City-centre convention centers run on tighter logistics than the big campus venues: freight arrives through a marshalling and dock schedule the venue controls, and your move-in slot is a window, not a suggestion. We plan the build around that reality — crated to move fast, installed inside the slot, supervised at the dock — so downtown logistics stay our problem, not yours.

Deadlines land right after the holidays

An early-March show means advance-order deadlines hit in January — exactly when teams are still restarting after the holidays. The exhibitors paying floor rates in DC are the ones who planned to “deal with it in the new year.” Lock the design before the break and January becomes paperwork we file, not a scramble you fund.

The budget you present in the fall should survive March

Exhibit invoices grow the same way everywhere: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

For SATELLITE that puts the binding deadline in mid-January, with the December holidays sitting directly inside the production window that feeds it. Plan as if the year ends in mid-December, because for booth production it does.

2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in December costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off weeks before move-in. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. For a March show those deadlines land in January — if a vendor can’t answer this immediately, that’s your answer.
5 The holidays sit inside my production window. What happens to my timeline? Ours: nothing — because graphics go to production in early December and the booth is built and photo-approved with margin to spare. Any vendor planning to fabricate your March booth in January is gambling with your show. Ask them directly.

How much does a SATELLITE booth rental cost?
Every booth on this page is published with its Washington DC price — fixed and covering design, fabrication, graphics, furniture, freight, labour coordination and project management. Separately, the show and venue bill you directly for booth space, electrical, drayage, rigging and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for SATELLITE?
Work backwards from the advance-order deadline, which lands in mid-January for an early-March show — the exact dates for the next edition are in the facts strip at the top of this page and update automatically. What should I know about exhibiting at the Walter E. Washington Convention Center?
It’s a downtown venue, which means freight moves through a marshalling and dock schedule the venue controls, and your move-in window is firm. None of that needs to reach your desk: we book the freight window and dock target time, build the booth to install quickly inside its slot, and keep a supervisor on site through move-in and move-out.
SATELLITE is co-located with GovMilSpace. Does that change how I should design my booth?
It should. The aisles carry government and military program staff alongside commercial operators, and those conversations are longer, quieter and more technical than typical trade show traffic. We regularly design SATELLITE-style footprints around three things: a working demo visible from the aisle, a message readable in seconds, and enclosed or semi-private meeting space for the conversations that actually move procurement.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our facility and you approve photographs of the actual booth, not a render.
Can I install the booth myself to save on labour?
Show floors in Washington DC run on contracted union labour, and the show’s rules govern who may build what. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, with the related show orders filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver a SATELLITE booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. The earlier you call, the more of that window sits at advance rather than floor rates for the show-billed services.
Do you handle events off the show floor — briefings, receptions, hospitality suites?
Yes — hotel suites, customer briefing rooms, receptions and satellite activations around the show run under the same fixed-price model, coordinated by the same project manager as your booth. In DC that often matters as much as the booth itself.
