no rigging, protected floors, shared hotel docks and size limits on what fits through service corridors. We design to those limits from the first concept, so there is no redesign when the exhibitor kit is finally read.
We need to demo a live fraud or payments dashboard. Can you handle power and network?
Yes. We plan screen positions, cable routing and a private viewing angle for sensitive data, then calculate the electrical and network orders your demo needs. The venue bills those to you directly; we file them at advance rates and test the full setup on our floor.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our facility and you approve photographs of the actual booth, not a render.
Can I install the booth myself to save on labour?
Las Vegas show floors run on contracted union labour, and the event’s contractor governs who may build what. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, filed at advance rather than floor rates.
A vendor just fell through. How fast can you deliver an MRC Vegas booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. For a March show, the earlier in the winter you call, the more of that window sits at advance rather than floor rates.
Do you handle merchant dinners and meeting suites around the conference?
Yes — hotel suites, private meeting rooms and hosted evenings along the Strip run under the same fixed-price model, coordinated by the same project manager as your booth.
