WEFTEC Trade Show Booth Rentals

1,000+ exhibitors and working process equipment on the floor. Your booth has to earn the stop.

Fixed-price WEFTEC exhibits — design, fabrication, graphics, freight, installation and dismantle in one number that doesn’t move. Pre-built, lit and photo-approved before it ships, so what stands up at the largest annual water quality event in North America has already stood up once. And if the show is close, our pre-built inventory is the fast path onto the floor.

Built for technical brands

The kind of booth WEFTEC is judged by

WEFTEC’s audience is engineers, operators, utility directors and municipal buyers — people who will walk straight past a pretty backdrop and stop for a working demonstration. The work below is what we build for technical companies: custom structures designed around the demo, the equipment and the conversation, with every project moving through one team from first rendering to dismantle.

Know the floor before you plan the booth

WEFTEC is a machinery floor. Plan for one.

The Water Environment Federation’s annual technical exhibition and conference is the largest annual water quality event in North America — and its show floor behaves like no other. Full-size pumps, blowers, clarifier drives and treatment skids run live in the aisles around you, and the show itself changes cities by year. The most expensive WEFTEC mistake isn’t a bad booth; it’s a booth planned without knowing the floor it will stand on.

The Morial Convention Center

New Orleans · one continuous hall

The Ernest N. Morial Convention Center runs its exhibit space as one enormous contiguous hall along the Mississippi — which means long freight pulls from dock to booth and material-handling costs that reward dense, well-packed crates. We plan the build for the pull, book the freight window to your hall placement, and file every advance order the moment the window opens.

Show-floor realities

Working pumps & process equipment

WEFTEC aisles are loud with running equipment and heavy with machinery sightlines. A booth that whispers gets walked past. Winning here means height and lighting that carry over the ironmongery, a message readable at thirty feet, and a demo an engineer can put hands on. We design for that floor — not for a render on a white background.

The rotating calendar

Chicago ’25 · New Orleans ’26 · Chicago ’27

WEFTEC alternates between Chicago and New Orleans, so the venue, the labour rules and the freight math change every year. Because your booth is a rental, that’s our problem, not yours: the same design re-prices and re-plans for each city, and this page’s facts strip rolls forward to the next edition automatically.

What we handle at WEFTEC
  • Floor-specific design — sightlines planned against a machinery skyline
  • Layout submission and show approval, filed early
  • Electrical, rigging and material handling calculated and ordered at advance rates
  • Union labour coordination and on-site supervision
  • COI, EAC and exhibitor-manual deadlines mapped to our calendar
  • Dock target times, dismantle, pack and outbound freight
Billed by the show, not by us

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show and venue — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates while those windows remain open.

  • Booth space
  • Electrical drops and floor distribution
  • Material handling (drayage)
  • Rigging, if you’re hanging a sign

Why a fixed price matters most here

The budget you approve should survive show week

Big technical shows are where exhibit-house invoices go to grow: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

01

One number, and it holds

Design, fabrication, graphics, furniture, lighting, freight, installation, dismantle and project management in a single fixed price.

02

Proven before it ships

Your booth stands fully assembled and lit at our 65,000 sq ft facility, and you approve photographs of the actual build — not a render.

03

Show costs, known up front

Space, electrical, drayage and rigging calculated for your exact booth before you commit — so the total is a number, not a range.

04

The paperwork is ours

COI, EAC, electrical, rigging, freight windows — filed at advance rates wherever the windows are still open, mapped to every exhibitor-manual deadline. Nothing lands on your desk three days before it’s due.

We quote higher and cost less. That’s the whole argument, and it’s why every booth below is published with its price rather than hidden behind a “request a quote” form.

Late for WEFTEC is still on time — barely

The exhibition dates and the advance-order deadline are in the facts strip at the top of this page, and they update automatically each edition. Inside the final weeks before any WEFTEC, two clocks are running: the show’s advance-rate windows, which close in sequence, and production time, which nobody can extend. Our pre-built inventory is the honest answer to both — booths that already exist, already stand, and only need your brand. Here is how the compressed version of our process runs.

Five questions to ask anyone quoting your WEFTEC booth

Put these to every exhibit house you’re comparing — including us. They separate the vendors that stand behind a number from the ones whose estimate is an opening position. Our answers are printed here so you can hold us to them.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea two weeks out costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off before it travels. Renders are promises; photographs are evidence.
4 Who files my show orders, and at which rate? Ours: we do — at advance rates wherever those windows are still open, mapped to every exhibitor-manual deadline. Close to a show, the advance-versus-floor spread is real money, and it closes in sequence. If a vendor can’t answer this immediately, that’s your answer.
5 The show rotates cities. What happens to my booth next year? Ours: it comes back. Your design files, graphics and layout carry forward, and the same booth re-prices and re-plans for Chicago or New Orleans as the rotation turns — no storage, no re-buying, no starting over.

Questions WEFTEC exhibitors actually ask

WEFTEC booth rental FAQs

How much does a WEFTEC booth rental cost?
Every booth on this page is published with its New Orleans price — fixed and covering design, fabrication, graphics, furniture, freight, labour coordination, installation, dismantle and project management. Separately, the show and venue bill every exhibitor directly for booth space, electrical, drayage, rigging and cleaning; we calculate those client-direct charges for your exact booth before you commit, so the total is known before you sign anything.
Is it too late to get a booth for this edition of WEFTEC?
Check the facts strip at the top of this page for the exhibition dates and the advance-order deadline — it updates automatically each edition. If you’re inside the final weeks, the honest answer is: too late for a ground-up custom fabrication, not too late for a pre-built booth. Our inventory booths already exist, already stand assembled at our facility, and take your graphics and layout in weeks, not months. Call first, and we’ll tell you plainly what’s achievable against the current calendar.
Which city is WEFTEC in this year?
WEFTEC rotates between Chicago’s McCormick Place and the Ernest N. Morial Convention Center in New Orleans — Chicago in 2025, New Orleans in 2026, Chicago again in 2027. The current edition’s city, venue and dates are in the facts strip at the top of this page, pulled live from our shows database. Because your booth is a rental, the rotation costs you nothing: the same design re-prices and re-plans for whichever city is next.
Can my booth include working equipment or heavy machinery?
Yes — WEFTEC is a show where working demonstrations win, and we design structures around pumps, skids, instrumentation racks and flow loops rather than squeezing them in afterwards. Weight, utility connections and access all get engineered into the layout up front. Note that utility services at the booth — power, water where offered, drainage — are ordered through the show and venue and billed to you directly; we calculate those costs for your exact equipment list before you commit and file the orders at advance rates.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our 65,000 sq ft facility and you approve photographs of the actual booth, not a render.
Can I install the booth myself to save on labour?
Both WEFTEC venues run on contracted union labour, and the show’s rules govern who may build what on the floor. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, with orders filed at advance rather than floor rates wherever the windows are open.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver a WEFTEC booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. The structure already exists; what the calendar has to fit is your graphics, the freight run to the venue and the show’s remaining order windows. The earlier you call, the more of those windows are still at advance rates.
Do you handle events off the show floor — hospitality suites, technical sessions, client dinners?
Yes — hotel suites, meeting spaces and satellite activations around the show run under the same fixed-price model, coordinated by the same project manager as your booth.
