AISTech runs a technical conference and an exposition on the same badge — the people on this floor are melt-shop managers, rolling-mill engineers and the suppliers who equip them, moving between paper sessions and the hall. They judge an exhibit the way they judge equipment: does it work, and can they get a straight answer at it. AISTech fills the Music City Center — a single contiguous exhibit hall in the middle of downtown Nashville, a block from Broadway — with working steel-industry equipment and the people who buy it. Machinery, sample product and heavy crates all arrive through a downtown dock schedule, and the technical programme pulls attendees off the floor in blocks. The most expensive AISTech mistake isn’t a bad booth; it’s a booth planned without knowing how this building and this programme actually move.

The Music City Center puts the whole exposition on one contiguous floor of roughly 350,000 square feet — no split halls, so sightlines run long and height, lighting and a clear claim carry disproportionately. Freight comes through downtown Nashville docks on a marshalled schedule, and heavy exhibitor machinery competes for the same windows. We plan sightlines to your actual placement and book your freight slot early, before the mills’ equipment takes the calendar.

The technology conference runs hundreds of presentations alongside the hall, so floor traffic arrives in surges when sessions break — and the visitors are specifiers, not browsers. Your booth has to state what the equipment or service does from the aisle, then hold a technical conversation up close: sample product mounted properly, screens running real process data, a table where a drawing can be unrolled. We design for both distances.

Housing opens in December · advance orders in March

AISTech plans early — registration and housing open the December before, and serious exhibitors have placements settled while the year is still new. The advance-order deadlines for an early-May show land at the start of March, so a design that isn’t locked by late February is already paying for the delay in floor-rate electrical, drayage and rigging.

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show, the venue or the show’s general contractor — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

The budget you set in winter should survive May

Trade show invoices have a habit of growing between quote and show: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

For an early-May show that puts the binding constraint at the start of March, on a floor where the heaviest exhibitors book their freight and rigging months earlier still.

1 Will you put the total price in writing before I sign — and hold it? Ours: yes. Every booth on this page is published with its price. The quote and the final invoice are the same number, contractually. Printed above · hold us to it
2 Do design revisions become change orders? Ours: never. Revisions are unlimited until you approve, and the price is locked before design starts — a better idea in January costs nothing.
3 Will I see my actual booth before it ships — or a render? Ours: the actual booth, fully assembled, powered and lit at our facility, photographed for your sign-off before it leaves for Nashville. Renders are promises; photographs are evidence.
4 Who files my advance show orders, and at which rate? Ours: we do, at advance rates, mapped to every exhibitor-manual deadline. Mounted sample product, process-data screens and powered equipment demos all need drops and often rigging — on a floor shared with genuinely heavy machinery, the advance-versus-floor spread is real money. If a vendor can’t answer this immediately, that’s your answer.
5 We’re shipping heavy exhibits — mounted rolls, machinery sections, sample product. Does that change the plan? Ours: it changes the calendar, not the price model — heavy pieces need rigging orders and dock windows booked early, because the mills’ equipment takes the best slots first. We file those with your advance orders in early March and route your freight to the correct MCC dock, so the heavy pieces are standing before the carpet goes down.

How much does an AISTech booth rental cost?
Every booth on this page is published with its Nashville price — fixed and all-inclusive: design, fabrication, graphics, furniture, freight, labour coordination and project management. Separately, the show, the venue and the show’s general contractor bill you directly for booth space, electrical, drayage, rigging and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for AISTech?
Lock your design by late February. AISTech plans early — housing and registration open the December before — and the advance-order deadlines for an early-May show land at the start of March. Start the conversation in autumn for full design freedom. The exact advance-order deadline for the next edition is in the facts strip at the top of this page and updates automatically.
What’s move-in like at the Music City Center?
MCC is a downtown building, and freight moves through its docks on a marshalled schedule — at AISTech those docks also carry genuinely heavy exhibitor machinery, so windows fill early and trucks that miss their slot wait. We book your freight window ahead of the heavy moves, route the truck to the correct dock, and put an install supervisor on site so your team never has to learn the venue’s logistics themselves.
My booth shows working equipment and process data — screens, powered demos, mounted product. Can you handle the power and rigging?
Yes, and it’s the most important planning conversation for an AISTech booth. We engineer the structure around your equipment load — mounting, cable routing, rigging points, screen placement — then calculate the electrical and rigging orders your setup actually needs. Those services are billed to you directly by the show and venue, but we file the orders at advance rates and verify everything against the booth as built on our floor.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our facility and you approve photographs of the actual booth, not a render.
Can I install the booth myself to save on labour?
The show’s general contractor governs who may build what on the AISTech floor, and during a compressed downtown move-in shared with heavy machinery it isn’t worth your team’s show week. Either way it isn’t your problem to arrange: labour coordination and on-site supervision are inside our fixed price, filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver an AISTech booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. For a May show, the earlier in the spring you call, the more of that window sits at advance rather than floor rates.
Do you handle events off the show floor — suites, receptions, satellite activations?
Yes — hotel suites, meeting spaces and customer events around downtown Nashville run under the same fixed-price model, coordinated by the same project manager as your booth.
