ASM Microbe’s exhibit floor shares its hall with the poster sessions — the scientific core of the meeting — so foot traffic arrives in waves timed to the programme rather than in a steady stream, and attendees are already in evaluation mode when they reach your aisle. The meeting also rotates cities and, from this edition, moves to a midweek format. The most expensive ASM mistake isn’t a bad booth; it’s a booth planned for a trade show when this is a scientific meeting with an exhibit hall attached.

The building runs on union jurisdictions and a marshalling yard whether the show is a machinery expo or a society meeting — freight enters against an assigned target date and drayage is billed by the hundredweight. Exhibitors who last met in Los Angeles or Washington are the ones caught by it. We design the booth so every trade’s work is clean and quick, and we book the target date so the truck isn’t waiting in the yard.

Attendees come to the hall for posters, receptions and scheduled breaks, then leave for sessions — so your booth is busy in bursts and quiet between them. This edition shifts to a Tuesday-to-Friday format, so move-in falls on a Monday, not a weekend, and dismantle runs into a Friday evening when carriers are already booked. The advance-order deadline lands in late April, when many exhibiting companies are also closing their spring conference season. The real deadline for a locked design is the last week of April.

Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show, the venue or the show’s general contractor — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.

The budget you present in winter should survive June

Trade show invoices have a habit of growing between quote and show: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. With benchtop instruments, sequencers and data displays that need clean power and network, the advance-versus-floor spread at ASM Microbe is real money — if a vendor can’t answer this immediately, that’s your answer.
5 The meeting has moved to a midweek schedule. What does that change? Ours: the days, not the plan — move-in shifts to a Monday and dismantle to a Friday evening, when outbound carriers around McCormick Place are at their busiest. We book the target date and the return freight for those days from the start. Any vendor still working from a weekend-format plan for this meeting hasn’t read the current exhibitor manual. Separately, the meeting, McCormick Place and the show’s general contractor bill you directly for booth space, electrical, drayage, rigging and cleaning; we calculate those for your exact booth before you commit, so the total is known before you sign anything.
When should I book a booth for ASM Microbe?
Lock your design by the last week of April. Advance-order deadlines for a late-June meeting land in the thick of the spring conference season — start the conversation in winter for full design freedom. What’s move-in like at McCormick Place for ASM Microbe?
Freight enters through the marshalling yard against an assigned target date, drayage is billed per hundredweight, and union crews handle the install — on a Monday, under the midweek format. We book the target date, keep the crate weights honest, schedule the crew and put an install supervisor on site so your instruments are powered and your booth is lit before the hall opens on Tuesday.
Our booth runs a live instrument demo with data on screen. Can you handle the power, network and bench space?
Yes, and it’s the most important planning conversation for an ASM booth — scientists want to see the instrument run and look at the output. We design the bench, the sightline into the instrument and the screen placement into the structure, then calculate the clean-power and network orders your setup actually needs. Those services are billed to you directly by the meeting and venue, but we file them at advance rates and verify everything against the booth as built on our floor.
Will a rental look custom, or will it look reused?
Every booth is fabricated for your brand — custom graphics, layout, lighting and finishes on a modular structure underneath. The builds shown above are rentals. Before yours ships, it stands fully assembled and lit at our facility and you approve photographs of the actual booth, not a render.
Can I install the booth myself to save on labour?
Not at McCormick Place. Union jurisdictions govern who may build, wire and rig what, and the show’s general contractor enforces them — an exhibitor-installed booth is limited to small pop-up structures with no tools. It isn’t your problem to arrange either way: union labour coordination and on-site supervision are inside our fixed price, filed at advance rather than floor rates.
What happens if something goes wrong during move-in?
Your project manager and our install supervisor are on site through move-in and reachable across show days. Because everything was assembled and checked before shipping, the problems that usually surface at this stage — missing hardware, graphics that don’t fit, panels that won’t seat — have already been found and fixed on our floor, weeks earlier.
A vendor just fell through. How fast can you deliver an ASM Microbe booth?
Four to six weeks from approval to show floor for complete pre-built, photo-verified booths from 10×10 through 20×40 — at the same fixed price as a six-month lead time, with no rush surcharge. For a late-June meeting, the earlier in spring you call, the more of that window sits at advance rather than floor rates.
Do you handle events off the show floor — suites, receptions, satellite activations?
Yes — hotel suites, meeting spaces and satellite activations around McCormick Place and downtown Chicago run under the same fixed-price model, coordinated by the same project manager as your booth.
