Booth Installation Planning: Decide These 5 Things Early

Everything you decide before install day

A smooth booth installation isn’t achieved on the show floor. It’s the by-product of a set of decisions — structural, logistical, and technical — that are all closed weeks earlier. Here is the complete list.

Almost every show-site problem is a planning problem wearing a hard hat.

A monitor that doesn’t fit its mount. A demo product with no power drop behind it. A crate of brochures sitting at the wrong warehouse. A video file in the wrong aspect ratio, discovered on a screen that’s already hanging twelve feet up. None of these are installation failures. They’re decisions that were never made — and the show floor is the most expensive place in the world to make a decision.

The fix is a sequence, not heroics. What follows is everything that should be resolved before a booth ships: the structure, the products going into it, the change cutoff, the freight that travels separately, and the content that runs on the screens. Work through all five and the install becomes what it should be — a rehearsed assembly, not an improvisation.

Lock the structure — then never touch it

Everything else hangs off the structure, literally. Before fabrication starts, the structural package has to be final: the frame, the walls, the hanging sign, the flooring, and every point where the booth touches the venue’s rules.

The floor plan isn’t just a drawing — it’s a contract with the show. Island booths typically need floor plan approval from show management, and anything overhead needs rigging orders placed with the venue on their deadlines, not yours — one of several show services with hard deadlines that have to be ordered long before move-in. Utilities are structural decisions too: the electrical drop comes up through the floor before carpet goes down, which means power locations must be final while the booth is still a CAD file.

Decide in advance
  • Final dimensions and height — confirmed against the show’s height limits and line-of-sight rules for the booth type.
  • Hanging sign specs — size, weight, rigging points, and whether the venue or an outside rigger installs it.
  • Utility map — exact floor locations for every electrical drop, data line, and water/air connection, marked on the plan submitted to the general contractor.
  • Flooring build-up — raised floor or carpet-and-pad, ramping for accessibility, and cable channels for anything that crosses walkways.
  • Weight-bearing elements — any wall or counter that will hold a monitor, a shelf of product, or a person leaning on it, engineered for that load now.

Design around the product, not after it

The most common install-day surprise is the exhibitor’s own product. A device that’s heavier than the shelf built for it. A machine that needs 220V in a booth wired for 110V. A demo unit that arrives in a crate nobody measured against the storage closet door.

Every physical product going into the booth should be treated as a fabrication input. That means real specifications — not “about the size of a microwave” — provided while the booth is still being engineered. If the product itself can be sent to the fabrication facility early, better still: the mounts, cutouts, and cable paths get built against the actual object.

Decide in advance
  • Exact dimensions and weight of every product on display, including its base, stand, or case.
  • Power requirements per unit — voltage, amperage, plug type — rolled into the electrical order before the deadline pricing doubles.
  • Mounting method — bolted, bracketed, recessed, or free-standing — and who supplies the hardware.
  • Security — locking cases, tethers, or lockable storage for products that leave the floor overnight.
  • Demo logistics — does the product need network access, compressed air, water, ventilation, or a trained operator? Each one is a booth-design decision.
  • Arrival path — does the product ship inside the booth crates, or separately? (If separately, it belongs in section 04.)

Set a change freeze — and mean it

Changes aren’t the enemy. Undated changes are. A booth project without a written change cutoff invites a new graphic “real quick” ten days out, a swapped counter a week out, and a different monitor size on load-in day. Each one is small. Together they’re how a pre-built booth becomes a first-time build at the venue.

The honest approach is to sort every possible change into three buckets and put a date on each: what can change until fabrication starts, what can change until the booth ships, and what cannot change once graphics are in production. Then, when a late request comes in, the conversation isn’t “no” — it’s “here is what that change costs in money and risk at this date.” Everyone makes better decisions when the trade is visible.

Decide in advance
  • Design freeze date — after this, structural and layout changes reopen engineering and pricing.
  • Graphics freeze date — artwork approved and in production; a change after this means reprinting, not revising.
  • Content freeze date — final video and demo files delivered and tested (see section 05).
  • A change-request channel — one named person on each side authorized to request and approve changes, in writing, so a hallway comment never becomes an unbudgeted rebuild.
  • The show-site rule — what kinds of adjustments the install crew may make on the floor without escalation, and what always requires a call.

Track everything that ships outside the booth crates

The booth is one shipment. But most exhibits depend on things that travel separately: demo products from the factory, brochures from the printer, giveaways from a promo vendor, branded furniture from the office. Every one of those is a package that can miss the show — and the booth has to be designed knowing they exist.

Two decisions matter most. First, where each item goes in the booth — a thousand brochures need a storage counter with actual shelf space, not a hopeful assumption. Second, how each item reaches the floor — advance warehouse with a delivery window weeks before the show, or direct-to-show on a tight target date. Advance warehouse costs a little more in handling and buys enormous certainty; anything critical should go that route. Decide in advance
  • A single shipping manifest — every separately shipped item, its origin, carrier, tracking number, and the person responsible for it.
  • Advance warehouse vs. direct-to-show for each shipment, with the general contractor’s labels and deadlines applied exactly.
  • Storage inside the booth — sized to the actual volume of literature, giveaways, product stock, and empty cases, decided during design.
  • Who receives what — the name on site who checks each delivery against the manifest as it arrives at the booth.
  • The outbound plan — return labels printed before the show, and a decision on what ships back versus what gets consumed or disposed of.

Content is hardware — treat it that way

Screens are structural; what runs on them usually isn’t planned like it. The result is familiar: a 16:9 video on a portrait screen, a laptop demo that needs Wi-Fi the hall doesn’t have, a file “someone will bring on a USB drive.” Content deserves the same freeze dates and testing as the physical booth.

The rule that prevents nearly all of it: every screen in the booth plays its final content before shipping, on the exact playback hardware that ships with it. Not a similar file. Not a placeholder loop. The real content, on the real device, before anything goes in a crate.

Decide in advance
  • A screen schedule — every display listed with its size, orientation, resolution, and exactly what plays on it.
  • Playback hardware per screen — media player, laptop, or built-in — plus who supplies it, who configures it, and who owns the remote and cables.
  • File specifications — format, resolution, and aspect ratio issued to the content team early, with a delivery deadline that lands before the pre-build.
  • Connectivity — anything live (dashboards, cloud demos, lead capture) either gets ordered venue internet or a tested offline fallback. Hall Wi-Fi is not a plan.
  • Audio policy — whether any content plays sound, at what level, and whether it complies with the show’s noise rules.
  • Redundancy — every file on the installed device, on a backup drive in the crate, and in a cloud folder the on-site lead can reach.
  • Daily operation — who powers screens on each morning, what the boot sequence is, and a one-page troubleshooting sheet taped inside the storage closet.

When each decision actually has to be made

The complete booth stands once before it ships — graphics on, screens playing final content, products mounted. Every issue found here costs a fraction of the same issue on the floor.

Freight in motion

Booth crates and advance-warehouse shipments delivered inside the general contractor’s window. Manifest confirmed item by item.

Install day

Assembly, not decisions

A supervised crew rebuilds what already stood once. The exhibitor walks in to a finished booth.

Five closed questions. That’s the whole method. An install goes smoothly when the show floor is asked to do only one thing: assemble a booth whose every decision was already made.
