Why San Antonio works

Three hundred events a year walk this floor

The González Center hosts more than three hundred events and three quarters of a million delegates a year — a working convention city’s pace, driven by national association meetings, medical and scientific congresses, and the government-adjacent audiences that Military City USA’s defense and military-medicine anchors naturally draw. These are substance-first floors: attendees are here to learn and to meet, and booths built around education and scheduled conversations outperform pure spectacle.

That’s the brief we build to: custom 3D design around your brand, fabrication in our own shop, the complete booth standing for photo approval before it ships — and one fixed contractual number that files on a PO exactly as quoted.

01

Designed, not templated

A 3D concept built for your brand and footprint — unlimited revision rounds inside the fixed price, so the design conversation ends when you’re satisfied.

02

The builder, direct

Design, fabrication, print and wiring in our own shop — no brokered subcontracts adding margin and drift. The people who drew your booth build it.

03

Verified before it ships

The complete booth stands in our shop and you approve photographs of it before anything travels — a checked build, not a hopeful one.

04

One number, no surprises

Design through dismantle in a single contractual figure, with the venue’s own charges forecast beside it before you sign.

The second invoice

The delta your post-show audit always finds

Run the numbers on most exhibit projects after the show and the same delta appears: final spend versus approved quote, up a quarter or more. The venue didn’t cause it — venue charges are tariffed and predictable. The exhibit house did, in hourly labour that “ran over,” design help re-billed as change orders, and reprints priced like emergencies. One 20×20 island in San Antonio, both ways:

Typical exhibit house
Quoted before you signed$28,000
Install & dismantle labour overrun+ $3,300
Change orders from design rounds+ $2,300
Rush graphics and reprints+ $1,200
Site supervision, hourly+ $1,100
Actually paid$35,900
28% above the quote
Pure Exhibits
Quoted before you signed$31,000
Install & dismantle labourIncluded
Design roundsUnlimited
Graphics productionIncluded
Site supervisionIncluded
Actually paid$31,000
Exactly the quote

On the venue’s invoice in both scenarios: space, electrical, drayage, rigging, cleaning, internet — the show’s charges, tariffed and identical whoever builds for you. A vendor who “includes” them has buried them. We forecast each line for your booth up front and place the orders before the advance-rate window closes.

We quote higher and cost less. Audit us on it — the final invoice matching the quote is the deliverable.

Henry B. González Convention Center · 900 E Market St

Half a million square feet, directly on the River Walk

The González Center puts 514,000 contiguous square feet across five exhibit halls — under 35-foot ceilings, alongside 86,500 square feet of column-free multipurpose space and the 54,000-square-foot Stars at Night Ballroom, the largest in Texas — on the banks of the River Walk itself. No other major American venue sits inside its city’s best hospitality district; here, the show floor and the evening are a staircase apart.

The contiguous floor

Five halls · 514,000 sq ft · 35-ft ceilings

Halls that combine for the big meetings, with ceiling height that lets hanging signs and tall structures earn their cost. Hall assignment sets your dock and your walk; we confirm it before design starts.

The meeting engine

72 meeting rooms · Stars at Night Ballroom 54,000 sq ft

Conference-heavy events split attendees between sessions and the hall — so booths built for scheduled conversations, education and semi-private meetings outperform pure display on these floors.

The River Walk address

On the water · hotels, restaurants, evenings walkable

Attendees stay and dine within strolling distance, and the district does your client-entertainment logistics for you — a hospitality geography unique among US convention cities.

What we run for you here
  • Hall confirmation before anything books
  • Floor plan filings and venue approvals
  • Dock target times scheduled to the show’s plan
  • Electrical, rigging and drayage ordered at advance rates
  • COI and contractor paperwork per venue
  • Supervised install, show-day support, dismantle
Worth knowing · the government-adjacent audience

Military City USA’s defense and military-medicine anchors bring government-adjacent attendees to many San Antonio meetings — an audience that responds to substance and operates under gift and hospitality constraints. Demo-first, education-forward booths with discreet meeting space perform here the way they do in Washington, and we design to that pattern as standard.

The River Walk playbook

The show floor ends at the water. Your meeting strategy shouldn’t.

Most convention cities separate the hall from the hospitality — attendees scatter to dinners a cab ride away, and the connection you made at 3 p.m. dissolves by evening. San Antonio collapses that distance: the River Walk starts at the Center’s edge, which means the dinner that closes the deal is a five-minute stroll from the booth where it started. Exhibitors who plan for that geography convert more of the floor’s traffic into finished conversations.

The playbook: a booth built to book the evening — semi-private space and a managed calendar that turns aisle interest into same-day dinner reservations; hospitality in the booth that starts the relationship the river will finish; and staff briefed to use the city as the closing room it is. The venue’s geography is a sales asset; most booths simply never cash it.

01

Book the evening from the booth

A calendar-managed reception point and semi-private seating turn floor conversations into same-day reservations — the shortest path in American exhibiting from aisle to closing dinner.

