The real deadline for a locked design is early August. Miss it and you’re not late, you’re paying floor rates for electrical and internet while your team is also trying to ship a second booth to Las Vegas.

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show, the venue or the show’s general contractor — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

The budget you present in spring should survive October

Trade show invoices have a habit of growing between quote and show: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. 5 We exhibit at HR Tech in Las Vegas the following week. Can one booth do both? Ours: yes, and it’s the smart way to work the October calendar. We design a modular structure that installs in Denver on Monday, comes down Wednesday, and is standing at Mandalay Bay the following week — one fixed price per show, one freight plan, one project manager, graphics that carry over. When should I book a booth for Staffing World?
Lock your design by early August. The advance-order deadlines for a mid-October show land in mid-August, in the middle of vacation season — start the conversation in spring for full design freedom. What’s move-in like at the Gaylord Rockies?
The Gaylord Rockies is a resort, so freight comes through its docks on the general contractor’s schedule with dock target times, and the expo hall is a short walk from the guest rooms rather than a separate building. We book your dock slot to your booth size, route the truck, and put an install supervisor on site so your team never has to learn the venue’s logistics themselves.
Our booth is really a demo station and a meeting space. Can it do both at once?
Yes, and it’s the most important planning conversation for a Staffing World booth. We design the structure around the sales conversation: a demo station where the platform runs on real screens, a semi-private meeting space for hosted-buyer appointments, hospitality that keeps a prospect in the booth, and a front that says what you do from the aisle. Power, internet and AV are engineered into the build and verified on our floor before it ships.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our facility and you approve photographs of the actual booth, not a render.
Staffing World moves city every year. Can we reuse the booth next edition?
Yes — the concept and the structure carry over, and the plan is redrawn for the next building’s hall, docks and labour rules. Each edition gets its own fixed price, one project manager throughout, and graphics that update rather than reprint from scratch.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across all three show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, AV that won’t connect — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver a Staffing World booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. For an October show, the earlier in the summer you call, the more of that window sits at advance rather than floor rates.
Do you handle events off the show floor — client dinners, hospitality suites, satellite demos?
