ViVE draws CIOs, CMIOs and payer executives who came to evaluate platforms and take scheduled meetings — not to collect tote bags — and who can tell a working product from a looping video in about three seconds. ViVE fills Music City Center — a single-campus downtown venue a short walk from Broadway — with health-system, payer and pharma executives whose days are pre-booked through curated, double-opt-in matchmaking meetings. It opens on a Sunday, which compresses move-in into the weekend, and this edition returns to Nashville after a year in Los Angeles. Where your meetings happen, whether your demo is live when the first CIO arrives, and whether your freight cleared the docks before the weekend all decide more than the graphics do. The most expensive ViVE mistake isn’t a bad booth; it’s a beautiful one with nowhere quiet to hold the meeting you flew here for.

Music City Center’s exhibit hall sits under one roof with its meeting rooms and ballroom, and freight moves through its docks on the general contractor’s target schedule. That’s simpler than a multi-hall campus, but it means every sponsor is moving in through the same docks in the same short window before a Sunday open. Sightlines are long and the ceilings generous, so height and lighting carry across the hall. We book the dock target time, route the truck, and put a supervisor on the door.

ViVE’s matchmaking programme books executives into fifteen-minute meetings with sponsors, so the booth has to be a place where a serious conversation can happen on schedule: a semi-private meeting space with real sound separation, a demo station where the platform runs live, hospitality that keeps a CIO in the booth an extra ten minutes, and a front that reads instantly from the aisle. We plan the meeting space first and the finishes second, because a booth with nowhere to sit doesn’t convert a booked meeting.

Holidays and CES week sit inside your timeline

A mid-March show means the advance-order deadlines land in mid-January — right after the holidays, when approvals are only just restarting. The real deadline for a locked design is early January, which in practice means before Christmas. Miss it and you’re not late, you’re paying floor rates for electrical, internet and material handling while chasing sign-offs through the first weeks of the year.

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show, the venue or the show’s general contractor — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

The budget you present in autumn should survive March

Trade show invoices have a habit of growing between quote and show: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

Your real deadline is before Christmas

The advance-order cutoff lands roughly eight weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. For a mid-March show that puts the binding constraint in mid-January, and in practice the approvals it depends on have to happen before the holidays: nobody is signing off renderings between Christmas and New Year.

2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in December costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled, powered and lit at our facility, photographed for your sign-off before it leaves for Nashville. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. A live platform demo and a meeting room draw real power and dedicated internet, and at a sponsor-driven show those services are billed direct — the advance-versus-floor spread is real money, and the deadline lands right after the holidays. If a vendor can’t answer this immediately, that’s your answer.
5 ViVE opens on a Sunday. What does that do to move-in? Ours: it compresses everything into the weekend — every sponsor moving through the same docks in the same short window, with less labour available than on a weekday. It’s why your booth ships photo-approved rather than half-built, why we book the dock target time weeks ahead, and why a supervisor is on the door on Saturday morning. How much does a ViVE booth rental cost?
Every booth on this page is published with its Nashville price — fixed and all-inclusive: design, fabrication, graphics, furniture, freight, labour coordination and project management. Separately, the show, Music City Center and the show’s general contractor bill you directly for sponsorship space, electrical, internet, material handling, rigging and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for ViVE?
Lock your design before the holidays. The advance-order deadlines for a mid-March show land in mid-January, when approval chains are only just restarting — start the conversation in early autumn for full design freedom. What’s move-in like at Music City Center?
Music City Center is a single downtown campus, and freight moves through its docks on scheduled target times — with a Sunday open, every sponsor is moving in over the same weekend. We book your dock slot early, route the truck, and put an install supervisor on site so your team never has to learn the venue’s logistics themselves.
Our ViVE booth is really a meeting venue — can it hold private conversations and a live demo at once?
Yes, and it’s the most important planning conversation for a ViVE booth. We design the structure around the matchmaking schedule: a semi-private meeting space with real sound separation, a demo station where the platform runs on real screens, hospitality that keeps an executive in the booth, and a front that reads from the aisle. Power, internet and AV are engineered into the build and verified on our floor before it ships.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our facility and you approve photographs of the actual booth, not a render.
We also exhibit at HLTH in Las Vegas. Can one programme cover both?
Yes — ViVE and HLTH share an organiser and a large part of the audience, so a modular structure designed once serves both, re-planned each time for the building it’s going into: Music City Center in March, the Venetian Expo in November. One fixed price per show, one project manager throughout, and graphics that carry over.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through the weekend move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, AV that won’t connect — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver a ViVE booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. For a March show, the earlier in the new year you call, the more of that window sits at advance rather than floor rates.
Do you handle events off the show floor — executive dinners, hospitality suites, Broadway activations?
Yes — hotel suites, executive dinners and satellite activations around downtown Nashville run under the same fixed-price model, coordinated by the same project manager as your booth.