02

Substance in show hours

Conference-heavy, government-adjacent audiences respond to education and demos over spectacle — the booth earns the dinner with what it teaches by day.

03

Built for the busy floor

Three hundred events a year means practiced crews, tight schedules and fast turnarounds — where a pre-built, photo-verified booth’s quick install and clean dismantle fit right in.

Exhibiting across Texas? Houston, Dallas and Austin run on the same published fixed model — one booth design travels the triangle, with every city’s price known before your year starts.

San Antonio show calendar

When to start, by show

San Antonio runs on rotation — more than three hundred events move through the González Center each year, led by national association meetings and medical congresses that choose the River Walk address deliberately. Name yours and we’ll pull its manual before we quote.

Verify months annually · rotating meetings not listed
ShowTypical monthVenueStart planning
Rotating national association meetingsYear-roundHenry B. González CC4–5 months
Medical & military-medicine congressesSeasonal · verifyHenry B. González CC5 months
Consumer & fan exposSeasonal · verifyHenry B. González CC4 months

Conference-heavy meetings reward the extra month — they publish agendas early and their attendees schedule tightly, so a booth planned five months out has its meeting calendar and demo slots built while competitors are still approving budgets.

Working backwards

The calendar that matters runs in reverse

Show dates don’t create cost pressure — order deadlines do, and the decisive one closes roughly eight weeks out, when advance rates on electrical, rigging and drayage expire. Everything else in the plan exists to arrive at that gate comfortably.

−6 MONTHSScope agreed, fixed figure signed, design begins.
−4 MONTHSHall confirmed; layout submitted for approval.
−10 WEEKSArtwork frozen and moved into print.
−8 WEEKSAdvance rates on show services expire. The gate everything aims at.
−4 WEEKSFreight slot and dock time locked to the current campus plan.
−2 WEEKSComplete build stands in our shop; photo sign-off.
SHOW WEEKInstall lands in your window; you arrive to a working booth.
Rush and last-minute

A month out is workable

Late vendor collapse, a show slot that opened up, a budget approved behind schedule — with design, fabrication and print in one building, a San Antonio booth can go approval-to-floor in about four weeks. Same quality gate (built and photographed before shipping), same printed price. Compressed timelines are our scheduling problem, not your surcharge.

  • Roughly four weeks, approval to show floor
  • Photo-verified pre-build, even on rush
  • 10×10 through 20×40 on compressed timelines
  • The published price holds — no rush premium
Questions exhibitors actually ask

San Antonio booth rental FAQs

How much does a trade show booth rental cost in San Antonio?
The table above is the answer: $13,000–$15,500 for a 10×10 through $60,500–$71,500 for a 30×40 — design, build, graphics, freight, crews and management in one contractual figure. The venue bills space, electrical, drayage and rigging separately to every exhibitor; we forecast those lines for your booth before you sign.
Do I see the booth design before I commit?
Yes — a photorealistic 3D design revised until you approve, at no charge. Then the finished booth stands complete in our shop and you sign off on photographs of it before it ships to Texas. The design conversation happens before the money conversation closes, not after.
Is freight to San Antonio included?
Round trip, inside the fixed price, never a line item. And because your booth stands complete for photo approval before it ships, what reaches the dock is a verified build rather than a kit of parts and hope.
What’s different about exhibiting at the Henry B. González Convention Center?
The address, mostly: 514,000 contiguous square feet under 35-foot ceilings, sitting directly on the River Walk — so your attendees’ hotels, dinners and evenings are a stroll from the hall. We design booths that use that geography instead of ignoring it.
How should a booth use the River Walk?
Book the evening from the booth: semi-private seating and a calendar-managed reception point turn aisle conversations into same-day dinner reservations five minutes away. The city is the closing room; the booth’s job is to fill its calendar.
Do you design for military and government-adjacent audiences?
Yes — Military City USA’s meetings bring attendees who respond to substance and operate under gift and hospitality constraints. Demo-first, education-forward booths with discreet meeting space perform here the way they do in Washington, and we build to that pattern as standard.
Can you build double-deck booths in San Antonio?
Yes, for footprints from 20×20 up where the show’s rules allow — the hall’s 35-foot ceilings accommodate them well. Two-storey builds add structural drawings, venue engineering review and rigging coordination, all of which we run as part of the job.
Do you cover Houston, Dallas and Austin too?
All of Texas, on the same published fixed model — Houston and Dallas have their own pages with local pricing, and one booth design travels the triangle with a known number in each city.
Will a rental read as custom on the floor?
The structure is modular; every surface a visitor sees — graphics, lighting, finishes, layout — is designed for your brand. The gallery above is all rentals. You judge for yourself before it ships, from photographs of your actual booth standing in our shop.
Who’s with us during move-in and the show?
Our install supervisor runs your move-in window on the floor, and your project manager stays reachable through every show day. Pre-verified builds make move-in quiet — and when the floor produces a surprise anyway, the people who built the booth are the ones responding.
