Budget Anatomy

Every Vegas show budget has three buckets.

Bucket one: space. You rent the 400 square feet from the show organiser, not from us. Rates vary widely by show — published 2026 planning guides put major-show space in the range of $35 to $65 per square foot, so budget roughly $14,000–$26,000 for a 20×20, with island positions and premium locations sometimes carrying surcharges. Marquee shows charge more.

Bucket two: the booth. The turnkey exhibit — structure, graphics, lighting, furniture, freight, install and dismantle. This is the bucket we control, and the one where our quote is a single fixed number with no post-show billing surprises.

Bucket three: show services. What the show and venue bill you directly: electrical, drayage (material handling), rigging if anything hangs, internet, lead retrieval, booth cleaning. The Levers

Five things that move a 20×20 from $20k to $55k.

Structural ambition. A clean island with a central feature element and counters sits at the bottom of the range. Architectural ceilings, towers and curved forms climb toward the top — every custom shape is engineering, fabrication and install time.

Enclosed space. A semi-private meeting zone is a mid-range feature; fully enclosed, sound-private rooms with doors and their own lighting are a premium one. If your show is about closing deals rather than collecting badges, this is usually the best money on the island.

Technology integration. Monitors are cheap; an architectural LED wall is not — and the gap isn’t the screen, it’s the engineered structure, power and content pipeline around it. Integrated at design stage it’s a known number; bolted on late it’s a surprise.

Hung versus ground-supported. Anything suspended triggers the venue’s exclusive rigging service at venue rates. Where a ground-supported structure achieves the same overhead presence, the saving is real and stays with you.

Materials and finish. Tension fabric with standard LED lighting reads clean and professional. Backlit panels, hardwood floors and premium furniture read expensive because they are. The honest question is what the visitor at twelve feet will actually notice.

Read This Twice

The lines nobody warns you about.

Drayage is charged by weight. Getting freight from the dock to your space is metered per hundredweight — 2026 planning guides put it around $90–$135 per CWT, with surcharges for oversize and late shipments. A heavy booth pays for its weight twice: shipping it to Vegas, then moving it 200 yards inside the hall. It’s why our exhibits ship as one consolidated consignment, and why the LED wall travels inside the exhibit crate rather than as separate AV freight.

Electrical has two prices. Order power by the advance deadline and you pay the advance rate; miss it and the same circuits cost meaningfully more at the floor rate. We calculate the load at design stage and file the order early, because this is the easiest money in the entire budget to not waste.

Vegas is actually the value city — if your builder is local. Compare published 2026 turnkey ranges across cities and Las Vegas consistently comes in under New York, Miami and California, largely because of labour jurisdictions and freight distance. Exhibits built and warehoused in Vegas skip the long-haul freight entirely. For a Vegas-heavy show calendar, that advantage compounds every show.
