TRE is a sell-in show. The people at your booth are store owners and buyers with a season’s open-to-buy to place, and they judge a brand the way they judge a shop: can I see the range, can I get a shoe on a foot, is there somewhere to sit and write the order. The work below is what we build for consumer and retail brands — product walls, fitting areas and meeting tables planned as one structure, with every project moving through one team from first rendering to dismantle.

Know the floor before you plan the booth

TRE isn’t a browsing show. It’s a buying floor.

TRE fills the Henry B. González Convention Center’s exhibit hall — a single-level, hundred-thousand-square-foot floor beside the River Walk in downtown San Antonio — with specialty retailers who came to place orders, not to collect samples. The conference runs on the Tuesday; the hall itself is open for two selling days, Wednesday and Thursday. How quickly a buyer can see the range, try the product and sit down decides more than the graphics do. The most expensive TRE mistake isn’t a bad booth; it’s a beautiful one nobody can write an order in.

HBGCC — docks off Montana Street

Halls 2 and 3 · Freeman marshalling

Freight for the hall comes through the loading docks at the rear of the building off Montana Street, checked in through Freeman on a schedule. Larger booths — anything from 400 sq ft up — get the first move-in slot on the Saturday, everything else follows Sunday and Monday, and trailers over 30 feet have to be in on that Saturday. Miss your slot and you wait behind the brands that didn’t. We book the dock target time to your booth size and put a supervisor on the door.

TRE attendees are store owners, buyers and race organisers, and the hall opens to exhibitors at seven each morning so you can be ready when they walk in. A booth that works here behaves like a shop floor: a product wall a buyer can read in seconds, a fitting bench with the right seating height, a table where two people can go through a line sheet without shouting. We plan those before the finishes, because a retailer who can’t sit down doesn’t write the order.

The holiday sits inside your freight window

A first-week-of-December show means the advance-order deadlines land in early October, and the freight leg runs straight into Thanksgiving week — carriers thin out, warehouses close, and move-in starts the Saturday after the holiday. The real deadline for a locked design is early October. Miss it and you’re not late, you’re paying floor rates for electrical and material handling while chasing a truck through the busiest shipping week of the year.

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show, the venue or the show’s general contractor — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

The budget you present in summer should survive December

Trade show invoices have a habit of growing between quote and show: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in September costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled, powered and lit at our facility, photographed for your sign-off before it leaves for San Antonio. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. Footwear and apparel samples arrive heavy and by the pallet, so material handling at TRE is a real line on your bill — the advance-versus-floor spread with Freeman is real money. If a vendor can’t answer this immediately, that’s your answer.
5 What happens to my booth over Thanksgiving week? Ours: nothing — because it’s already built, photographed, approved and on the truck by mid-November, ahead of the holiday shipping crunch and the Saturday move-in that follows it. Any vendor still fabricating during Thanksgiving week is gambling with your show. Ask them directly.

How much does a TRE booth rental cost?
Every booth on this page is published with its San Antonio price — fixed and all-inclusive: design, fabrication, graphics, furniture, freight, labour coordination and project management. Separately, the show, the venue and Freeman bill you directly for booth space, electrical, material handling, rigging and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for The Running Event?
Lock your design by early October. The advance-order deadlines for a first-week-of-December show land in the first days of October, and your freight has to leave before Thanksgiving week — start the conversation in summer for full design freedom. The exact advance-order deadline for the next edition is in the facts strip at the top of this page and updates automatically.
What’s move-in like at the Henry B. González Convention Center?
Freight comes through the loading docks at the rear of the building off Montana Street and is checked in through Freeman on scheduled dock target times. Booths of 400 sq ft and up move in first on the Saturday, all booths follow Sunday and Monday, and the hall is closed to attendees until the Wednesday open. We book your dock slot to your booth size, route the truck to the right hall, and put an install supervisor on site so your team never has to learn the venue’s logistics themselves.
Can the booth actually work like a store — product walls, fittings, somewhere to write orders?
Yes, and it’s the most important planning conversation for a TRE booth. We design the structure around how a buyer moves: a product wall readable from the aisle, a fitting bench at the right seating height with room for a fitter, and a meeting table or two where a line sheet can be worked through. Fixtures, shelving and lighting are engineered into the build and verified on our floor before it ships, so the booth sells the way your store does.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our facility and you approve photographs of the actual booth, not a render.
Can I install the booth myself to save on labour?
Freeman governs what happens on the HBGCC show floor, and the rules on exhibitor-installed booths depend on your booth size and the tools involved. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, filed at advance rather than floor rates, and our crew has your booth standing before the hall opens to exhibitors at seven.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across both show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, shelving that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver a TRE booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. For a December show the constraint is the Thanksgiving freight window, not our build: the earlier in the autumn you call, the more of that window sits at advance rather than floor rates.
Do you handle events off the show floor — dealer dinners, River Walk receptions, hotel suites?
Yes — hotel suites, dealer meetings and receptions around the River Walk and downtown San Antonio run under the same fixed-price model, coordinated by the same project manager as your booth.
