NAFSA isn’t a browsing show — it’s a meeting show. Universities, pathway providers, insurers, ed-tech platforms and government delegations arrive with calendars already full, and the booth that wins is the one that works as a venue: places to sit, places to talk privately, and a front that tells a dean at thirty feet exactly who you are. The work below shows how we build for that — custom structures designed around the conversation, with every project moving through one team from first rendering to dismantle.

Know the floor before you plan the booth

NAFSA isn’t a product show. It’s a diplomacy floor.

The expo hall at NAFSA runs on relationships: country pavilions, institutional neighbours, delegations moving between pre-booked meetings. Add a major downtown venue with its own move-in rhythm and a conference programme that pulls your audience off the floor for sessions, and the booth brief changes. The most expensive NAFSA mistake isn’t a bad booth; it’s a booth designed for walk-up traffic at a show that runs on appointments.

A large downtown convention campus means marshalled freight, scheduled dock targets and union labour jurisdictions governing what happens on the floor. None of that should be your problem: we plan the build for the venue’s rules, book the freight window against your move-in slot, and put a supervisor on site. You arrive to a finished booth, not a work order.

NAFSA attendees schedule much of their expo time before they fly. That rewards a booth engineered as meeting infrastructure — a clear identity readable from the aisle, seating that lets two conversations run at once, and somewhere semi-private for the discussion that shouldn’t happen standing up. Deadlines land in spring

A June show means the paperwork season is April and May — advance-order deadlines, layout approvals and freight windows all land while your team is deep in admissions season and end-of-year cycles. The real deadline for a locked design is early-to-mid April. Miss it and you’re not late, you’re paying floor rates for everything.

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show and venue — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

Why a fixed price matters most here

The budget you defend in the fall should survive June

International education budgets are approved months ahead, reviewed by committees, and rarely elastic. That’s exactly the environment where exhibit-house invoices do their damage: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

The advance-order cutoff lands in the weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. But the binding constraint arrives earlier: the spring is when advance electrical, rigging and freight windows are filed, and it’s also the busiest stretch of the academic year for the people who have to approve your design. Work backwards and the comfortable version of this project starts in winter.

Five questions to ask anyone quoting your NAFSA booth

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea after your committee reviews the renders costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off before it ships. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. The advance-versus-floor spread on electrical, drayage and rigging is real money — if a vendor can’t answer this immediately, that’s your answer.
5 Does the booth actually work as a meeting space, or does it just photograph well? Ours: meeting flow is the design brief at this show, not an afterthought — seating counts, sightlines and a semi-private corner are planned before the graphics are. How much does a NAFSA booth rental cost?
Every booth on this page is published with its price — fixed and covering design, custom fabrication, graphics, furniture, freight, installation, dismantle and project management. Separately, the show and venue bill every exhibitor directly for booth space, electrical, drayage, rigging and cleaning; we calculate those client-direct costs for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for NAFSA 2027?
Lock your design by early-to-mid April — that’s when advance electrical, rigging and material-handling orders are filed, and the advance-versus-floor rate spread is real money. Start the conversation in winter for full design freedom, especially if a committee has to sign off on the design. The exact dates and advance-order deadline for the current edition are in the facts strip at the top of this page and update automatically.
We’re a university, not a company. Does the process change?
Only in ways that help you. A fixed price means the number you take to procurement or your committee is the number on the final invoice — no change-order exposure to explain later. Unlimited design revisions mean feedback rounds from multiple stakeholders cost nothing. And because the booth is photo-approved before it ships, the person who signs off sees the actual build, not a rendering.
Can you design for meetings rather than walk-up traffic?
That’s the NAFSA brief. Attendees pre-book much of their expo time, so we plan the booth as meeting infrastructure: an identity readable from the aisle, seating arranged so two or three conversations can run in parallel, and a semi-private area for the discussions that shouldn’t happen standing in traffic. The graphics come after the meeting flow, not before.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our 65,000 sq ft facility and you approve photographs of the actual booth, not a render.
Can I install the booth myself to save on labour?
Major convention-center floors run on contracted union labour, and the show’s general contractor governs who may build what. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, with show orders filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver a NAFSA booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. The earlier in the spring you call, the more of that window sits ahead of the advance-order deadlines.
Do you handle events off the show floor — receptions, alumni events, meeting suites?
Yes — hotel suites, meeting spaces, receptions and satellite events around the conference run under the same fixed-price model, coordinated by the same project manager as your booth. For delegations running a full week of programming around the show, one team carries all of it.
