One of the largest veterinary conferences in the world runs inside a resort at the south end of the Strip — and both halves of that sentence change how your booth should be planned. The audience moves in pulses around a CE schedule, the freight moves on a resort venue’s rules, and the calendar puts your real deadline right after the holidays.

Freight doesn’t roll up to the booth — it moves through a marshalling yard and the show’s general contractor’s docks on scheduled target times, and rigging and ceiling heights vary by hall. None of that is a problem if it’s planned; all of it is expensive if it’s discovered during move-in. We plan the booth against the building, not against a floor plan PDF.

A late-February show puts the advance-order cutoff roughly eight weeks out — early January, immediately after the weeks when production everywhere runs half-speed. The real deadline for a locked design is before the December break. Miss it and you’re not late, you’re paying floor rates for everything.

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

The budget you present in the fall should survive the show

Trade show invoices grow in predictable ways: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

For WVC that cutoff arrives in early January, which means the binding constraint is really the December break: the production weeks this timeline assumes don’t exist between the holidays and move-in.

Five questions to ask anyone quoting your WVC booth

Put these to every exhibit house you’re comparing — including us. They separate the vendors that stand behind a number from the ones whose estimate is an opening position. Our answers are printed here so you can hold us to them.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in November costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled and lit at our facility, photographed for your sign-off before it ships to Mandalay Bay. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. With a cutoff sitting right after the holidays, the advance-versus-floor spread is real money — if a vendor can’t answer this immediately, that’s your answer.
5 What happens to my timeline over the holidays? Ours: nothing — because your design is locked and your graphics are in production before the December break, and the booth is built and photo-approved with weeks to spare. Any vendor counting on holiday production weeks is gambling with your show. Ask them directly.

How much does a WVC booth rental cost?
Every booth on this page is published with its Las Vegas price — fixed and all-inclusive: design, fabrication, graphics, furniture, freight, labour coordination and project management. Separately, the show bills you directly for booth space, electrical, drayage, rigging and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for WVC?
Lock your design before the December break. WVC’s advance-order cutoff lands in early January — roughly eight weeks before the show — and the weeks right before it are the ones production everywhere loses to the holidays. Start the conversation in summer or early fall for full design freedom; the exact advance-order deadline for the next edition is in the facts strip at the top of this page and updates automatically.
What’s move-in like at Mandalay Bay?
Mandalay Bay Convention Center sits inside a resort complex, so freight moves through a marshalling yard and the show’s general contractor’s docks on scheduled target times — trucks don’t simply pull up when they arrive. We book your freight window and dock target in advance, build the install plan around your hall’s ceiling heights and rigging rules, and have a supervisor on site through move-in. Handled early, it’s routine; improvised, it’s the most expensive part of your week.
Can the booth support equipment demos and product trials?
That’s most of what a WVC booth is for. Imaging equipment, dental units, monitors and diagnostic devices need power, data and counter space planned from the first drawing — not added during move-in. We design demo stations around your actual equipment, spec the electrical for it, and file those orders at advance rates. The electrical itself is billed to you directly by the show, like it is for every exhibitor, but the amount is calculated and in front of you before you commit.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our facility and you approve photographs of the actual booth, not a render.
Can I install the booth myself to save on labour?
Las Vegas show floors run on contracted labour, and the show’s general contractor governs who may build what. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver a WVC booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. For WVC specifically, the earlier in the fall you call, the more of that window sits outside the holidays.
Do you handle events off the show floor — suites, labs, hospitality?
Yes — hotel suites, meeting spaces, hospitality events and satellite activations around the show run under the same fixed-price model, coordinated by the same project manager as your booth. At a resort venue like Mandalay Bay, the suite upstairs is often the second half of the booth strategy.
