MD&M East fills the Javits Center — Manhattan’s convention centre on the far West Side, with the most demanding labour and freight rules of any American venue — with engineers and buyers who have exactly two days to shortlist suppliers across six sectors under one roof. The show is now biennial, so the plan you used last time is two years old. Where your booth lands, whether your component display reads from the aisle, and whether every union order was filed at advance rates all decide more than the graphics do. The most expensive MD&M East mistake isn’t a bad booth; it’s a beautiful one that arrived at Javits with paperwork the venue won’t accept.
The Javits Center runs on strict union jurisdictions: teamsters move freight, carpenters build, electricians wire, and an exhibitor’s own staff may do very little of it. Trucks stage through a marshalling yard on target times and every hour of labour is billed. That makes the paperwork — EAC forms, COI, advance orders — the difference between a sane invoice and a painful one. We know the Javits rules, file everything at advance rates, and put a supervisor on the floor who has worked the building before.
Engineers come to handle the product: turn a machined part in the light, feel a material sample, watch an automation cell cycle, read a spec on a real screen. A booth that works here behaves like an engineering lab: component displays at eye level under proper light, sample trays a visitor can reach, a working demo with power and guarding, and a table where a drawing can be opened. We plan those before the finishes, and file the electrical early so nothing is dark at ten on Wednesday.
A mid-May show means the advance-order deadlines land in late March — and at Javits, where nearly every service is billed by a union contractor, the advance-versus-floor spread is the widest in the country. The real deadline for a locked design is mid-March. Miss it and you’re not late, you’re paying Manhattan floor rates for electrical, material handling and labour on a two-day show.
Booth space, electrical, drayage, rigging and cleaning are billed to every exhibitor directly by the show, the venue or the show’s general contractor — no exhibit house can absorb them and none should claim to. What we do is calculate them for your exact booth before you commit, and file every order at advance rather than floor rates.
Trade show invoices have a habit of growing between quote and show: labour hours over estimate, revisions rebilled as change orders, graphics reprints, supervision time nobody flagged. Our model is the opposite — the number you approve is the number you pay, contractually. Design revisions are unlimited until you approve. The quote and the final invoice are the same document.

The advance-order cutoff lands roughly eight weeks before the show — the exact date is in the facts strip at the top of this page, and it updates automatically each edition. For a mid-May show that puts the binding constraint in late March, and at the Javits Center the gap between advance and floor rates is wide enough to change the whole budget on its own.
