Health club owners have already been sold cheap equipment once. Your booth is the first thing they judge.
Fixed-price HFA Show exhibits — design, fabrication, graphics, freight, installation and dismantle in one number that doesn’t move. Pre-built, lit and photo-approved before it ships, so the booth introducing your brand to club owners, studio operators and industry-partner suppliers has already stood up once, on our floor, before it ever stands up on theirs.
Filters the booths below — every one shows its Las Vegas price.
HFA Show attendees are health club owners, studio operators and HFA’s industry-partner suppliers — buyers weighing capital purchases and long-term vendor relationships, not browsers killing time between sessions. The work below is what we build for brands that need to earn that trust fast: structures designed around the demo and the conversation, with every project moving through one team from first rendering to dismantle.
Microsoft
Modular island built to represent a national footprint — the same discipline a multi-location club brand needs.
Teramind
1,800 sq ft island with demo zones — a floor plan that guides a walkthrough as well as a facility tour.
Fulcrum GT
Full-height LED as the structure itself — build quality that reads as durable, not just flashy.
IMAX
Large-format island built around a controlled viewing experience — the same principle behind a group-fitness demo stage.
Appdome
Demo theatre built to hold high-volume traffic — exactly the problem a busy equipment demo draws.
Radware
Hands-on stations inside a four-sided island — built for the try-it-yourself moment club buyers expect.
SpyCloud
Interactive stations arranged for one-to-one conversation — the sales motion that actually closes club accounts.
WillowTree
Meeting-led layout with enclosed rooms off an open front — for vendor conversations that go beyond a quick demo.
The HFA Show brings health club owners, fitness studio operators and HFA’s industry-partner suppliers to Mandalay Bay — buyers evaluating equipment, programming and long-term vendor relationships with a level of scrutiny most trade shows don’t see. The most expensive HFA Show mistake isn’t a bad booth; it’s a booth designed to impress instead of to earn trust.
Mandalay Bay Convention Center runs on the same disciplined move-in and move-out rhythm as every major Las Vegas venue: targeted dock windows and labor coordination governed by the show’s general contractor, with freight that waits — and is billed — the moment it misses its slot. We plan the booth to the building’s schedule, not the other way around.
This floor runs on club owners, studio operators and industry-partner suppliers making capital decisions, not casual attendees killing time between sessions. Most have already been sold trendy equipment that didn’t hold up, so the booths that win read as durable and considered — clear product visibility, real demo space, and a layout that gets a conversation started in seconds, not a light show.
An eight-week advance-order cutoff on a March show lands in mid-January — the exact date is in the facts strip at the top of this page. To hit it, graphics and fabrication have to move through Thanksgiving and the December holidays, the same weeks production everywhere runs half-speed. The real deadline for a locked design is early December. Miss it and you’re not late, you’re paying floor rates for everything.
Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.
Trade show invoices grow the same way everywhere: labor hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.
Design, fabrication, graphics, furniture, lighting, freight, installation, dismantle and project management in a single fixed price.
Your booth stands fully assembled and lit at our 65,000 sq ft facility, and you approve photographs of the actual build — not a render.
Space, electrical, drayage and rigging calculated for your exact booth before you commit — so the total is a number, not a range.
COI, EAC, electrical, rigging, freight windows — filed at advance rates, mapped to every exhibitor-manual deadline. Nothing lands on your desk three days before it’s due.
We quote higher and cost less. That’s the whole argument, and it’s why every booth below is published with its price rather than hidden behind a “request a quote” form.
Every booth below is priced for Las Vegas and available as a custom build for your brand — rented, not bought. Use the finder at the top of the page to narrow by size and budget.

The advance-order cutoff lands roughly eight weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. For a March show that cutoff sits in mid-January, which means the production weeks it depends on run straight through Thanksgiving and the December holidays — the same weeks fabrication and print shops everywhere slow down.
Put these to every exhibit house you’re comparing — including us. They separate the vendors that stand behind a number from the ones whose estimate is an opening position. Our answers are printed here so you can hold us to them.
