Know the floor before you plan the booth

SHRM starts on a Sunday. Your move-in is the weekend.

SHRM’s expo floor at McCormick Place opens with a Sunday-evening reception, which means the entire install happens across a weekend — with the week’s biggest crowd walking the aisles before Monday’s sessions have even begun. The show also rotates host cities year to year, so a booth that worked in Orlando or San Diego meets a different building, a different labour model and a different freight calendar in Chicago. The most expensive SHRM mistake isn’t a bad booth; it’s a plan borrowed from last year’s city.

McCormick Place runs on union jurisdictions — carpenters, electricians, riggers and decorators each own their scope — and freight enters through a marshalling yard against an assigned target date, billed by the hundredweight. Exhibitors arriving from a right-to-work city are the ones caught by it. We design the booth so every trade’s work is clean and quick, and we book the target date so the truck isn’t waiting in the yard on Saturday.

A reception-first expo

The expo opens with an evening reception, and a large share of the week’s foot traffic lands in those first hours — attendees arrive fresh, with time, before the session schedule takes over. Your booth has to be finished, lit and staffed by Sunday afternoon, not Monday morning. We plan the install to be complete a day early, with the lounge, demo stations and coffee running for the reception, not for the day after it.

Independence Day sits after the show

A June show that closes on a Wednesday puts your outbound freight and your team’s travel against the Independence Day holiday week — carriers thin out, and McCormick’s dismantle window doesn’t stretch. The advance-order deadline lands in early May, when the same HR teams exhibiting here are mid-way through their own hiring cycles. The real deadline for a locked design is the first week of May.

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show, the venue or the show’s general contractor — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

Why a fixed price matters most here

The budget you present in winter should survive June

Trade show invoices have a habit of growing between quote and show: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

The advance-order cutoff lands roughly eight weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. For a late-June show that puts the binding constraint in the first week of May; everything after it is either at floor rates or fighting the pre-summer calendar for approvals.

2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in March costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled, powered and lit at our facility, photographed for your sign-off before it leaves for Chicago. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. With demo stations, screens and a lounge that has to be running for a Sunday-evening reception, the advance-versus-floor spread at SHRM is real money — if a vendor can’t answer this immediately, that’s your answer.
5 We exhibited at SHRM last year in a different city. Can we reuse the booth? Ours: the design, yes — the plan, no. McCormick Place runs union jurisdictions and hundredweight drayage that other host cities don’t, so the same structure installs on a different labour and freight model. We re-engineer the install for Chicago while keeping your graphics and layout intact. Any vendor promising an identical plan in a different building hasn’t read the exhibitor manual.

How much does a SHRM booth rental cost?
Every booth on this page is published with its Chicago price — fixed and all-inclusive: design, fabrication, graphics, furniture, freight, union labour coordination and project management. Separately, the show, McCormick Place and the show’s general contractor bill you directly for booth space, electrical, drayage, rigging and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for SHRM?
Lock your design by the first week of May. Advance-order deadlines for a late-June show land before summer, and the weekend install leaves no slack for late changes — start the conversation in winter for full design freedom. The exact advance-order deadline for the next edition is in the facts strip at the top of this page and updates automatically.
What’s move-in like at McCormick Place for SHRM?
It happens over a weekend. Freight enters through the marshalling yard against an assigned target date, drayage is billed per hundredweight, and union crews handle the install — all before a Sunday-evening reception opens the floor. We book the target date, keep the crate weights honest, schedule the crew for a Saturday build and put an install supervisor on site so your booth is finished, lit and staffed before the first attendee walks in.
Our booth is built around a lounge and live product demos. Can you handle the power, network and furniture?
Yes, and it’s the most important planning conversation for a SHRM booth — the expo is a conversation floor, and HR buyers stay where there’s somewhere to sit and something to see. We design the meeting space and demo stations into the structure, source the furniture inside the fixed price, then calculate the electrical and network orders your setup actually needs. Those services are billed to you directly by the show and venue, but we file them at advance rates and verify everything against the booth as built on our floor.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our facility and you approve photographs of the actual booth, not a render.
Can I install the booth myself to save on labour?
Not at McCormick Place. Union jurisdictions govern who may build, wire and rig what, and the show’s general contractor enforces them — an exhibitor-installed booth is limited to small pop-up structures with no tools. It isn’t your problem to arrange either way: union labour coordination and on-site supervision are inside our fixed price, filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver a SHRM booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. For a late-June show, the earlier in spring you call, the more of that window sits at advance rather than floor rates.
Do you handle events off the show floor — suites, receptions, satellite activations?
Yes — hotel suites, meeting spaces and satellite activations around McCormick Place and downtown Chicago run under the same fixed-price model, coordinated by the same project manager as your booth.
