TCA’s Annual Convention runs at Caesars Forum — a resort-integrated convention facility rather than a stand-alone convention center, which changes how freight, docks and move-in are coordinated. The most expensive TCA mistake isn’t a bad booth; it’s a booth built for foot traffic on a floor where the real business happens in scheduled, one-on-one conversations.

A resort-based venue runs on a different rhythm than a stand-alone convention center — dock access, marshalling and labour are coordinated through the property, and windows can be tighter than exhibitors expect. We confirm the building’s specific move-in process before anything is designed or booked.

Trucking marketing and event budgets often reset with the calendar year, and many fleets are still finalising their 2027 plans into January — right as the advance-order window for a late-February show opens. The exhibitors who lock their design before that internal budget scramble get first pick of production time.

The budget you present in November should survive February

Trade show invoices grow the same way everywhere: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

The advance-order cutoff lands roughly eight weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. For a late-February show that cutoff sits in early January, which means the binding constraint arrives even earlier: the production weeks this timeline assumes run thin across the December holidays, right before the deadline hits.

Five questions to ask anyone quoting your TCA booth

Put these to every exhibit house you’re comparing — including us. They separate the vendors that stand behind a number from the ones whose estimate is an opening position. Our answers are printed here so you can hold us to them.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in November costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off before the holidays. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. At a resort-based venue the advance-versus-floor spread is real money — if a vendor can’t answer this immediately, that’s your answer.
5 What happens to my timeline over the holidays? Ours: nothing — because your booth is built and photo-approved before the January deadline crunch even hits. Any vendor still finalising graphics in early January is gambling with your show. Ask them directly.

TCA booth rental FAQs

How much does a TCA booth rental cost?
Every booth on this page is published with its Las Vegas price — fixed and all-inclusive: design, fabrication, graphics, furniture, freight, labour coordination and project management. Separately, the show bills you directly for booth space, electrical, drayage, rigging and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for TCA?
Lock your design by early January. A late-February show means advance orders come due right after the holidays, when internal budgets are also just being finalised for the new year. Start the conversation in the fall for full design freedom; the exact advance-order deadline for the next edition is in the facts strip at the top of this page and updates automatically.
What’s move-in like at Caesars Forum?
Different from a stand-alone convention center — dock access, marshalling and labour are coordinated through the resort property, and the windows can run tighter than exhibitors expect coming from a traditional convention hall. We confirm the venue’s specific process and book your target time to it, and your project manager and install supervisor are on site through move-in. You walk in at handover.
Most of our business happens in scheduled meetings, not walk-up traffic. Can the booth support that?
Yes — this is the norm at TCA, not the exception. We design in dedicated meeting space, seating and sightlines that read as private without closing the booth off, so your team can run back-to-back carrier conversations while the booth still draws attention from the aisle.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our facility and you approve photographs of the actual booth, not a render.
Can I install the booth myself to save on labour?
Convention floors in Las Vegas run on contracted labour, and the show’s general contractor governs who may build what. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver a TCA booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. The earlier in the winter you call, the more of that window sits outside the holidays.
Do you handle events off the show floor — hospitality suites, driver appreciation events?
Yes — hotel suites, meeting spaces and satellite activations around the convention run under the same fixed-price model, coordinated by the same project manager as your booth.
