The kind of booth a practice owner walks into

VMX draws veterinarians, technicians and practice managers who came to see equipment run, handle product and place orders for the year — and who can tell a working diagnostic demo from a poster in about three seconds. The work below is what we build for healthcare, consumer and technology companies: custom structures designed around the hands-on station and the sample counter, with somewhere to sit and talk through a practice’s needs, and every project moving through one team from first rendering to dismantle.

Know the floor before you plan the booth

VMX isn’t a browsing show. It’s the animal-health industry’s launch week.

VMX fills the Orange County Convention Center — the second-largest convention campus in the country, with the expo in the South Concourse — with veterinary teams who come to place the year’s orders, and with the manufacturers who time their product launches to it. It opens in the third week of January, which means the entire build sits inside the holidays. Where your booth lands, whether your demo unit is running when the hall opens, and whether your freight cleared the year-end shutdown all decide more than the graphics do. The most expensive VMX mistake isn’t a bad booth; it’s one still being built between Christmas and New Year.

OCCC — a campus, not a hall

South Concourse · West Concourse · a mile apart

The Orange County Convention Center is two buildings joined by a skybridge, and VMX lives in the South Concourse — a different set of docks and a different marshalling plan from the West. Freight moves on target times, and a truck routed to the wrong concourse loses half a day. Sightlines are long and the ceilings generous, so height and lighting carry across the hall. We plan the booth to the South Concourse, book the dock target time to your booth size, and put a supervisor on the door.

Veterinarians expect to handle product: run a sample on the analyser, open the packaging, see the software on a real screen, taste-test nothing but examine everything. A booth that works here behaves like a well-run clinic: demo stations at working height, sample counters a technician can reach, refrigeration and power for anything that needs them, and somewhere quiet for a practice owner to talk numbers. We engineer the booth around the demonstration and file the orders early so nothing is dark on Sunday morning.

Thanksgiving and Christmas sit inside your build

A third-week-of-January show means the advance-order deadlines land in the third week of November, and everything after them — freight, approvals, last-minute graphics — runs through Thanksgiving, the Christmas shutdown and New Year. The real deadline for a locked design is mid-November. Miss it and you’re not late, you’re paying floor rates for electrical and material handling while chasing a truck through the two weeks of the year when nothing moves.

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show, the venue or the show’s general contractor — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

The budget you present in summer should survive January

Trade show invoices have a habit of growing between quote and show: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

The advance-order cutoff lands roughly eight weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. For a third-week-of-January show that puts the binding constraint in mid-November, with Thanksgiving, Christmas and New Year all sitting between it and move-in — so the calendar is far tighter than the number of weeks suggests.

2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in October costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled, powered and lit at our facility, photographed for your sign-off before it leaves for Orlando. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. Analysers, refrigerated product and sample stock arrive heavy and need real power, so material handling and electrical at VMX are real lines on your bill — the advance-versus-floor spread is real money, and the deadline lands before Thanksgiving. If a vendor can’t answer this immediately, that’s your answer.
5 What happens to my booth over Christmas and New Year? Ours: nothing — because it’s already built, photographed, approved and on the truck by mid-December, ahead of the year-end shutdown when carriers, warehouses and approval chains all stop. Any vendor still fabricating between Christmas and New Year is gambling with your show. Ask them directly.

How much does a VMX booth rental cost?
Every booth on this page is published with its Orlando price — fixed and all-inclusive: design, fabrication, graphics, furniture, freight, labour coordination and project management. Separately, NAVC, the OCCC and the show’s general contractor bill you directly for booth space, electrical, material handling, rigging and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for VMX?
Lock your design by mid-November. The advance-order deadlines for a third-week-of-January show land just before Thanksgiving, and your freight has to leave before the Christmas shutdown — start the conversation in summer for full design freedom. What’s move-in like at the Orange County Convention Center?
VMX runs in the South Concourse, which has its own docks and marshalling plan, and freight moves on scheduled target times — a truck routed to the West Concourse by mistake loses hours. We book your dock slot to your booth size, route the truck to the correct building, and put an install supervisor on site so your team never has to learn the venue’s logistics themselves.
Our booth runs analysers, refrigerated product and a software demo. Can you handle the power and the display?
Yes, and it’s the most important planning conversation for a VMX booth. We design the structure around the demonstration — analysers at working height, refrigeration with the power it needs, sample counters a technician can reach, software on real screens — then calculate the electrical and material handling orders your setup actually needs. Everything is engineered into the build and verified on our floor before it ships.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our facility and you approve photographs of the actual booth, not a render.
We also exhibit at WVC in Las Vegas. Can one programme cover both?
Yes — VMX in January and WVC in late February are the two biggest veterinary floors of the year, six weeks apart, so a modular structure designed once serves both, re-planned each time for the building it’s going into: the OCCC South Concourse, then Mandalay Bay. One fixed price per show, one project manager throughout, and graphics that carry over.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across all show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, mounts that won’t take the equipment — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver a VMX booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. For a January show the constraint is the holiday freight window, not our build: the earlier in the autumn you call, the more of that window sits at advance rather than floor rates.
Do you handle events off the show floor — practice-owner dinners, hospitality suites, satellite launches?
Yes — hotel suites along International Drive, practice-owner dinners and satellite launch events run under the same fixed-price model, coordinated by the same project manager as your booth.
