A compact, connected venue in the middle of downtown — skywalks link the halls to the major hotels, so buyers move between meetings and the floor all day. Logistically that’s a gift: tight dock-to-booth distances and a move-in that rewards exhibitors whose freight arrives inside its target window. We book that window and plan the build to it.

Your product moves through the booth by the case: back-of-house storage, serviceable counters, sight lines that let staff sample and sell at the same time. Cold or fresh product adds power and health-permit considerations that must be planned, not improvised. We design the booth around your sampling programme and flag every venue requirement before it becomes a show-week surprise.

Advance deadlines land in March

The show’s advance-order cutoffs land roughly eight weeks out — mid-to-late March for a May show, with the exact dates in the facts strip at the top of this page. Spring is also peak trade-show season, so freight lanes and labour calendars fill early. A design locked in early March rides advance rates all the way down the ledger; one locked in April pays floor rates for the same booth.

Booth space, electricity, drayage, rigging, cleaning and internet are billed to every exhibitor directly by the show and venue — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

Why a fixed price matters most here

The budget you present in January should survive May

Trade-show invoices grow in the gap between the estimate and the show: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better packaging reveal in February costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off before it leaves for Indianapolis. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. The advance-versus-floor spread on electrical, drayage and rigging is real money — if a vendor can’t answer this immediately, that’s your answer.

Separately, the show and venue bill you directly for booth space, electricity, drayage, rigging, cleaning and internet; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for Sweets & Snacks Expo?

Can the booth support product sampling — storage, counters, refrigeration?
Yes — that’s what the booth is designed around at this show. Back-of-house storage for case-packed product, serviceable tasting counters and sight lines that let your staff sample and sell at once are drawn in from the first concept. If you’re sampling cold or fresh product, refrigeration equipment needs the right power drops and the venue’s health requirements need to be met — we plan both up front and include the required electrical order, billed by the venue at advance rates, in the show-cost estimate you see before committing.
We’re an emerging brand in a small footprint. Is a custom rental realistic?
Yes — a 10×10 or 10×20 is still a custom build with your graphics, lighting, counter and storage, at a published fixed price. And because the design files and structure carry forward, the booth you rent as an emerging brand becomes the starting point for the bigger footprint when the line gets picked up and the programme grows.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our 65,000 sq ft facility and you approve photographs of the actual booth, not a render.
Can I install the booth myself to save on labour?
The Indiana Convention Center floor runs on contracted union labour, and the show’s rules govern who may build what. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, with every related order filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver a Sweets & Snacks booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. The earlier in the spring you call, the more of that window sits ahead of the advance-order deadlines in the facts strip above.
Do you handle events off the show floor — buyer suites, tastings, press events?
Yes — hotel suites, meeting spaces and satellite tastings around downtown Indianapolis run under the same fixed-price model, coordinated by the same project manager as your booth. With the hotels connected to the convention center by skywalk, an off-floor buyer suite is a genuinely workable extension of the booth programme.
