Vision Expo puts the entire optical world under one roof at The Venetian Expo — frames, lenses, lens processing, equipment and low-vision technology sharing the same aisles as the fashion houses. Your booth isn’t competing against strangers; it’s standing next to the brands your buyers compare you to every day. Here’s what that means before a single wall is designed.

Hotel-connected exhibit halls

Unlike the multi-campus mega-shows, Vision Expo runs in a single connected venue — your hotel, your meetings and your booth can sit under one roof. Operationally it still runs like Las Vegas: marshalling yards, dock targets, scheduled move-in windows and contracted labour. We plan freight and install to the building’s actual schedule, not to hope.

Aesthetics carry real weight

Eyewear buyers respond to booths the way they respond to frames — materials, proportion, light. The product is small, so the booth does the talking from thirty feet: illuminated display cases, gallery-style lighting and clean architecture that says premium before anyone picks up a frame. An early-March show means the advance-order window for services opens and closes just after the holidays — while half the industry is still clearing its January inbox. Booth space, electrical, drayage, rigging, cleaning and internet are billed to every exhibitor directly by the show and venue — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

Why a fixed price matters most here

The budget you set in the fall should survive March

Trade show invoices grow in predictable ways: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

The advance-order cutoff lands roughly eight weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. For an early-March show that cutoff sits in mid-January, which means the December holidays live inside your production window. Plan as if the year ends in November, and March takes care of itself.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in December costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off before it ships. In a business built on finish and detail, renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. The advance-versus-floor spread is real money at any Las Vegas venue — if a vendor can’t answer this immediately, that’s your answer.
5 The show changes cities each year. What happens to my booth next year? Ours: nothing painful — it’s a rental. The design files, graphics and layout carry forward to the next host city and the next footprint, without you owning, storing or shipping an asset between editions. Ask any vendor selling you a purchase how that works when the show moves.

Vision Expo booth rental FAQs

How much does a Vision Expo booth rental cost?
Every booth on this page is published with its Las Vegas price — fixed and all-inclusive: design, fabrication, graphics, furniture, freight, labour coordination and project management. Separately, the show and venue bill you directly for booth space, electrical, drayage, rigging, cleaning and internet; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
What happened to Vision Expo East and West?
They merged. As of 2026 there is one annual Vision Expo, produced by The Vision Council and RX, and it rotates host cities — the 2027 edition runs at The Venetian Expo in Las Vegas, and 2028 heads to New York. For exhibitors that’s one budget, one build and one set of deadlines per year instead of two, and a rental model fits the rotation perfectly: nothing to own, store or truck between cities.
When should I book a booth for Vision Expo?
Work backwards from the advance-order deadline, which lands in mid-January for an early-March show — the exact date for the current edition is in the facts strip at the top of this page and updates automatically. Because the December holidays sit inside the production window, the comfortable path is concepts and a locked price in the fall. Start the conversation in late summer for full design freedom.
How do you display eyewear so it doesn’t disappear in a big hall?
Frames are small; the booth has to do the long-range work. We design the architecture to pull buyers in from the aisle — height, light and a clear brand statement readable at thirty feet — then switch to retail logic up close: illuminated display cases, mirror and fitting points, and lighting placed for product rather than for the room. Lockable storage and case details are planned into the build, not bolted on at the show.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our 65,000 sq ft facility and you approve photographs of the actual booth, not a render. In a design-led industry, that photo approval is the difference between hoping and knowing.
Can I install the booth myself to save on labour?
Las Vegas show floors run on contracted union labour, and the show’s rules govern who may build what. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, and the show-service orders that go with install are filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver a Vision Expo booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. For an early-March show, that makes January the practical cutoff for a rescue build; the earlier in the window you call, the more options stay open.
Do you handle events off the show floor — suites, showrooms, press events?
Yes — hotel suites, buyer showrooms, meeting spaces and satellite activations around the show run under the same fixed-price model, coordinated by the same project manager as your booth. At a hotel-connected venue like The Venetian Expo, a suite upstairs and a booth downstairs can run as one programme.
