HPBExpo is where hearth and barbecue retailers, installers and distributors choose next season’s lines — a marketplace where product has to stand finished, installed-looking and properly lit, the way it will look on a dealer’s own floor. The work below is what we build for consumer and retail brands: product-forward structures that stage a vignette, hold live demonstrations and still leave room to sit down and write the order, with every project moving through one team from first rendering to dismantle.

HPBExpo splits the Music City Center in a way almost no other show does: a full indoor marketplace on the contiguous hall floor, plus outdoor exhibits up on the building’s terrace level where live-fire cooking and open-air product belong. Exhibit days run Thursday through Saturday after an education day, and the whole schedule — burn demos, teardown rules, freight — is stricter than a standard hall show. Planning a booth here without knowing which of those floors you’re on is planning the wrong booth.

Indoor booths sit on the Music City Center’s roughly 350,000 square foot contiguous floor; outdoor and live-fire product shows on the building’s terrace level, in real weather with its own power, water and safety rules. The two environments need different structures, different finishes and different orders — we design for the one you’re actually in, and if you’re running both, we make them read as one brand.

Installed-look product · live demonstrations

Dealers buy what they can picture installed — a fireplace that’s framed, finished and burning; an outdoor kitchen dressed like a backyard. That means booths at this show carry construction that most exhibits don’t: surrounds, façades, counters, ventilation-aware layouts around demo units. We fabricate the vignette as part of the booth, test-fit your product at our facility, and photograph the whole staging before it ships.

The March calendar

Advance orders in early January

An early-March show puts the advance-order deadlines at the start of January — which means every real decision has to be made before the holidays. Graphics approved in early December, orders filed the first working week of the year. A vendor who starts designing in January is already conceding floor rates on electrical and drayage before a single crate ships.

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show, the venue or the show’s general contractor — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

The budget you set before the holidays should survive March

Trade show invoices have a habit of growing between quote and show: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

The advance-order cutoff lands roughly eight weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. For an early-March show that puts the binding constraint at the turn of the year, so the approvals it depends on have to be finished before everyone goes home for the holidays.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in November costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled, powered and lit at our facility, photographed for your sign-off before it leaves for Nashville. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. Demo units, powered vignettes and screen walls all need drops — and terrace exhibits carry their own utility rules on top. The advance-versus-floor spread on those orders is real money, and if a vendor can’t answer this immediately, that’s your answer.
5 We’re demoing live product — flame, heat, cooking. What does that change? Ours: the engineering, not the price model — demo units need the right clearances, surfaces and utility orders, and outdoor placements add weather and safety rules of their own. We design the vignette around the unit, file the orders with your advance paperwork in early January, and test-fit your product at our facility so the first live burn isn’t also the first assembly.

How much does an HPBExpo booth rental cost?
Every booth on this page is published with its Nashville price — fixed and all-inclusive: design, fabrication, graphics, vignette construction, furniture, freight, labour coordination and project management. Separately, the show, the venue and the show’s general contractor bill you directly for booth space, electrical, drayage and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for HPBExpo?
Lock your design before the holidays. An early-March show puts the advance-order deadlines at the start of January, so the real decisions happen in November and December — start the conversation in late summer for full design freedom. The exact advance-order deadline for the next edition is in the facts strip at the top of this page and updates automatically.
What’s move-in like at the Music City Center?
MCC is a downtown building with marshalled dock schedules, and this show adds its own strict move-in and teardown rules — including no early breakdowns and hard freight-out deadlines. We book your freight window early, route the truck to the correct dock for your floor, and put an install supervisor on site so your team never has to learn the venue’s logistics themselves.
My booth is a working vignette — a burning unit, a dressed outdoor kitchen, big product. Can you build and power that?
Yes, and it’s the defining conversation for an HPBExpo booth. We fabricate the surround, counters and staging as part of the structure, engineer clearances around your demo units, and calculate the electrical and utility orders the setup actually needs — including terrace-specific requirements if you’re outdoors. Those services are billed to you directly by the show and venue, but we file the orders at advance rates and test-fit your product on our floor first.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our facility and you approve photographs of the actual booth, not a render.
Can I install the booth myself to save on labour?
The show’s general contractor governs who may build what on the floor, and a vignette build with demo units is real construction, not pop-up assembly. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything — including your product test-fit — was assembled and checked before shipping, the problems that usually surface at this stage have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver an HPBExpo booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. For a March show, calling in January keeps most of that window at advance rather than floor rates.
Do you handle events off the show floor — suites, dealer dinners, satellite activations?
Yes — hotel suites, dealer events and satellite activations around downtown Nashville run under the same fixed-price model, coordinated by the same project manager as your booth.
