The kind of booth a distributor stops walking for

PPAI buyers are promotional consultants who look at branded product all day, every day. They can judge decoration quality from the aisle and they know exactly what a cheap backwall looks like — it’s often one of the products they sell. The work below is what we build for consumer, retail and merchandise brands: product walls that read from twenty feet, sample counters at the right height for handling, and somewhere to sit down and write the order, with every project moving through one team from first rendering to dismantle.

Know the floor before you plan the booth

PPAI isn’t a browsing show. It’s a line review with two thousand booths.

PPAI fills the Mandalay Bay Convention Center — a hotel-campus venue at the south end of the Strip, not a standalone hall — with distributor consultants who came to shortlist suppliers for the year. The conference runs on the Monday; the exhibit hall opens Tuesday through Thursday. It’s one of the first big shows on the January calendar, which means the entire build sits in the holidays. Where your booth lands, how fast a buyer can handle your samples, and whether your freight cleared the year-end shutdown all decide more than the graphics do. The most expensive PPAI mistake isn’t a bad booth; it’s one still being built between Christmas and New Year.

Mandalay Bay — a hotel campus, not a hall

Mandalay Bay’s exhibit halls sit inside a resort complex, and freight moves through its docks on Freeman’s marshalling schedule rather than straight off the street. That changes routing, dock timing and how long an install crew waits for a forklift. Sightlines are long and the ceilings generous, so height and lighting carry across the hall. We plan the booth to the hall, book the dock target time to your booth size, and put a supervisor on the door.

Distributors come to touch product — decoration quality, print registration, fabric hand, how the lid closes. A booth that works here behaves like a showroom: product walls that read from the aisle, sample counters at handling height with room for two buyers at once, lighting that flatters colour rather than washing it out, and a table where a line sheet can be worked through. We plan those before the finishes, because a buyer who can’t handle the sample doesn’t shortlist the supplier.

Thanksgiving and Christmas sit inside your build

A second-week-of-January show means the advance-order deadlines land in mid-November, and everything after them — freight, approvals, last-minute graphics — runs through Thanksgiving, the Christmas week shutdown and New Year. The real deadline for a locked design is mid-November. Miss it and you’re not late, you’re paying floor rates for electrical and material handling while chasing a truck through the two weeks of the year when nothing moves.

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show, the venue or the show’s general contractor — no exhibit house can absorb them and none should claim to. The budget you present in summer should survive January

Trade show invoices have a habit of growing between quote and show: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

The advance-order cutoff lands roughly eight weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. For a second-week-of-January show that puts the binding constraint in mid-November, with Thanksgiving, Christmas and New Year all sitting between it and move-in — so the calendar is far tighter than the number of weeks suggests.

2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in October costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled, powered and lit at our facility, photographed for your sign-off before it leaves for Las Vegas. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. Sample inventory for a PPAI booth arrives by the pallet, so material handling is a real line on your bill — the advance-versus-floor spread with Freeman is real money, and the advance deadline lands before Thanksgiving. If a vendor can’t answer this immediately, that’s your answer.
5 What happens to my booth over Christmas and New Year? Ours: nothing — because it’s already built, photographed, approved and on the truck by mid-December, ahead of the year-end shutdown when carriers, warehouses and approval chains all stop. Any vendor still fabricating between Christmas and New Year is gambling with your show. Ask them directly.

How much does a PPAI Expo booth rental cost?
Every booth on this page is published with its Las Vegas price — fixed and all-inclusive: design, fabrication, graphics, furniture, freight, labour coordination and project management. Separately, the show, Mandalay Bay and Freeman bill you directly for booth space, electrical, material handling, rigging and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for PPAI Expo?
Lock your design by mid-November. The advance-order deadlines for a second-week-of-January show land just before Thanksgiving, and your freight has to leave before the Christmas shutdown — start the conversation in summer for full design freedom. What’s move-in like at the Mandalay Bay Convention Center?
Mandalay Bay is a resort campus, so freight comes through its docks on Freeman’s marshalling schedule with dock target times, and move-in for PPAI runs on the Monday while the conference is under way upstairs. We book your dock slot to your booth size, route the truck to the right hall, and put an install supervisor on site so your team never has to learn the venue’s logistics themselves.
Can the booth work like a showroom — product walls, sample counters, somewhere to write orders?
Yes, and it’s the most important planning conversation for a PPAI booth. We design the structure around how a distributor moves: a product wall readable from the aisle, sample counters at handling height with room for two buyers, colour-accurate lighting, and a meeting table where a line sheet can be worked through. Fixtures, shelving and lighting are engineered into the build and verified on our floor before it ships.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our facility and you approve photographs of the actual booth, not a render.
Does PPAI need to approve my custom booth design?
Yes — custom-built booths are submitted for show management review before the exhibitor-manual deadline, and hanging signs and heights follow Mandalay Bay’s rules. We file the layout and renderings for approval in September, well before design lock, so nothing about your structure is in question when the advance orders go in.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across all three show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, shelving that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver a PPAI booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. For a January show the constraint is the holiday freight window, not our build: the earlier in the autumn you call, the more of that window sits at advance rather than floor rates.
Do you handle events off the show floor — hospitality suites, distributor dinners, The Pitch?
Yes — hospitality suites at Mandalay Bay, distributor dinners and satellite activations along the Strip run under the same fixed-price model, coordinated by the same project manager as your booth. Note that PPAI requires show-management approval for hospitality functions during show hours; we file that too.
