SCOPE Summit Trade Show Booth Rentals

Every clinical ops decision-maker you want is in one resort for four days. Your booth is the meeting room.

Fixed-price SCOPE Summit exhibits — design, fabrication, graphics, freight, installation and dismantle in one number that doesn’t move. Pre-built, lit and photo-approved before it ships, so the booth that greets 5,000 clinical operations executives in Orlando has already stood up once on our floor.

Know the floor before you plan the booth

SCOPE isn’t a convention-center show. It’s a resort.

SCOPE Summit runs inside Rosen Shingle Creek — a working resort, not a purpose-built convention center. That changes the operational math: dock access, freight windows, storage and rigging all run on a tighter, more scheduled rhythm than exhibitors used to big convention halls expect. The most expensive SCOPE mistake isn’t a bad booth; it’s a convention-center plan dropped into a resort.

Rosen Shingle Creek — resort logistics

Hotel docks, scheduled freight, limited storage

A resort exhibit floor shares its loading docks with hotel operations, so freight moves in scheduled targets, not open windows, and empty-crate storage is far tighter than a convention hall. Ceiling and rigging allowances differ from a big-box venue too. We plan the build, the crates and the freight around the venue’s actual constraints — confirmed before design starts, not discovered at move-in.

A floor built around conversations

Sponsors, CROs & clinical tech, side by side

SCOPE’s exhibit hall is where the industry’s meals, breaks and receptions happen — so traffic arrives in concentrated waves, and the buyers walking past run clinical programs for a living. Spectacle wins less here than at a tech show; a clear platform story, a demo station that works, and somewhere to sit for a real conversation win more. We design for that rhythm.

The calendar problem

Holidays sit inside your timeline

An early-March show means design approvals and graphics production land across the December holidays, when production everywhere runs half-speed — and the advance-order deadlines arrive right at the start of the year. The real deadline for a locked design is early January; the exact advance date is in the facts strip at the top of this page. Miss it and you’re paying floor rates for everything.

What we handle at SCOPE
  • Venue-specific design — sightlines and heights planned for a resort hall, not a generic render
  • Layout submission and show approval, filed early
  • Electrical, rigging and material handling orders calculated and filed at advance rates
  • Labour coordination and on-site supervision through move-in and move-out
  • COI, EAC and exhibitor-manual deadlines mapped to our calendar
  • Dock target times, dismantle, pack and outbound freight
Billed by the show, not by us

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show and venue — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

  • Booth space
  • Electrical drops and floor distribution
  • Material handling (drayage)
  • Rigging, if you’re hanging a sign
  • Daily cleaning · internet
Why a fixed price matters most here

The budget you present in October should survive March

Conference budgets in clinical development get scrutinised line by line — and exhibit-house invoices are where they usually go to grow: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

01

One number, and it holds

Design, fabrication, graphics, furniture, lighting, freight, installation, dismantle and project management in a single fixed price.

02

Proven before it ships

Your booth stands fully assembled and lit at our 65,000 sq ft facility, and you approve photographs of the actual build — not a render.

03

Show costs, known up front

Space, electrical, drayage and rigging calculated for your exact booth before you commit — so the total is a number, not a range.

04

The paperwork is ours

COI, EAC, electrical, rigging, freight windows — filed at advance rates, mapped to every exhibitor-manual deadline. Nothing lands on your desk three days before it’s due.

We quote higher and cost less. That’s the whole argument, and it’s why every booth below is published with its price rather than hidden behind a “request a quote” form.

Working backwards from March

Your real deadline is in early January

The advance-order cutoff lands weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. But for an early-March show the binding constraint arrives sooner than most exhibitors plan for: the December holidays sit squarely inside the production window this timeline assumes.

SEP–OCTBrief, concepts and the fixed price locked. Full design freedom.
NOVEMBERLayout submitted for show approval — placement confirmed.
DECEMBERGraphics finalised and sent to production before the holiday slowdown.
EARLY JANDesign locked. Advance electrical, rigging and material-handling orders filed. After this, floor rates own your budget.
LATE JANFreight window and dock target time booked with the venue.
MID-FEBBooth built, lit and photographed for your approval — before it ships east.
SHOW WEEKCrew installs in your move-in slot. You walk in at handover.
Take this to every vendor

Five questions to ask anyone quoting your SCOPE booth

Put these to every exhibit house you’re comparing — including us. They separate the vendors that stand behind a number from the ones whose estimate is an opening position. Our answers are printed here so you can hold us to them.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in December costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off weeks before move-in. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. With an early-March show the advance deadlines land right after the holidays — if a vendor can’t answer this immediately, that’s your answer.
5 Have you planned for a resort venue, or a convention center? Ours: Rosen Shingle Creek runs on hotel docks, scheduled freight targets and limited crate storage — we plan the build and the logistics to the venue’s actual constraints before design starts. A vendor who treats it like a big-box hall finds out at move-in, on your dime.

Questions SCOPE exhibitors actually ask

SCOPE Summit booth rental FAQs

How much does a SCOPE Summit booth rental cost?
Every booth on this page is published with its Orlando price — fixed and covering design, fabrication, graphics, furniture, freight, labour coordination, installation, dismantle and project management. Separately, the show and venue bill you directly for booth space, electrical, drayage, rigging and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for SCOPE Summit?
Lock your design by early January. An early-March show means graphics and approvals land across the December holidays, when production everywhere runs half-speed — and the advance-order deadlines arrive right at the start of the year. Start the conversation in early fall for full design freedom; the exact advance-order deadline for the next edition is in the facts strip at the top of this page and updates automatically.
Rosen Shingle Creek is a resort, not a convention center — does that change anything?
Operationally, plenty: hotel loading docks shared with resort operations, scheduled freight targets instead of open windows, tighter empty-crate storage, and different ceiling and rigging allowances than a big-box hall. Design-wise it helps you — the hall is more intimate, so a well-built 20×20 reads bigger than it would in a cavernous convention center. We confirm the venue’s constraints before anything is designed, and plan freight and labour to the resort’s schedule.
Most of our SCOPE pipeline comes from scheduled meetings. Can the booth be built around that?
That’s exactly how we’d design it. SCOPE runs on pre-booked conversations — partnering meetings, CRO evaluations, sponsor sit-downs — so the booth works as a meeting venue first: semi-private seating or enclosed rooms, a demo station for the walk-up traffic between sessions, and storage so the space stays presentable through four days. The open, spectacle-first layouts that work at consumer tech shows waste footprint here.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our 65,000 sq ft facility and you approve photographs of the actual booth, not a render.
Can we reuse the booth across the rest of our clinical-conference calendar?
Yes — that’s one of the strongest reasons to rent. The design files, graphics and structure that stand at SCOPE can be re-deployed, re-sized and re-skinned across the rest of your show calendar, each edition at its own fixed price with the same project manager. You get programme-level consistency without owning, storing or refurbishing an asset.
Can I install the booth myself to save on labour?
Show floors run on contracted labour, and the show’s rules govern who may build what. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, and the show-service orders that go with move-in are filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver a SCOPE booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. For an early-March show, the earlier in the winter you call, the more of that window sits outside the holidays.
