Expo West spreads across the convention center’s main halls, the newer North building and exhibit areas in the hotels connected to the campus. Each building has its own docks, its own move-in rhythm and its own traffic pattern — a design that works in a main-hall aisle can be wrong for a hotel-level footprint. We confirm your building before anything is designed.
Buyers here evaluate three things fast: how the product tastes, how the packaging reads on a shelf, and whether the brand story holds up. That means sampling counters that meet the show’s compliance rules, refrigeration and demo equipment with the right power behind them, and shelf-ready presentation built into the structure — all planned before the floor gets crowded, because it will.
For a March show, the advance-order window closes roughly eight weeks out — in January, right after the holidays have already eaten your December production weeks. Teams that start in autumn get full design freedom and advance rates. Teams that start in the new year pay floor rates for everything and design around whatever’s left.
Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show, the venue or the show’s general contractor — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.
Expo West is where exhibit-house invoices go to grow: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

For a March show that puts the binding deadline in January, with the December holidays sitting squarely inside the production weeks this timeline assumes. Start in autumn and the holidays are a pause; start in the new year and they’re a wall you’ve already hit.
