AAOS draws practising orthopaedic surgeons, fellows and OR decision-makers who came to get an implant, an instrument or a navigation system into their hands — and who can tell a working demonstration from a poster in about three seconds. The work below is what we build for healthcare and technology companies: custom structures designed around the hands-on station and the private conversation, not around the furniture, with every project moving through one team from first rendering to dismantle.

Know the floor before you plan the booth

AAOS isn’t a browsing show. It’s a hands-on clinic with a badge scanner.

AAOS fills the Venetian Convention & Expo Center — an exhibit floor inside a resort complex on the Strip, not a standalone hall — with surgeons who leave the education rooms in scheduled breaks and have a finite number of minutes to spend in the hall. The exhibit hall opens Wednesday to Friday inside a Wednesday-to-Saturday meeting. How quickly a surgeon can get an instrument in hand, see the imaging, and sit down with a rep decides more than the graphics do. The most expensive AAOS mistake isn’t a bad booth; it’s a beautiful one with nowhere to hold a bone model.

The Venetian — a hotel complex, not a hall

The Venetian’s exhibit floor sits inside a resort, and freight moves through its docks on a target move-in schedule set by booth size and location — miss your window and the booth space contract itself can be at risk. Sightlines are long, ceilings generous, and the hall opens to attendees only during education breaks, so the booth has to read instantly from the aisle. We plan to your target time and hall position, route the truck to Sands Avenue, and put a supervisor on the door.

Hands-on is the product

Surgeons expect to handle product: saw-bone stations at the right working height, instrument trays under proper light, navigation and imaging on real screens, and a quiet place for the clinical conversation. Every one of those needs power, mounting and — for anything sterile-packaged or regulated — display cases that satisfy your compliance team as well as your marketing team. We engineer the booth around the demonstration and the review, and file the orders early so nothing is dark on day one.

The January calendar

Holidays and CES week sit inside your timeline

An early-March show means the advance-order deadlines land in the first days of January — which means the approvals have to happen before Christmas, while the Las Vegas labour and freight calendar is already stacked with the January show cluster. The real deadline for a locked design is mid-December. Miss it and you’re not late, you’re paying floor rates for electrical, rigging and material handling while chasing sign-offs through the holidays.

Billed by the show, not by us

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show, the venue or the show’s general contractor — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

Why a fixed price matters most here

The budget you present in autumn should survive March

Trade show invoices have a habit of growing between quote and show: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

The advance-order cutoff lands roughly eight weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. For an early-March show that puts the binding constraint in the first days of January, which in practice means before Christmas: nobody is approving renderings on New Year’s Eve, and Las Vegas freight and labour are already booked solid for the January shows.

Five questions to ask anyone quoting your AAOS booth

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in November costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled, powered and lit at our facility, photographed for your sign-off before it leaves for Las Vegas. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. Medtech booths draw real power for screens and simulators and arrive with crated demo equipment, so material handling at the Venetian is a real line on your bill — and the advance deadline lands in the first week of January. If a vendor can’t answer this immediately, that’s your answer.
5 Our graphics go through regulatory and legal review. How does that fit a fixed-price build? Ours: it’s built into the schedule. We send print-ready artwork for review in early December with the exact panel dimensions, and unlimited revisions are inside the price — a change from your regulatory team costs nothing. What we won’t do is hold fabrication for artwork past design lock; that’s when advance orders are filed and it’s why we plan the review a month ahead.

How much does an AAOS booth rental cost?
Every booth on this page is published with its Las Vegas price — fixed and all-inclusive: design, fabrication, graphics, furniture, freight, labour coordination and project management. Separately, AAOS, the Venetian and the show’s general contractor bill you directly for booth space, electrical, material handling, rigging and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for AAOS?
Lock your design by mid-December. The advance-order deadlines for an early-March show land in the first days of January, and approvals stop over the holidays — start the conversation in early autumn for full design freedom. The exact advance-order deadline for the next edition is in the facts strip at the top of this page and updates automatically.
What’s move-in like at the Venetian Convention & Expo Center?
The Venetian is a resort complex, so freight comes through its Sands Avenue docks on a target move-in schedule set by booth size and location, and AAOS expects booths to be set by its published deadline. We book your target time, route the truck to the right dock, and put an install supervisor on site so your team never has to learn the venue’s logistics themselves.
Can the booth handle hands-on demo stations, imaging screens and sterile product display?
Yes, and it’s the most important planning conversation for an AAOS booth. We design the structure around the demonstration — saw-bone stations at working height, instrument trays under proper light, navigation and imaging on real screens, display cases that satisfy your compliance team — then calculate the electrical your setup actually needs. Everything is engineered into the build and verified on our floor before it ships.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our facility and you approve photographs of the actual booth, not a render.
Does AAOS need to approve our booth design?
Island booths, multi-level structures and hanging signs are submitted to AAOS show management for approval before the exhibitor-manual deadline, and the Exhibitor Service Manual is published in late October. We file the layout and renderings in November, well before design lock, so nothing about your structure is in question when the advance orders go in.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across all three exhibit days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, mounts that won’t take the equipment — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver an AAOS booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. For a March show, the earlier in the new year you call, the more of that window sits at advance rather than floor rates.
Do you handle events off the show floor — surgeon dinners, hospitality suites, satellite symposia?
Yes — suites at the Venetian and Palazzo, surgeon dinners and satellite events along the Strip run under the same fixed-price model, coordinated by the same project manager as your booth. Note that AAOS requires exhibitors to request approval for functions outside the booth; we file that too.
